The verdict in three sentences
For a New York firm with 4 principals and around 28 collectors and process servers handling 22,000 files a year, the core collection platform should stay: it holds the trust accounting, the compliance logs and the court filings. Money leaks in the surrounding work: creditor reporting, early stage amicable recovery, and field service proof captured twice. A targeted custom build around those gaps, connected to the existing platform, usually pays back in under 18 months.
Where the hours go in a 32 person firm
The managing partner describes a familiar picture. The collection software works, but client updates, payment plans, affidavits of service and monthly reports live in spreadsheets and inboxes. Of 22,000 files, roughly 9,000 are consumer or commercial debts where a well timed, compliant contact settles the account before litigation.
| Workstream | Annual volume (estimate) | Current average time | Target time with dedicated modules |
|---|---|---|---|
| Service of process and routine filings | 13,000 files | 12 min | 10 min |
| Early stage recovery files | 9,000 files | 45 min cumulative | 20 min |
| Creditor status calls and emails | 14,000 requests | 6 min | 1 min via portal |
| Field service proof (GPS, photos, affidavits) | 6,500 attempts | 15 min | 6 min |
| Trust account reconciliation | 12 months | 3 days per month | 1 day per month |
| Monthly reports to key clients | 40 clients | 1.5 h per client | 10 min |
These are 2026 orders of magnitude from firms of similar size. The creditor portal alone frees about 1,400 staff hours a year.
Off-the-shelf, custom or a mix
US collection and process serving platforms typically charge 100 to 350 USD per user per month depending on modules (dialer, compliance, payment portal, e-filing). For 32 users that is 38,400 to 134,400 USD a year. Replacing the core is rarely wise: trust accounting, licensing records and audit trails required by New York City DCWP rules need a proven system.
| Option | Indicative cost | Timeline | What you get | Main limit |
|---|---|---|---|---|
| Core platform only | 100 to 350 USD per user per month | 1 to 3 months | Accounts, trust accounting, compliance logs | Rigid client reporting |
| Add-on recovery module from a second vendor | 10,000 to 30,000 USD per year (2026 order of magnitude) | 2 months | Automated contact cadences | Double entry if poorly integrated |
| Kolonell custom, simple application | 2,500,000 to 4,000,000 FCFA (3,810 to 6,100 EUR) | 2 to 3 months | Read only creditor portal | No recovery workflow |
| Kolonell custom, medium application | 4,000,000 to 7,000,000 FCFA (6,100 to 10,670 EUR) | 3 to 5 months | Portal, recovery workflow, mobile field proof | Depends on vendor API |
| Kolonell custom, complex application | 7,000,000 to 15,000,000+ FCFA (10,670 to 22,870+ EUR) | 4 to 6 months | Full scope, dashboards, debtor scoring | Partner sponsorship required |
| Kolonell maintenance | 35,000 / 75,000 / 120,000 FCFA per month (53 / 114 / 183 EUR) | ongoing | Fixes, updates, monitoring | Tier depends on criticality |

The modules that actually matter
Creditor portal. Each client logs in, sees file status, service attempts, collected and remitted amounts, and downloads a monthly statement. Access is restricted to its own files, with a full access log.
FDCPA compliant recovery workflow. Validation notices sent within the required window, contact cadences that respect Regulation F limits (no more than 7 call attempts in 7 days per debt), opt-out handling for emails and texts, payment plans and a secure pay link for the debtor. Files move to litigation automatically when a plan defaults.
Mobile field proof. A phone app for process servers records GPS coordinates, timestamped photos and notes, then drafts the affidavit of service. New York requires electronic records of service for licensed process servers, so the data format is designed around that.
Accounting bridge. Collections flow into the trust accounting of the core platform through controlled imports, with assisted bank reconciliation.
Data is encrypted, hosted in the US, and consumer data handling follows state privacy rules and GLBA where it applies.

Mini case study
Dana, managing partner of a collection and process serving firm in Manhattan, chooses a medium application: creditor portal, recovery workflow and mobile field proof.
- Time freed on creditor requests: 14,000 x 5 min = 1,167 hours a year.
- Time freed on early recovery: 9,000 x 25 min = 3,750 hours a year.
- Time freed on field proof: 6,500 x 9 min = 975 hours a year.
- Total: about 5,900 hours, close to 3 full time staff redeployed to litigation and service.
- At a loaded cost of 38 USD an hour, the gain is around 224,000 USD a year.
With a budget in the 6,100 to 10,670 EUR range and maintenance at 114 EUR a month, payback is counted in weeks. Even dividing the gains by three to stay prudent, the firm recovers its spend within one quarter.
FAQ
Do we need to leave our current platform?
No. In 9 cases out of 10 the core stays for accounts and trust accounting, and custom modules sit around it. Migrating a core collection system for 30 users often exceeds 60,000 USD.
What if the vendor has no API?
We use scheduled exports and imports in CSV or XML, checked at every cycle. A 2 to 3 week audit confirms feasibility before any commitment.
Is the recovery workflow FDCPA compliant?
The rules are built in: validation notice timing, the 7 in 7 call cap of Regulation F, quiet hours between 9 pm and 8 am, and opt-out handling. Your compliance counsel signs off the templates before go-live.
How long until production?
Plan 4 to 6 months for the full scope, with a first module, usually the portal, live by month 3. Staff are trained in groups of 5 or 6.
What does maintenance cost?
Three tiers: 35,000, 75,000 or 120,000 FCFA per month (53, 114 or 183 EUR). For a tool used by 32 people, the middle tier is the usual choice.
