The verdict in three sentences
For a company billing 700 business clients on subscription, chasing bank transfers by hand costs more than any direct debit tool. An electronic SEPA mandate wired into your billing software takes DSO from around 48 to 12 days and cuts bad debt by roughly 60%. Integration costs EUR 5,000 to 15,000 net as a 2026 order of magnitude, and per-transaction fees become negotiable once you run a few thousand debits a year.
Recurring collection methods compared
In Berlin, as across Germany, most service SMEs (facility management, managed IT, equipment rental, cleaning contracts) still collect by Überweisung on 30-day terms. The client pays when someone remembers, accounts receivable chases by email and phone, and cash flow depends on the goodwill of 700 accounting departments. SEPA-Lastschrift flips that: you trigger the collection on the due date.
| Method | 2026 fee order of magnitude | Time to cash | Failure handling | Fit for 700 clients? |
|---|---|---|---|---|
| Bank transfer, 30-day terms | EUR 0, but manual chasing | 30 to 60 days | None automated | No |
| Lastschrift via your bank (XML file, EBICS) | EUR 0.15 to 0.50 per debit, plus EUR 30 to 80 a month for EBICS | 2 to 5 business days | Manual, from bank statements | Yes, with a dedicated bookkeeper |
| GoCardless | 1% + EUR 0.20, capped at EUR 4 | 3 to 5 business days | Automatic, scheduled retries | Yes |
| Stripe SEPA Direct Debit | About EUR 0.35 per debit | 5 to 7 business days | Automatic via API | Yes, if already on Stripe |
| Recurring card payment | 1.5 to 2.9% + EUR 0.25 | 2 days | Automatic, expired cards to manage | Rarely in B2B |
Two SEPA schemes exist. SEPA Core (Basislastschrift) is the easiest to roll out, but the payer can request a no-questions refund for 8 weeks. SEPA B2B (Firmenlastschrift) removes that right, provided the client registers the mandate with its own bank. For subscriptions of a few hundred euros, Core covers 90% of cases; B2B is best kept for contracts above EUR 2,000 a month.
What the integration really costs
Direct debit only pays off when it is connected to your invoicing. Otherwise you swap chasing for manual exports and reconciliation.
| Component | 2026 order of magnitude (net) | Timeline | Purpose |
|---|---|---|---|
| Electronic mandate signup flow | EUR 1,000 to 2,500 | 1 week | Client signs online in 2 minutes |
| Connector to billing software or ERP | EUR 2,000 to 6,000 | 2 to 3 weeks | Every invoice triggers its debit |
| Webhooks and automatic failure handling | EUR 1,000 to 3,000 | 1 to 2 weeks | Retry, alert, service suspension |
| Client portal (invoices, payment methods, history) | EUR 1,000 to 2,000 | 2 weeks | Fewer calls to accounts |
| Migration of 700 clients | EUR 0 to 1,500 | 3 to 6 weeks | Mandate links and reminders |
| Total | EUR 5,000 to 15,000 | 6 to 10 weeks |
Watch the e-invoicing timeline: since 1 January 2025 every German business must be able to receive structured e-invoices (XRechnung or ZUGFeRD), and issuing them becomes mandatory from 2027 for companies above EUR 800,000 turnover. Pick a compliant billing tool now so you do not rebuild the connector next year. Kolonell builds this kind of connector under its custom application grid, simple level: 2,500,000 to 4,000,000 FCFA (3,810 to 6,100 EUR), with the rest of the scope set in the quote.
Mini case study
Jonas, CFO of a facility services company in Berlin, bills 700 clients an average subscription of EUR 450 net a month, or EUR 3,780,000 a year. DSO sits at 48 days and late or written-off invoices represent 2% of revenue.
Cutting DSO to 12 days releases 36 days of revenue: 3,780,000 / 365 × 36 = about EUR 372,800 in cash. At a 5% financing cost, that is worth EUR 18,640 a year. Bad debt drops by 60%: 75,600 × 0.6 = EUR 45,360 recovered. On the cost side, 8,400 debits a year capped at EUR 4 come to EUR 33,600 in GoCardless fees at list price, plus EUR 10,000 of integration in year one. Net gain in year one: 18,640 + 45,360 + EUR 12,000 of chasing time saved, minus EUR 43,600, or about EUR 32,400, then more than EUR 42,000 a year after that. Jonas also negotiates: at this volume, per-transaction fees usually come down noticeably.

FAQ
Do we need each client's written consent to debit them?
Yes, a signed SEPA mandate is mandatory, but an electronic signature is enough. With a well-run campaign, 70 to 85% of clients sign within a month.
What happens when a debit bounces?
The failure arrives by webhook within 2 to 5 days. The system schedules a retry, notifies the client and can suspend service after 2 failures.
Is GoCardless more expensive than debiting through our bank?
On a EUR 450 subscription, yes: EUR 4 against EUR 0.15 to 0.50. The difference pays for automated failure handling and reconciliation, often worth 1 to 2 days of bookkeeping a month.
Can large accounts keep paying by transfer?
Yes. The client portal can offer Lastschrift, transfer or card depending on the profile. The top 20 or 30 accounts often keep their 30-day transfer habits.
How long until we are live?
Count 6 to 10 weeks from scoping to the first complete debit cycle. Migrating the 700 clients runs in parallel over 3 to 6 weeks.
