AI OCR for supplier invoice processing: cost in 2026

The verdict in three sentences

Above 800 supplier invoices a month, manual entry ties up at least one full-time equivalent and creates matching errors that cost more than automation. An OCR + AI pipeline with three-way matching (invoice, purchase order, goods receipt) costs EUR 12,000 to 25,000 excl. VAT to set up, then EUR 0.10 to 0.30 per invoice. The project also lays the groundwork for the French e-invoicing reform: since 1 September 2026, every French company must be able to receive electronic invoices through an accredited platform.

What AI changes compared with classic OCR

OCR in the 2015 era read fixed zones on one template per supplier: every new supplier required configuration. Today's document AI models understand an invoice's structure without a template. They extract supplier, company ID, number, dates, lines, quantities, unit prices, VAT by rate and order references, with a confidence score per field.

The value then lies in matching. The AI compares each line with the ERP purchase order and the warehouse goods receipt, applies your tolerances (2% price variance, 5% quantity variance) and only sends anomalies to a human.

The per-invoice cost covers the model call, legally valid storage and monitoring. It falls as the share of invoices received in structured format grows: a Factur-X or UBL invoice no longer needs extraction, only matching. SMEs, which will only be required to issue e-invoices from September 2027, will nonetheless receive a growing share of structured flows from large companies and mid-caps from 2026 onward.

Mini case study

Claire, CFO of a 180-employee precision engineering SME near Lyon, receives 1,800 invoices a month. Three accountants spend about 6 minutes on each, i.e. 180 hours a month, and 4% of invoices lead to a price dispute detected too late.

After a EUR 18,000 excl. VAT project, 92% of invoices go through with no manual entry. Handling the 144 exceptions plus monitoring takes 35 hours a month: 145 hours recovered, valued at EUR 35 fully loaded, i.e. EUR 5,075 a month. Usage at EUR 0.20 per invoice comes to EUR 360. The net gain reaches EUR 4,715 a month and the project pays back in just under 4 months, before counting early-payment discounts that the accounting firm estimated at 0.5% of eligible purchases.

FAQ

Is AI OCR reliable on poor-quality scanned invoices?

On a 200 dpi scan, per-field accuracy usually exceeds 95%. Below that, the confidence score drops and the invoice goes to the exception queue rather than being wrongly approved.

Does this project replace choosing an accredited platform?

No, receiving electronic invoices must go through an accredited platform since September 2026. Our pipeline connects to it and also processes the PDFs and paper invoices that keep arriving, still 40 to 60% of flows for an SME in 2026.

How long until go-live?

Allow 8 to 12 weeks, 3 to 4 of them for the ERP connector. A pilot on 200 invoices always precedes the full switchover.

Do you need to keep paper originals?

Accounting records must be kept for 10 years. Scanning compliant with the NF Z42-026 standard allows paper to be destroyed, and the pipeline archives the PDF with its fingerprint.

What minimum volume justifies the project?

Below 400 invoices a month, a standard SaaS tool at EUR 150 to 400 a month is often enough. Custom development makes sense from 800 invoices or complex matching with partial receipts.

Let's scope your project. Send us your monthly volume, your ERP and a sample of 20 invoices: we will price an AI OCR pipeline between EUR 12,000 and 25,000 excl. VAT, delivered in 8 to 12 weeks. Detailed quote within 48 h. WhatsApp +221 77 596 93 33.
