The verdict in three sentences
A multi-sport club with 1,900 members and 12 sections cannot keep running registrations, instalment payments and court bookings on shared spreadsheets without burning out its volunteers. Off-the-shelf club management tools (0 to 150 EUR a month) cover the basics if the club accepts their limits, while custom software (35,000 to 60,000 EUR excluding VAT, around 4 months) makes sense when sections have very different rules and court and pitch booking is the real daily headache. The decision rests on two numbers: volunteer hours lost each season and membership fees that are never collected.
What actually breaks in a 12-section club
The chair of a Dublin club of this size is really running a dozen small clubs under one constitution. Tennis needs court booking and floodlight fees, swimming works by levels and pool lanes, basketball manages teams and away fixtures, the masters group pays reduced rates. Each section has its own spreadsheet, its own volunteer and its own exceptions.
The symptoms show up every August and September:
- registrations arriving by email, paper and web form, then retyped two or three times;
- instalment plans tracked by hand, with 4 to 8% of fees never fully paid by season end (2026 order of magnitude seen in multi-section clubs);
- family discounts across sections calculated manually and often disputed;
- courts, halls and pitches double-booked between sections and outside hirers;
- volunteer coaches whose Garda vetting and safeguarding training must be tracked before they work with juniors.
| Seasonal task | Volunteer time without a tool | Time with a suitable tool |
|---|---|---|
| Entering 1,900 registrations | 160 h | 20 h of checks |
| Chasing instalments | 100 h | 12 h |
| Safeguarding and vetting follow-up | 45 h | 8 h |
| Court and hall scheduling | 80 h | 15 h |
| External court hire invoicing | 40 h | 5 h |
| Reports for grants and the AGM | 35 h | 6 h |
2026 estimate for a 1,900-member club: about 460 volunteer hours a season without a tool, against 66 hours with a well-configured one.
Off-the-shelf club software or custom build: the 2026 comparison
Irish and UK club platforms offer online registration, direct debit or card instalments and member databases, and some governing bodies provide their own membership systems. Their limits appear in a multi-sport club: cross-section pricing, family bundles, court booking for both members and paying guests, and accounting exports by section.
| Criterion | Governing body or free tool | Paid club platform | Custom software |
|---|---|---|---|
| Cost | 0 EUR a month, often per-transaction fees | 40 to 150 EUR a month | 35,000 to 60,000 EUR excl. VAT, then maintenance |
| Instalments | Limited | Yes | Yes, rules per section |
| Multi-section family discount | Rarely | Partial | Full |
| Court and pitch booking | No | Basic module | Per venue, member and guest pricing |
| Safeguarding records | Separate | Partial | Built in, access restricted |
| Accounting by section | Simple export | CSV export | Export to the accounting package |
| Time to go live | 2 to 4 weeks | 1 month | About 4 months |
For a 300-member single-sport club, an off-the-shelf tool is almost always enough. Above 1,500 members and ten sections, custom software becomes rational if pricing and scheduling rules account for most volunteer work. A middle route is common: keep a market payment platform and build only the booking engine and the committee dashboard, which usually brings the budget toward the lower end of the range.
What the specification must cover
Effective club software rests on five building blocks, prioritised in this order:
- Online registration with section choice, age category, automatic pricing and family discount.
- Payment in one, three or ten instalments by card or SEPA direct debit, with automatic reminders for missed instalments.
- Member file: medical declaration, governing body affiliation, parental consent, photo consent, vetting status for coaches.
- Court, hall and pitch booking with member slots, guest hire at a paid rate and floodlight charges.
- Committee dashboard: members per section, income, arrears, figures for grant applications to the local sports partnership and Sport Ireland programmes.
On compliance, GDPR requires access to health and vetting data to be limited to authorised officers, with a defined retention period. Card payments must go through a regulated payment provider, never through card numbers stored by the club. See also our page on custom web applications.
| Project phase | Duration | Deliverable |
|---|---|---|
| Workshops with 3 to 4 pilot sections | 3 weeks | Pricing rules and registration flow |
| Mock-ups and committee sign-off | 2 weeks | Registration, payment and booking screens |
| Development | 8 weeks | Testable version |
| Migration of last season's data | 2 weeks | Members and history imported |
| Pilot on two sections, then launch | 2 weeks | Live before summer registrations |

Timing is the main constraint: most clubs reopen registration between June and August. A project started in February is ready in time, one started in May is not.
Mini case study
Siobhan, chair of a multi-sport club in south Dublin, chooses custom software at 48,000 EUR excluding VAT, with annual maintenance estimated at 5,000 EUR.
- Volunteer hours saved: 460 h minus 66 h, so 394 hours a season. Valued at 18 EUR an hour, that is 7,092 EUR of volunteer time freed.
- Fees: 1,900 members at an average of 260 EUR, so 494,000 EUR invoiced. Cutting arrears from 6% to 2% through automatic reminders recovers 19,760 EUR a season.
- Guest court hire: online booking fills 6 extra paid hours a week at 20 EUR over 40 weeks, so 4,800 EUR.
- Total yearly gain: about 31,650 EUR. Over three seasons, 94,950 EUR of gains for 58,000 EUR of cumulative cost (48,000 EUR plus two years of maintenance), so payback during the second season.
FAQ
Can a volunteer-run club afford 48,000 EUR of software?
Often yes, by combining reserves, capital or development grants where available, and phasing the work. Many clubs split the project in two, with a first phase around 25,000 EUR covering registration and payments.
Can instalments run by SEPA direct debit instead of card?
Yes, through a regulated provider that handles mandates; fees are typically under 1 EUR per collection in 2026. Direct debit usually lowers arrears further than card reminders.
Who owns the data if we change supplier?
With custom software the club owns the code and the data, exportable as CSV at any time. With a platform, check member and payment exports over at least 3 seasons of history before signing.
Should court booking be in the first release?
If more than 8 sections or outside hirers share the same courts, yes: conflicts typically cost 80 hours a season. Otherwise it can follow in a second phase 2 to 3 months after launch.
How long does it take to train section officers?
Plan one 2-hour session per group of 5 officers and a 10-page guide. Members need no training if registration takes under 5 minutes on a phone.
