HubSpot to ERP Connector Cost in Berlin: Sync Without Double Entry

Digital Africa

The verdict in three sentences

A Berlin SMB re-keying its won quotes from HubSpot into its ERP (Odoo, but also weclapp or Xentral) loses about 6 hours a week and lets price or billing address mismatches slip through. An off-the-shelf connector costs EUR 50 to 400 a month and is enough to sync contacts and companies; a custom connector at EUR 6,000 to 18,000 excluding VAT becomes necessary once a won quote must become an ERP order with your items, discounts and terms. The main pitfall is not technical: it is the lack of a source-of-truth rule for each piece of data.

What double entry costs

Every deal won in HubSpot must become a customer, an order, then an invoice in the ERP. The sales assistant copies the customer, quote lines, discounts and delivery address. In the other direction, sales reps cannot see unpaid invoices or purchase history in HubSpot, and sometimes chase a customer who is in a dispute.

2026 order of magnitude: at EUR 40 per loaded hour, 6 hours a week is about EUR 11,500 a year, before the cost of billing errors and credit notes.

Off-the-shelf or custom connector

Ready-made connectors (HubSpot Marketplace apps, iPaaS platforms like Make, Zapier or n8n, Odoo sync modules) handle simple objects well. They reach their limits on quotes: HubSpot manages products and deal line items, Odoo manages items with variants, price lists, taxes and units of measure. Mapping between the two requires rules that only specific development handles cleanly.

Pitfalls to avoid

First pitfall: syncing everything both ways with no rule. Define who wins: HubSpot for contacts and deals, the ERP for items, prices, invoices and payments. Second pitfall: launching sync on dirty databases. Deduplicating companies first (VAT ID, Handelsregister number, email domain) avoids creating 15% duplicates in the ERP. Third pitfall: ignoring API limits. HubSpot caps calls by subscription tier and Odoo SaaS also applies quotas; a poorly designed connector stalls right in the middle of month-end close. Fourth pitfall: forgetting the ERP version. Moving from Odoo 17 to 18 or 19 can break an unmaintained marketplace connector.

Julian, sales director at an industrial supplies SMB in Berlin (EUR 5.2M revenue, 4 reps, 25 won deals a week), already paid EUR 120 a month for an iPaaS that only synced contacts. He invested EUR 11,500 in a custom connector: won quotes converted into Odoo orders with customer price lists, invoices and payment status pushed back to HubSpot. Result: 6 hours a week returned to the sales assistant, about EUR 11,500 a year, and billing errors down from 3% to 0.4%, roughly EUR 4,000 of credit notes avoided per year. With EUR 90 a month of hosting, net gain reaches EUR 14,400 a year: payback in 10 months.

FAQ

Is a free HubSpot Marketplace connector enough?

For syncing contacts and companies, often yes. For turning quotes into orders with your ERP price lists and taxes, rarely: 70% of the B2B SMBs we audit end up with additional development.

Which HubSpot edition do we need?

Quote and product objects require at least Sales Hub Starter, and advanced integrations work better from Sales Hub Professional, around EUR 90 to 100 per user per month in 2026.

Does the connector work with Odoo Community?

Yes, through the XML-RPC or JSON-RPC API available in both Community and Enterprise. Cost is similar, within 10%.

How long does the project take?

Allow 5 to 10 weeks: 1 to 2 weeks of scoping and source-of-truth matrix, 3 to 6 of development, 1 to 2 of data migration and acceptance testing.

What happens if a sync fails?

A custom connector puts the record in an error queue, sends an email alert and allows one-click retry. The audit log keeps 12 months of history, which also helps with GDPR accountability.
