AI Invoice Processing and OCR Cost in Amsterdam (2026)

Digital Africa

The verdict in three sentences

Keying in 2,500 supplier invoices a month by hand costs a mid-sized company about EUR 5,800 a month in accounting time. An AI and OCR solution extracts 80 to 90% of invoices with no correction for EUR 0.10 to 0.60 per invoice as SaaS, or EUR 15,000 to 40,000 excluding VAT as a custom project integrated with your ERP. E-invoicing is spreading across Europe (mandatory reception in France since September 2026, Peppol widely used in the Netherlands), yet PDFs, paper and non-EU suppliers remain, so AI stays essential until at least 2027.

What manual entry costs

A manually processed supplier invoice takes 3 to 6 minutes: opening, entering net amount, VAT and total, cost allocation, matching with the purchase order, approval routing. With 2,500 invoices a month at 4 minutes each, the finance team spends 167 hours, a full FTE. The manual error rate sits between 1 and 3%, with duplicate payments and late fees slipping through.

Processing modeTime per invoiceMonthly cost (2,500 invoices)Estimated error rate
100% manual entry4 minEUR 5,800 (167 h at EUR 35/h loaded)1 to 3%
Template-based OCR2 minEUR 2,900 + licence3 to 5% to fix
AI SaaS (Yooz, Dext, Basware, Rossum type)0.6 minEUR 875 + EUR 250 to 1,500 licence0.5 to 1%
Custom AI integrated with ERP0.5 minEUR 730 + EUR 150 to 600 API0.5 to 1%
Structured e-invoice (UBL, Peppol)0.3 minEUR 440Near zero on data

2026 order of magnitude: the real gain depends mostly on the straight-through rate. Moving from 60% to 88% cuts the remaining review time by three.

SaaS or custom project

Specialised SaaS works well for standard flows: domestic invoices, classic chart of accounts, mainstream ERP. Custom makes sense with complex allocation rules (multi-entity, cost tracking by project or site), a specific ERP, or volumes above 2,000 invoices a month, the threshold where SaaS per-invoice pricing often exceeds the cost of an AI model called by API.

The e-invoicing impact in 2026

The EU ViDA package makes structured e-invoicing the norm for cross-border B2B from 2030, and member states move earlier: France made reception mandatory for all VAT-registered companies on 1 September 2026, Belgium mandated B2B e-invoicing in January 2026, and Dutch public buyers already require Peppol. In practice, a Dutch mid-sized company still receives 30 to 60% of invoices as PDF or paper in 2026-2027, plus non-EU suppliers. AI stays profitable and also enriches structured e-invoices (allocation, matching, anomaly detection) that the network merely transmits.

Nathalie, head of accounting at a services company in Amsterdam (EUR 180M revenue, 2,500 supplier invoices a month), had two part-time accountants on data entry. The selected project: custom AI extraction for EUR 28,000, connected to the Peppol access point and the ERP, with three-way matching. After three months, 86% of invoices go straight through. Processing time drops from 167 to 25 hours a month, so 142 hours are redeployed to margin analysis and management control, valued at EUR 4,970 a month. With EUR 400 of monthly API costs, net gain reaches EUR 4,570 a month: payback in six and a half months.

FAQ

What automation rate is realistic?

Between 80 and 90% of invoices extracted with no correction after three months of learning. The remaining 10 to 20% are handwritten, complex multi-page or new-supplier invoices.

Does e-invoicing make OCR obsolete?

Not before 2028 for most mid-sized firms: smaller suppliers move to e-invoicing gradually and non-EU suppliers stay outside the reforms. AI then shifts to allocation and control rather than reading.

Is our invoice data secure?

A serious project hosts data in the European Union, encrypts flows and uses AI APIs with no retraining on your documents. Allow EUR 1,000 to 3,000 more for certified sovereign hosting.

How long does a custom project take?

8 to 14 weeks: 2 weeks of scoping, 4 to 8 of development and ERP connection, 2 to 4 of acceptance testing on a sample of 500 real invoices.

At what volume does custom become profitable?

Usually beyond 1,500 to 2,000 invoices a month or as soon as allocation rules go beyond standard. Below that, a SaaS at EUR 0.30 per invoice remains simpler.
