Shea Butter Cooperative Traceability Software: Cost Guide from Amsterdam

Digital Africa

The verdict in three sentences

For a European cosmetics brand buying shea butter from West African cooperatives, paper traceability no longer holds up: you need to trace each lot back to the women producers and collection zones. Custom software costs 8 to 18 million FCFA (about €12,200 to €27,400) and deploys in 12 to 16 weeks, with a collection app that works without network coverage in rural areas. Buyers often co-fund it, and it pays back through the organic and fair trade premium preserved on certified lots and fewer supply disruptions.

Why traceability is becoming mandatory for shea

Shea is not currently among the seven commodities covered by the EU Deforestation Regulation (cocoa, coffee, oil palm, soy, rubber, wood, cattle). Yet major cosmetics brands already apply similar requirements across their supply chains, driven by the EU Corporate Sustainability Due Diligence Directive and their public commitments. They ask for geolocation of shea parklands, evidence of no child labour, and proof that the price paid to women meets the fair trade minimum.

Organic certification under EU Regulation 2018/848 also requires an internal control system: list of producers, collection areas, physical separation of organic and conventional lots, and a mass balance between kernels collected and butter sold. An unexplained mass balance gap can lead to an entire container being downgraded.

Mini case study

Sophie, head of sourcing at a natural cosmetics brand in Amsterdam, buys 250 tonnes a year of certified organic fair trade shea butter from a union of 60 women's cooperatives in Ouagadougou representing 5,200 producers. Last year, 18 tonnes were downgraded to conventional because traceability was insufficient, a loss of 1,100 FCFA per kg for the union, or 19.8 million FCFA (about €30,000), and a supply gap for the brand.

The brand funds 60% of a 15 million FCFA system, or 9 million FCFA (about €13,700), and the union pays the remaining 6 million FCFA. Avoiding a single downgrade of that size covers the full project, and the brand gains audit-ready data for its due diligence reporting. Mobile money payouts also remove cash transport to 60 villages, estimated at 2.5 million FCFA per season.

FAQ

How much does shea traceability software cost in Burkina Faso?

Custom software costs 8 to 18 million FCFA (about €12,200 to €27,400) depending on scope, delivered in 12 to 16 weeks. Hosting, SMS and maintenance run 1.2 to 2.5 million FCFA a year.

Does the app work without network coverage?

Yes, coordinators log weights offline and data syncs as soon as the phone reaches 3G or the warehouse wifi. A collection day of 300 weigh-ins uploads in under 2 minutes.

Is shea covered by the EU Deforestation Regulation?

Not at present: the regulation targets seven commodities including cocoa and coffee, but not shea. Cosmetics buyers still request comparable geolocation, and the scope may be widened in planned reviews.

Can producers be paid through mobile money?

Yes, the software generates a bulk payout file for Orange Money or Moov Money, with an SMS receipt for each producer. Fees are around 0.5 to 1% of the amounts paid.

Who can fund the project?

European buyers, development cooperation programmes and some fair trade funds often cover 40 to 70% of traceability costs. A detailed quote and a rollout plan are usually required for the application.

Let's scope your project. We work with the brand and the union to define the scope (register, offline collection, lots, certifications, mobile money), an indicative budget usable for a co-funding application and a 12 to 16 week plan. Detailed quote within 48 h. WhatsApp +221 77 596 93 33.
