ERP Integration for B2B E-commerce Cost in Toronto (2026)

E-commerce

The verdict in three sentences

Connecting Sage X3 to a B2B e-commerce store costs, as a 2026 order of magnitude in the Greater Toronto Area, between CAD 35,000 and 110,000, depending on the number of data flows and the state of your item master. The real payoff comes from inventory sync every 5 minutes and account-specific pricing, which cuts out-of-stock surprises after checkout by about 60%. Plan for 8 to 12 weeks and an IT owner available at least one day a week.

What actually gets synced, and how often

An electrical supplies distributor selling to contractors, engineering firms and facility managers in Mississauga, Vaughan and Scarborough does not sell like a consumer site. Every account has its own discount matrix, credit limit, payment terms and preferred pickup branch. The store is useless if it shows list price or yesterday's stock. Step one is mapping each flow, its direction and its frequency.

Inventory sync runs as a delta: only items changed since the last pass are sent, typically 150 to 400 lines every 5 minutes instead of 4,000. Site visitors never query Sage X3 directly. A middleware layer between the two systems calls the X3 web services, caches data, queues orders and automatically retries a failed push. That component protects the ERP when 60 contractors place orders at the same time on a Monday morning.

Three architectures compared

Not all integrations are equal. The right choice depends on volume, how custom your pricing is, and how much recurring licence spend finance will approve.

Option2026 order of magnitude (CAD)TimelineStrengthLimitation
Scheduled CSV export over SFTP6,000 to 15,0003 to 4 weeksSimple, cheapStock hours out of date, no account pricing

Dedicated B2B SaaS platform3,000 to 9,000 per month in licences10 to 16 weeksRich B2B featuresHigh recurring cost over 3 years

For a distributor with 4,000 SKUs and 900 active accounts, custom middleware usually wins on a three-year total cost: no monthly platform fee, and business rules that match how you actually sell (credit card for small contractors, net 30 terms and EFT for large accounts). Kolonell builds this kind of project from Dakar under its custom application grid: medium 4,000,000 to 7,000,000 FCFA (6,100 to 10,670 EUR), complex 7,000,000 to 15,000,000+ FCFA (10,670 to 22,870+ EUR). The storefront itself is handled by our e-commerce team.

Line-by-line budget and a 12-week plan

Work packageShare of budgetWeeksDeliverable
X3 data audit (codes, units, branches)10%W1 to W2Data dictionary and anomaly list
Middleware, queues, error log30%W2 to W6Connector tested on staging
B2B store (accounts, pricing, quick order)30%W3 to W8Full store on live data
Joint testing with IT, inside sales and reps15%W8 to W10Signed acceptance report
Training, go-live, hypercare15%W10 to W12Live store and 30 days of support

The data audit is the most underestimated line. At most distributors, 5 to 15% of items have an inconsistent sales unit (cable sold by the reel but stocked by the metre, breakers sold singly but stocked by the box) or a ghost branch. Fixing those records in X3 before launch prevents weeks of support tickets.

Marc, CIO of an electrical supplies distributor in Mississauga, manages 4,000 SKUs, 900 trade accounts and around 120 orders a day. Today 9% of web orders contain an item discovered to be out of stock after checkout, about 11 orders a day. In 30% of those cases the contractor cancels and buys elsewhere: 3.3 lost orders a day.

With an average order of CAD 2,400 and a 22% gross margin, each lost order costs CAD 528 in margin. After integration, out-of-stock surprises fall by 60%: 4.4 cases a day remain, and 1.3 lost orders. Marc recovers about 2 orders a day, so 2 × 528 = CAD 1,056 a day, and 1,056 × 21 working days = CAD 22,176 a month. On a CAD 70,000 project, payback comes in a little over 3 months, before counting the 130 minutes of inside-sales calls saved each day.

FAQ

Do we need to move Sage X3 to the cloud first?

No. An on-premise X3 install exposes its web services through a VPN or a secured fixed IP. Budget roughly CAD 50 to 150 a month for a business-grade VPN endpoint.

Why not sync stock in real time?

A 5-minute refresh covers more than 95% of B2B distributor cases and spares the ERP. Real time is only worth it for the 50 to 100 fastest-moving SKUs, which can be handled separately.

What happens if the ERP goes down?

The middleware keeps orders in a queue for up to 72 hours and pushes them as soon as X3 is back. The customer gets a normal order confirmation and inside sales sees an alert in the log.

Do negotiated prices stay confidential?

Yes. Price lists only appear after login, and each of the 350 lists is visible only to the accounts attached to it. Anonymous visitors see list price or a request-a-quote button.

What does post-launch maintenance cost?

Kolonell maintenance runs 35,000, 75,000 or 120,000 FCFA a month (53, 114 or 183 EUR). For an ERP integration with flow monitoring, the 75,000 or 120,000 FCFA level is recommended.
