HR Onboarding Automation: n8n vs Custom in Amsterdam (2026)

Digital Africa

The verdict in three sentences

For a mid-sized company hiring 150 people a year, automating onboarding (accounts, equipment, documents, training) saves about 6 hours per hire, i.e. 900 hours a year across HR, IT and managers. Make at 10 to 30 EUR per month is fine for a quick start, self-hosted n8n at 20 to 80 EUR per month keeps HR data on your servers, and custom development is only justified with very specific rules. Setup costs between 4,000 and 15,000 EUR excl. VAT (2026 market estimate), paid back in under a year.

What manual onboarding costs

In an 800-employee company in Amsterdam, each new hire triggers about twenty tasks: Microsoft 365 or Google Workspace account, HRIS access, badge, laptop order, safety training enrollment, welcome pack, document signature, pension and insurance registration. These tasks travel by email between HR, IT, facilities and the manager.

The symptoms are familiar:

  • the new hire arrives without a laptop or access on day one in 20 to 30 % of cases;
  • leavers do not trigger access removal, a real security risk;
  • nobody knows the status of each arrival, and follow-ups take time.

An automated workflow starts from a single event, the contract signature in the HRIS, and runs all steps with deadlines and owners.

Make, n8n or custom: 2026 comparison

These figures are 2026 market estimates in the Netherlands and France. Make charges per operation: a 25-step onboarding for 150 hires uses about 4,000 operations a year, well within entry plans. n8n charges per execution in the cloud version and nothing for the self-hosted community edition, apart from the server.

In total, work per arrival drops from about 6 h 30 to 35 minutes. The biggest gain is often coordination, more than account creation itself.

On compliance, HR data falls under the GDPR: data minimization towards each tool, access logging, defined retention periods. With Make or n8n cloud, choose the EU region and sign the data processing agreement. In the Netherlands, the works council (ondernemingsraad) has a consent right if the tool can monitor employee activity.

*Illustrative example.* Femke, HR director of an 800-employee industrial company in Amsterdam, handles 150 arrivals and 110 departures a year.

  • Time saved: 150 x 6 h + 110 x 0.9 h = 999 hours per year.
  • Value at an average 42 EUR loaded hourly cost (HR, IT, managers): 41,958 EUR per year.
  • Chosen option: self-hosted n8n, setup estimated at 9,000 EUR excl. VAT, server at 40 EUR per month and external support at 250 EUR per month, i.e. 12,480 EUR in year one.

Payback comes in about 4 months. Femke also tracks the share of hires fully equipped on day one, which in this scenario rises from 72 % to over 95 %.

FAQ

Make or n8n: which one for HR data?

Make is easier to learn and has over 2,000 connectors. Self-hosted n8n keeps data on your servers, which IT departments of companies above 500 employees often prefer.

Do we need an in-house developer?

Not for Make. For self-hosted n8n, plan 2 to 4 hours a month of maintenance (updates, backups), handled internally or by a provider.

Our HRIS has no connector, is that a blocker?

Rarely: most HRIS on the market expose an API or scheduled exports. A custom HTTP connector usually adds 1,000 to 3,000 EUR excl. VAT to the project.

How long does the project take?

Count 3 to 7 weeks depending on the tool, including a week of task mapping with HR, IT and facilities, and two weeks of tests on 5 to 10 real arrivals.

Can departures be automated too?

Yes, and it is often the security priority: access removal drops from 1 hour to 5 minutes, and no orphan account stays active beyond the last day.
