The verdict in three sentences
For a supplier of office supplies and business services, a punchout catalogue is no longer optional: without it, enterprise buyers cannot order from Coupa or SAP Ariba, and your approved-supplier status is at risk at the next tender. The technical work comes down to three building blocks: a B2B catalogue with contract pricing per customer, a cXML and OCI gateway, and purchase orders flowing into your ERP without rekeying. Plan on 3 to 4 months, with a budget driven mainly by the number of platforms and the quality of your product data.
Punchout, static catalogue or supplier portal: what buyers expect
Large procurement departments allow three ordering modes. A static catalogue (CIF or spreadsheet loaded into the platform) is simple but goes stale quickly. A supplier portal forces the buyer out of their tool. Punchout opens your B2B store from inside Coupa or Ariba, the buyer fills a cart at negotiated prices, and the cart returns to their platform for internal approval.
| Criterion | Static catalogue (CIF) | Supplier portal | Punchout cXML or OCI |
|---|---|---|---|
| Price and stock updates | Manual, 1 to 4 times a year | Real time | Real time |
| Contract pricing per customer | One file per customer | Yes | Yes, based on buyer ID |
| Complex configurations (kits, services) | Impossible | Possible | Possible |
| Buyer experience | Inside their platform | Outside their platform | Inside their platform |
| Purchase order rekeying | Frequent | Frequent | None if OrderRequest is integrated |
| Procurement preference in 2026 | Low | Low | High |
Protocols to know: cXML for Coupa, SAP Ariba, Jaggaer and most US-origin suites; OCI for customers on SAP SRM or S/4HANA direct procurement. A good gateway handles both, plus order confirmation and, ideally, e-invoicing.
What integration costs in 2026
Three routes exist: a specialist punchout connector vendor, the punchout module of a B2B e-commerce suite, or a custom gateway wired into your catalogue and ERP. Market figures are 2026 orders of magnitude seen in Europe; US figures run similar in USD.
| Option | Setup cost | Recurring cost | Limits |
|---|---|---|---|
| Specialist punchout connector vendor | EUR 15,000 to 45,000 | EUR 500 to 2,000 per month | Billed per connected platform, data prep still on you |
| Punchout module of a B2B e-commerce suite | EUR 20,000 to 60,000 integration | Licence EUR 1,500 to 5,000 per month | Heavy if you do not otherwise use the suite |
| Supplier fees on the Ariba Network | Variable by volume | Based on transaction volume | Negotiable, sometimes covered by the customer |
| Kolonell custom gateway, medium tier | 4,000,000 to 7,000,000 FCFA (EUR 6,100 to 10,670) | Maintenance 75,000 FCFA per month (EUR 114) | One or two platforms, existing catalogue |
| Kolonell custom gateway, complex tier | 7,000,000 to 15,000,000+ FCFA (EUR 10,670 to 22,870+) | Maintenance 120,000 FCFA per month (EUR 183) | Multi-platform, per-customer pricing, ERP |
The simple tier of our grid (2,500,000 to 4,000,000 FCFA, EUR 3,810 to 6,100) rarely fits here, except for a single OCI customer with a clean catalogue. For 15 customers, 12,000 SKUs and per-account contract pricing, you are in the complex tier. Everything else (hosting, e-invoicing, specific ERP connectors) is on quote.
The real work: your product data
Project experience shows 40 to 50% of the effort goes into data, not protocol:
- UNSPSC classification for every SKU, required by most buyers.
- Price grids per customer: discounts by family, net prices on SKU lists, carriage-paid thresholds.
- Consistent units of measure (box, case, pallet) between ERP and catalogue.
- Certification testing with each customer: 2 to 4 weeks per platform on average, depending on their team's availability.
Our approach: a central B2B catalogue (12,000 SKUs), a contract pricing engine, a cXML and OCI gateway, then purchase orders flowing back to the ERP. Total timeline: 3 to 4 months, connecting the 3 highest-volume customers first.

Kolonell builds websites that attract clients, optimized for the Sénégalese market. Free quote in 2 minutes.
Emma, key accounts director at an office supplies and facilities services supplier in London, manages 15 enterprise customers. Her team rekeys about 1,100 purchase orders a month received as PDF or email, at 9 minutes each, with a 3% price or SKU error rate.
- Rekeying time: 1,100 x 9 min = 165 hours a month, 1,980 hours a year
- At a loaded cost of EUR 38 an hour: EUR 75,240 a year
- Credit notes from errors: 3% of 1,100 orders at EUR 420 average, 5% of value disputed, about EUR 8,300 a year
- Complex-tier custom project, top of range: 15,000,000 FCFA (EUR 22,870), plus EUR 183 a month maintenance
With 85% of orders moving to punchout, savings exceed EUR 70,000 a year. The investment is recovered in about 4 months, and all 15 approved-supplier positions are secured for upcoming tenders.
FAQ
Do we need separate gateways for Coupa and Ariba?
No, both speak cXML: one well-built gateway serves both, configured per customer. Allow 2 to 4 weeks of certification testing per platform.
Our contract prices change every year. Is that a problem?
The pricing engine reads the buyer ID passed at punchout session start. An annual update of 15 grids takes a few hours of imports, with no development.
Do we have to pay for the Ariba Network?
Some suppliers pay fees based on transaction volume, others are exempted by their customer. Negotiate it at onboarding: it can amount to several thousand euros a year.
Does punchout handle invoicing too?
The core flow covers cart, purchase order and confirmation. cXML e-invoicing, increasingly mandated in Europe, is an add-on priced on quote.
How long until the first punchout order?
Typically 8 to 10 weeks for the first customer, to prepare catalogue and pricing. Later customers then connect in 2 to 4 weeks each.
