The verdict in three sentences
A 5-property hotel group that consolidates revenue by hand every Monday is steering a week behind its competitors. A central reservation system connected to existing PMS platforms, with a daily RevPAR and occupancy dashboard, costs, as a 2026 order of magnitude, EUR 30,000 to 70,000 as a custom build with a European or Mediterranean agency (90,000 to 220,000 TND in Tunisia). The realistic target is a report every morning instead of weekly and a gain of 3 to 5 occupancy points from faster pricing decisions.
The problem: five PMS, five files, one lost Monday
In many regional hotel groups, each property runs its own PMS, often installed in different years. The finance controller receives five exports, reworks them in a workbook and delivers last week's figures on Monday evening. Meanwhile, rates on Booking.com and Expedia have not moved, while a competitor down the coast has already adjusted.
| Metric | Definition | What daily tracking requires |
|---|---|---|
| Occupancy | Rooms sold ÷ rooms available | Daily reads from every PMS |
| Average daily rate (ADR) | Room revenue ÷ rooms sold | Revenue net of commissions and city taxes |
| RevPAR | ADR × occupancy, or room revenue ÷ rooms available | Both figures above, per hotel and consolidated |
| Pick-up | Bookings taken since yesterday for a future date | Timestamped booking history |
| Channel mix | Direct, OTA, tour operators, corporate | Reliable channel code in each PMS |
| Acquisition cost | OTA commissions (15 to 18%) and channel fees | Commission attached to each booking |
What the central reservation system does
A single booking engine on the group website that checks availability across the 5 hotels and lets guests compare. Online payment runs through a local or international gateway depending on the guest mix.
PMS connectors. Each PMS sends bookings, cancellations and out-of-order rooms nightly or hourly. PMS platforms without an API use scheduled exports. This is often the most expensive part of the project.
The dashboard. Every morning the CEO sees yesterday's and the next 90 days' occupancy, ADR and RevPAR, hotel by hotel, against last year. The revenue manager gets an alert when pick-up for a date falls behind.
Groups and corporate module. Negotiated rate contracts, tour operator allotments, deposit tracking.
Budget: market solutions versus custom
| Option (2026 order of magnitude) | Entry cost | Recurring cost | Weak point |
|---|---|---|---|
| SaaS booking engine per hotel | EUR 1,000 to 2,500 | EUR 450 to 1,200 per month per hotel | No group view, no consolidated RevPAR |
| BI tool fed by exports | EUR 6,000 to 15,000 | BI licences | Relies on manual export quality |
| Custom CRS, European or regional agency | EUR 30,000 to 70,000 | Maintenance 10 to 15% a year | Demanding PMS scoping |
| Kolonell custom application, full scope | EUR 10,670 to 22,870+ (7,000,000 to 15,000,000+ FCFA) | Maintenance 75,000 or 120,000 FCFA per month | Remote workshops, on-site acceptance to plan |
| Dashboard only, no booking engine | EUR 6,100 to 10,670 (4,000,000 to 7,000,000 FCFA) | Maintenance 35,000 to 75,000 FCFA per month | Does not reduce OTA dependence |
A CRS with booking engine, 5 PMS connectors and a dashboard falls in Kolonell's complex application tier, EUR 10,670 to 22,870+ (7,000,000 to 15,000,000+ FCFA). Connectors to legacy PMS and dedicated hosting are quoted on request.

- Rooms available per year: 520 × 365 = 189,800.
- Current RevPAR: 60 × 62% = EUR 37.20.
- With daily reporting and faster rate changes, a prudent assumption is a 3-point occupancy gain, to 65%.
- Extra rooms sold: 189,800 × 3% = 5,694 room nights, about EUR 341,000 in extra room revenue at constant ADR.
- If the direct share rises from 20% to 28% through the group engine, each booking point moved away from a 16% OTA commission saves roughly EUR 10,000 a year on this volume, net of payment fees (1% of EUR 7.4 million room revenue × 16%, minus 2% fees).
Even counting only half the occupancy gain, a EUR 70,000 project pays back within one season.
FAQ
Do we have to replace our PMS?
Usually not. We connect to existing PMS platforms by API or scheduled export. Replacement is justified only when a PMS allows no data extraction, which affects fewer than 1 hotel in 5 in our audits.
How soon is the dashboard available?
A first RevPAR dashboard covering 2 hotels can run within 8 to 10 weeks. The booking engine and all 5 connectors take 5 to 7 months in total.
Can the booking engine take several currencies?
Yes, using a local gateway for domestic cards and an international one for overseas guests. Transaction fees range from 1.5 to 3% depending on the channel.
How do we avoid overbooking?
The CRS reads availability in real time or at short intervals, and a channel manager syncs the OTAs. A safety buffer of 1 to 2 rooms per hotel can be kept during peaks.
Who can see financial data?
Access is role-based: CEO, hotel managers, revenue manager, finance controller. Every view is logged.
