Customer management software for a solar mini-grid operator in Berlin: 2026 pricing

Digital Africa

The verdict in three sentences

A solar mini-grid operator headquartered in Berlin and running 28 villages with 9,000 customers in Burkina Faso on Excel files typically suffers 12 to 18% unpaid bills and learns about outages from customer complaints. Customer management software at 15 to 30 million FCFA (EUR 23,000 to 46,000), combined with connected prepaid meters and mobile money top-ups, brings arrears below 5% and turns donor reporting into an automatic export. It is often the condition for unlocking the next tranche of concessional funding.

Monthly costs to plan: hosting and maintenance of 200,000 to 500,000 FCFA (EUR 300 to 760), and about 300 to 600 FCFA per meter of GSM data. Mobile money operator fees are usually negotiated between 1 and 2% of top-ups.

For 9,000 customers, a full switch to connected meters means 315 to 675 million FCFA (EUR 480,000 to 1.03 million) of hardware, often donor-funded; the software is only 5 to 8% of that investment but determines whether it pays off.

Mini case study

Jonas, COO of a Berlin-based mini-grid operator active around Ouagadougou, bills 9,000 customers at an average of 3,500 FCFA a month, or 378 million FCFA (EUR 576,000) a year. With 15% arrears he loses 56.7 million FCFA (EUR 86,000) a year. The software, budgeted at 24 million FCFA (EUR 36,600) with 4.2 million FCFA of yearly maintenance, brings arrears down to 5%: the operator recovers 37.8 million FCFA (EUR 57,600) a year. Dropping collection rounds saves another 6 million FCFA in fuel and per diems. The software pays back in under 8 months.

FAQ

Does the software work with our existing meters?

Yes, if the manufacturer offers an API or a token generation server, which is the case for most prepaid meters on the market. A compatibility audit is done at scoping, for 500,000 to 1 million FCFA (EUR 760 to 1,500).

What happens when the GSM network is down?

The meter keeps running on its remaining credit, and data is stored and sent once the network returns. Customers can also top up by USSD code, which generates a token to enter.

Can we offer different tariffs by use?

Yes, each customer gets a tariff profile: social from 150 to 250 FCFA per kWh, higher commercial and productive-use rates, with power-based packages. Changes are logged for the regulator.

Does reporting meet donor requirements?

The dashboard produces the usual indicators: number of connections, hours of service, energy delivered, collection rate, avoided emissions. It adapts to each donor's format in 2 to 5 days of configuration.

How long is the rollout?

Allow 4 to 6 months, with a 3-village pilot from month three. Extension to all 28 villages follows in waves as meters are installed.

Let's scope your project. Tell us your number of sites, customers and meter models: we will price software between 15 and 30 million FCFA (EUR 23,000 to 46,000) with a working pilot in 3 months. Detailed quote within 48 h. WhatsApp +221 77 596 93 33.
