EUDR Traceability Software for Farmer Cooperatives in Amsterdam (2026)

Digital Africa

The verdict in three sentences

Under the EU Deforestation Regulation (EUDR), importers in Amsterdam, Rotterdam and Hamburg now require, for each lot, the geolocation of the plots and proof they were not deforested after 31 December 2020. For a farmer cooperative union in Benin supplying them, custom management and traceability software costs 8,000,000 to 18,000,000 FCFA excl. VAT (about 12,200 to 27,400 EUR) in 2026, including an offline field-collection app. Traced lots commonly earn a 5 to 10% premium and keep access to the European market.

What the software must cover

Traceability is more than a map. The buyer wants to link every exported bag to an identified farmer, a polygon-mapped plot and a dated weighing. The software must therefore hold the cooperative's data together, from field to consolidation warehouse.

ModuleFunctionEUDR or buyer requirementShare of budget
Member registryIdentity, ID document, photo, Mobile Money numberFarmer identification10 to 15%
Plot mappingGPS polygons captured on smartphone, offlineMandatory geolocation above 4 ha20 to 25%
Deforestation checkCross-check with satellite forest-cover mapsProof of no deforestation10 to 15%

Farmer paymentsAdvances, premiums, Mobile Money payoutTransparency required by certifications10 to 15%

The critical technical point is offline mode. In production areas such as Borgou or Collines, network coverage is patchy: field agents collect data all day and sync in the evening at the warehouse.

Custom build or vendor: 2026 comparison

Several off-the-shelf agricultural traceability platforms exist. They start fast but often charge per farmer per year and fit poorly with a union's own rules (season advances, deductions, group premiums).

3-year cumulative cost22,000,000 to 61,000,000 FCFA13,400,000 to 32,400,000 FCFA

These are 2026 estimates. Beyond 2,000 farmers, a custom build is usually cheaper over 3 years, and the union keeps control of its data.

Mini case study

Mr Houngbédji chairs a union of 12 cooperatives grouping 4,000 cashew and soy farmers, marketing 6,000 tonnes a year. He invests 12,500,000 FCFA excl. VAT in custom software, plus 250,000 FCFA per month for maintenance, a first-year total of 15,500,000 FCFA (about 23,600 EUR).

On 2,500 tonnes of cashew sold to a Dutch buyer at 400 FCFA per kilo, a 6% traceability premium brings an extra 60,000,000 FCFA over the season. Mobile Money payouts also remove 3 cash-distribution rounds per season, saving about 1,800,000 FCFA in transport and security. The investment is covered in the first season.

FAQ

Does the EUDR apply to smallholder farmers in Benin?

It applies to the EU importer, which therefore requires supplier data for cocoa, coffee, soy, palm oil and other commodities. Cashew is not listed to date, but many buyers already request the same traceability to secure their supply chain.

How long does it take to map 4,000 plots?

With 10 agents equipped with smartphones mapping around 15 plots a day, allow 4 to 6 weeks of fieldwork. The software must be ready before the season to avoid doubling the surveys.

What smartphones do field agents need?

An entry-level Android at 70,000 to 120,000 FCFA (107 to 183 EUR) with GPS is enough, provided the app is optimised for offline use. Plan power banks for long days.

Can a donor fund the project?

Yes, programmes from GIZ, AFD or the European Union often fund 30 to 70% of producer organisations' traceability tools. A costed specification makes the application easier.

Who keeps the farmers' data?

With custom software, the union owns the database and decides what it shares with each buyer. Processing must comply with Benin's personal data law, with members' consent.

Let's scope your project. Tell us your number of farmers, commodities and buyers: we price traceability software at 8,000,000 to 18,000,000 FCFA excl. VAT, deployable in 4 to 6 months ahead of your season. Detailed quote within 48 h. WhatsApp +221 77 596 93 33.
