The verdict in three sentences
On a marketplace, vendor payouts derail when the split and the commission ledger drift from provider statements: in Accra that's 1.1% of amounts diverging before automation. A split computed per order, an audited commission ledger and a payout batch proof bring that gap to 0%. Every vendor sees exactly why they received GHS 88 on a GHS 100 sale, and every dispute is settled on evidence.
The source-level split model
The classic trap: computing commission after the fact on an aggregated total. Instead you must freeze the split at order time, line by line, then reconcile the payout batch against the Paystack statement.
| Customer payment | Platform commission (12%) | Vendor share (88%) | Reserve (2%) |
|---|---|---|---|
| GHS 100 | GHS 12 | GHS 88 | GHS 2 |
| GHS 250 | GHS 30 | GHS 220 | GHS 5 |
| GHS 500 | GHS 60 | GHS 440 | GHS 10 |
| GHS 1,000 | GHS 120 | GHS 880 | GHS 20 |
| GHS 2,500 | GHS 300 | GHS 2,200 | GHS 50 |
The reserve (hold) covers refunds and disputes: it's released after the return window, avoiding a painful clawback of money already paid out.
The commission ledger and payout proof
Every weekly payout must be replayable to the unit. Here are the fields we require in the ledger.
| Ledger field | Role | Example |
|---|---|---|
| order_id | traces the sale | ORD-20260-8842 |
| gross_amount | calculation base | GHS 250 |
| commission_rate | frozen at sale | 12% |
| vendor_share | owed to vendor | GHS 220 |
| reserve_hold | dispute holdback | GHS 5 |
| payout_ref | provider proof | PS-77xxxx |
| reconciliation_status | matched / exception | matched |
A Paystack payout batch is then reconciled against the sum of vendor shares: if the difference exceeds the fee tolerance, the batch goes to exception before any disbursement.

On a marketplace billed at 5,000,000 FCFA, a referrer earns 500,000 FCFA. Referral commission tracking uses the exact same audited reconciliation engine as vendor payouts: every payment is provable.
Mini case study
Fatou runs a fashion marketplace in Accra, 300 vendors, 4,200 orders/month, GMV GHS 920,000. Before automation, 1.1% of GMV drifted between her spreadsheet and Paystack statements, roughly GHS 10,120/month of grey zone and weekly vendor disputes. After the source-level split and audited ledger: 0% gap over 3 months, provable weekly payouts, and complaint-handling time down from 5 h to 30 min per week.
FAQ
Why freeze commission at order time rather than at payout? Because a rate computed on an aggregated total hides line-by-line gaps and makes disputes impossible to settle. Frozen at sale, each vendor share is reconstructible to the unit.
What is the 2% reserve for? It covers refunds and disputes during the return window, avoiding a clawback of money already paid out. It's released automatically when the window expires.
How does a vendor contest a payout? They open their order's ledger: gross amount, rate, share, Paystack payout reference. The provider proof (payout_ref) settles 99% of disputes without argument.
Can the referral program stack with a recurring payment? Yes, a referrer earns the commission at signing (10% on marketplace) and can receive a recurring share per the maintenance contract. Everything is tracked in the same audited ledger.
