The verdict in three sentences
A Dublin-based dairy cooperative collecting 300 million litres from 480 suppliers pays out monthly sums that tolerate no calculation error: a 0.1% gap is about 135,000 EUR a year. The software must import milk quality results automatically (butterfat, protein, SCC, TBC), apply the payment scheme and publish clear statements on a supplier portal. A custom build at 80,000 to 160,000 EUR brings the monthly milk payment close from 6 days to 2 and is justified by how specific each cooperative's scheme is.
What the software must calculate
Irish cooperatives generally pay on an A+B-C basis: a value per kilo of protein (A), plus a value per kilo of butterfat (B), minus a volume charge per litre (C). Quality then adjusts the price. Somatic cell count (SCC) and total bacterial count (TBC) trigger bonuses or penalties by band. On top come scheme payments (Sustainable Dairy Assurance Scheme, grass-fed, seasonal), deductions (levies, share purchase schemes) and member input purchases offset against the milk cheque.
| Price component | Data source | Frequency |
|---|---|---|
| Volume per collection | Tanker driver's handheld | Every collection, every 2 or 3 days |
| Butterfat and protein | Cooperative or central testing lab | 3 to 4 tests a month |
| Somatic cell count | Lab, monthly average | Monthly |
| Total bacterial count | Lab | 2 to 4 tests a month |
| Scheme bonuses | Supplier contract, SDAS status | Monthly or seasonal |
| Deductions and share schemes | Rules and board decisions | Monthly or annual |
| Store purchases offset | Cooperative merchant stores | Monthly |
With 480 suppliers, collection every 2 days and 4 tests a month, the milk payment team handles about 7,000 collection lines and 2,000 lab results a month. When this flows through exports and spreadsheets, the close takes 6 days and queries arrive after the payment run.
Package or custom: 2026 costs
Dairy management packages exist, but many are designed for private processors and fit cooperative rules poorly. These are 2026 ballpark figures for a cooperative of this size.
| Criterion | Dairy management package | Custom development |
|---|---|---|
| Upfront cost | 30,000 to 60,000 EUR licence and setup | 80,000 to 160,000 EUR |
| Annual cost | 20,000 to 40,000 EUR subscription | Maintenance at 12 to 18% of project |
| Payment scheme | Vendor templates | Cooperative's own scheme, dated versions |
| Lab import | Standard format, paid tweaks | Automatic import in the lab's format |
| Supplier portal | Generic module | Statements, results, history, scheme documents |
| Shares and store offsets | Rarely handled | Built into calculation and statement |
| Time to go live | 3 to 5 months | 5 to 7 months |
The supplier portal changes the relationship: each farmer sees results as they land, understands the milk cheque and can act on a rising SCC before month end. Calls to the payment team often fall by half.

How the project runs over 5 to 7 months
- month 1: scoping with the milk payment team, quality team and two farmer board members, writing a testable calculation spec;
- months 2 to 4: collection and lab imports, calculation engine, check against 12 months of history recalculated to the cent;
- months 4 to 5: statements, supplier portal, accounting export and SEPA payment file;
- months 6 and 7: two closes in parallel with the old system, then switchover.
Recalculating history is the best safeguard: if the engine matches 12 months of actual payments, it can replace the old system with no risk to farmers.

Kolonell builds websites that attract clients, optimized for the Sénégalese market. Free quote in 2 minutes.
Siobhan, head of finance at a 480-supplier cooperative near Dublin, pays for 300 million litres a year at an average of 0.45 EUR per litre, 135,000,000 EUR in total. Today, 3 people spend 6 days on the monthly close. With the new software it drops to 2 days: 4 days saved by 3 people over 12 months, 144 days a year, about 43,000 EUR at 300 EUR per loaded day.
The audit also found keying errors worth 0.05% of payments, 67,500 EUR a year corrected after the fact. The 120,000 EUR project pays back in about 13 months, before counting time saved on the phone with suppliers.
FAQ
Can the software handle several payment schemes?
Yes, each scheme is dated and tied to a contract type (standard, organic, grass-fed). A 480-supplier cooperative commonly runs 3 to 6 in parallel.
How are lab results imported?
By file or API depending on the lab, with automatic checks on herd numbers and outlier values. Importing 2,000 monthly results takes minutes instead of a day.
Will older farmers use the portal?
The portal works on a phone and the PDF statement is still sent by email or post. In practice, 60 to 75% of suppliers use the portal within 6 months of launch.
Is a package better for a small cooperative?
Under 100 suppliers with a simple scheme, a package at 20,000 EUR a year is often cheaper. Custom makes sense above 250 suppliers or with specific bonuses and share rules.
What happens to payment history?
At least 3 years are migrated, and the last 12 months are recalculated to validate the engine. Migration accounts for 5 to 10% of the budget.
