Recurring invoicing automation for a consulting firm in 2026

The verdict in three sentences

For a consulting firm managing more than 80 monthly retainer contracts, manual invoicing costs less in hours than in tied-up cash: every day an invoice goes out late shows up in collections. A full automation (generation, delivery, reminders, bank reconciliation) costs 4 to 8 million FCFA (about EUR 6,100 to 12,200) and is delivered in 6 weeks. The measurable target is an average payment time cut from 58 to 37 days, with less than 1% of invoices sent late.

Where money leaks in manual invoicing

In a typical Dakar firm, the executive assistant or accountant prepares invoices in Word or Excel at each month-end, checks contract amendments, calculates 18% VAT, exports to PDF and emails them one by one. With 140 contracts, that is 3 to 4 days of work, and invoices for clients with special terms (quarterly billing, rebilled expenses, withholding tax) often go out a week late.

Reminders follow the same logic: they depend on someone being available. As a result, 12% of invoices are sent late, and institutional clients, who already have long approval chains, pay at 58 days on average.

Project scope and 2026 budget

The foundation is a contract register: client, amount, frequency, review date, billing contact, payment terms. From this register, the system generates invoices numbered without gaps, sends them with a Wave Business payment link or bank details, then triggers graduated reminders. Reconciliation reads bank statements (CBAO, Societe Generale Senegal, Ecobank) and Wave notifications to match payments.

Recurring costs stay modest: hosting and maintenance between 75,000 and 120,000 FCFA a month depending on support level, plus Wave Business fees of 1% on payments received through that channel. Export to the accounting software (Sage, Odoo, structured SYSCOHADA Excel) is included in the upper range.

Mini case study

Me Diop, managing partner of a tax and HR consulting firm in Dakar, invoices 140 retainer contracts at an average of 1,500,000 FCFA a month, i.e. 210 million FCFA billed each month. Average payment time is 58 days.

After automation for 6,000,000 FCFA, payment time drops to 37 days. The 21 days gained represent 210,000,000 / 30 x 21, i.e. 147 million FCFA of cash freed once and for all, the equivalent of an overdraft the firm no longer has to finance. At an overdraft rate of 9% a year, the saving on financing costs reaches about 13 million FCFA a year. On top of that, 3 days of administrative work are recovered every month. The project pays for itself in under 6 months on financing costs alone.

FAQ

Do you need to change accounting software?

No, the automation sits upstream and exports entries to your existing tool. In 80% of the firms we meet, a Sage or SYSCOHADA-format Excel export is enough.

Do institutional clients accept automatically sent invoices?

Yes, as long as the invoice includes their mandatory fields (NINEA, purchase order number, contract reference). The contract register stores these fields for each client.

Can large amounts be collected via Wave?

Wave Business accepts payments from business clients, with 1% fees. For invoices above 5 million FCFA, bank transfer remains the most common channel, and reconciliation handles it too.

What happens if a contract changes mid-month?

The amendment is entered in the register and the next invoice is recalculated pro rata. The 2 to 3 hour monthly review exists precisely to validate these cases before sending.

How long before the effect shows in cash flow?

On-time delivery has an effect from the first month. The full reduction in average payment time usually shows after 3 billing cycles, about 90 days.
