Integrating Sage with HubSpot for an SME: clients, quotes and invoices

The verdict in three sentences

A two-way Sage and HubSpot sync removes double entry of clients and finally gives salespeople visibility on overdue accounts before they sign a new deal. If your use is standard (contacts, companies, read-only invoices), an off-the-shelf connector at GBP 40 to 250 or EUR 50 to 300 a month is enough; once you have multi-line quotes, client-specific discounts or several Sage companies, a custom build is more reliable. Either way, the longest task is defining the system of record: which tool owns each field.

The typical problem in a London or Dublin SME

Take a 45-person SME in London, a distributor of technical equipment, with 6 reps on HubSpot Sales Hub and finance on Sage 200 (or Sage 50 Accounts in Dublin). Every signed client is rekeyed into Sage by hand, with errors in company numbers and billing addresses. Reps chase a new order from a client sitting on GBP 15,000 overdue for 90 days. Revenue per rep is reported in Excel at month end, two days late.

The connector has to answer three questions: which objects move (companies, contacts, products, quotes, invoices, payments), in which direction, and how often.

Off-the-shelf connector or custom build

Several vendors sell ready-made Sage to HubSpot bridges. They work well on Sage 50 or Sage 200 with standard use. Limits show up with custom fields, complex quotes, multi-company setups and business rules (blocking a quote if the balance exceeds a threshold).

A multi-entity case with discount approval workflow and margin dashboard is closer to a medium-complexity application, 4,000,000 to 7,000,000 FCFA (6,100 to 10,670 EUR). Scope is set in the quote after a data-mapping workshop.

Technical traps to plan for

On-premise Sage. Many SMEs still run Sage 200 or Sage 50 on an office server. You need a sync agent on that server or a move to Sage's cloud offering, which changes the estimate.

Legacy duplicates. Before the first sync, deduplicating 3,000 to 10,000 existing records is essential, otherwise the connector multiplies errors. Allow one to two weeks.

HubSpot API limits. Professional accounts have per-10-second and daily call limits. A 15-minute sync stays comfortable if it only processes changes (delta), not the full database.

UK GDPR and GDPR. Billing and balance data become visible to sales. HubSpot permissions need review and your records of processing need updating, whether you report to the ICO in London or the DPC in Dublin.

Mini case study

Emma, finance director of the London SME above, measures before the project 4 hours a week of client and quote rekeying by her accounts assistant, plus 2 days a month of manual reporting.

Annual calculation: 4 h × 46 weeks = 184 h of rekeying, plus 2 days × 7 h × 11 months = 154 h of reporting, so 338 h. At GBP 32 loaded hourly cost, that is GBP 10,816 a year. The custom connector, budgeted at 3,500,000 FCFA (about 5,340 EUR) plus Standard maintenance (114 EUR a month, 1,368 EUR a year), pays back in under eight months. The most visible gain for the sales director is elsewhere: three orders from clients in arrears blocked in the first quarter, covering GBP 35,000 of at-risk balance.

FAQ

Does it work with Sage 50, Sage 200 and Sage X3?

Yes, with different effort: Sage 50 and Sage 200 connect in 6 to 8 weeks, Sage X3 needs more work on its web services and often falls into medium complexity.

How often does data sync?

Every 15 minutes for contacts, invoices and overdue amounts, daily for the catalogue. Accepted quotes trigger an immediate sync.

What if the same field is edited in both tools?

The system of record defined at the start wins, and the conflict is logged. In practice fewer than 1% of syncs raise a conflict after the first month.

Do we need HubSpot Professional?

Starter is enough for contacts and companies, but custom objects and workflows using the balance require Professional, which costs noticeably more per seat.

How long does the initial clean-up take?

Allow 1 to 2 weeks for 3,000 to 10,000 records, with finance approving the proposed merges.

Let's scope your project. We map your Sage and HubSpot objects, set the system of record for each field and deliver a tested sync in 6 to 8 weeks. Detailed quote within 48 h. WhatsApp +221 77 596 93 33.
