Quoting software for a corrugated packaging converter: cost and ROI

The verdict in three sentences

A corrugated packaging converter with 45 staff producing 50 quotes a day in spreadsheets loses orders to slow turnaround and margin to calculation errors. Custom quoting software that automatically works out board consumption, machine times and draws on a FEFCO style library costs, as a 2026 order of magnitude, EUR 25,000 to 60,000 with a European agency (roughly USD 27,000 to 65,000 in North America). Response time drops from 2 hours to 15 minutes and every quote protects the target gross margin.

Why spreadsheets break down in corrugated packaging

A corrugated quote combines about ten variables: internal dimensions, FEFCO style, flute grade (E, B, C, BC double wall), paper grammage, number of flexo colours, cutting die, run length and packing. Each one changes the board area used, waste and time on each machine. An experienced estimator copes in a spreadsheet; a new hire can forget make-ready waste or the cost of a new die.

What the software must include

The calculation engine. From internal dimensions and the FEFCO style, it unfolds the blank, computes board area per unit, applies waste and picks the best layout across the deckle. It then reads speeds for each station: corrugator or bought-in sheets, flexo printer, flatbed or rotary die cutter, folder-gluer.

The sales configurator. The salesperson picks a style, enters size and quantities (500, 2,000, 10,000 units) and gets three volume prices, with a branded PDF quote.

Production scheduling. Once accepted, the quote becomes a works order with machine times already calculated. The schedule shows load per machine for the next four weeks, so you can promise a realistic lead time.

Reporting. Quote conversion rate, quoted margin versus actual margin, average price per square metre by customer.

For quoting, FEFCO, scheduling and an accounting connector, Kolonell places the project in the medium tier, EUR 6,100 to 10,670 (4,000,000 to 7,000,000 FCFA). Adding a customer portal with an online configurator and two-way ERP data exchange moves it to the complex tier, EUR 10,670 to 22,870+ (7,000,000 to 15,000,000+ FCFA). Specific connectors and dedicated hosting are quoted on request.

Tom, sales director at a 45-person corrugated converter in the English Midlands, runs EUR 9 million in annual revenue. His team of 4 estimators produces 50 quotes a day.

  • Current calculation time: 15 minutes per quote on average. With the software: 4 minutes. Saving: 50 × 11 minutes = 9.2 hours a day, more than two full-time roles freed for business development.
  • Response time: customers waited 2 hours on average, often half a day. At 15 minutes, the firm replies while the buyer is still comparing.
  • Margin: an audit of 200 quotes shows 6% were underpriced by 8% on average because waste or tooling was missed. On EUR 9 million, that is a loss of about EUR 43,000 a year (9,000,000 × 6% × 8%).
  • Software built for EUR 45,000 by a local agency pays for itself within a year on recovered margin alone.

FAQ

Do we need to load every FEFCO style?

No. Most converters produce 80% of their volume with 10 to 15 styles. Start with those and add others as requests come in.

How does the software know our machine speeds?

They are entered during scoping, by machine and size range, then adjusted with actual times recorded on the shop floor. Plan 2 to 3 half-day workshops with the production manager.

Board prices change often. How do we keep up?

The supplier price list is imported from a file or entered in minutes. A paper index can be applied to all open quotes, with an alert when the change exceeds 3%.

How long until we are up and running?

Allow 3 to 5 months: 4 weeks of scoping, 8 to 12 weeks building the engine and configurator, then 4 weeks running in parallel with the spreadsheet.

Can it connect to our ERP?

Yes, if the ERP offers an API or scheduled exports. An accepted quote becomes an ERP order without re-keying.
