Sage and Salesforce integration in Dublin: cost and architecture (2026)

Digital Africa

The verdict in three sentences

When the sales director of an industrial SME has every won deal retyped from Salesforce into Sage 200, the company pays for about 12 hours of data entry a week and pricing errors that end up as credit notes. A bidirectional connector (customers, items, orders, invoices) costs between EUR 9,000 and 20,000 excl. VAT as a 2026 ballpark, with EUR 120 to 280 a month for monitoring and 5 to 8 weeks of work. Payback is counted in months, provided you decide upfront which system is the master for each piece of data.

The real cost of double entry

In many Irish industrial SMEs, Salesforce was rolled out by the sales team while Sage 200 remains the core of order processing and accounting. In between, a sales administrator copies signed quotes, checks prices and recreates customers.

MetricManual re-entryWith connector
Entry time per order15 to 25 minutesUnder 2 minutes of review
Weekly re-entry hours (40 orders)10 to 14 hours1 to 2 hours
Orders with a price or discount error1 to 3%Close to 0%
Delay from signature to Sage sales order1 to 3 daysA few minutes
Duplicate customers across both tools5 to 15%Under 1%
Invoice and overdue visibility in SalesforceNoneDaily update

The heaviest hidden cost is the pricing error: a rep selling on an outdated price list in Salesforce triggers a credit note, a lower margin and sometimes a dispute with a long-standing customer.

Flows to sync and their budget

FlowDirectionKey business rule2026 indicative budget
Customers and accountsBoth waysSage is master for account code and payment termsEUR 1,500 to 3,500
Items and price listsSage to SalesforceSelling prices, discounts by product group, inactive items hiddenEUR 1,500 to 3,500
Won ordersSalesforce to SageClosed-won opportunity becomes a sales orderEUR 2,500 to 5,000
Invoices and paymentsSage to SalesforcePaid, overdue, customer balanceEUR 1,000 to 2,500
Middleware and alertsTechnicalLog of every exchange, automatic retry, email alertEUR 1,500 to 3,000
Testing and documentationProjectTests on a Sage test company, user guideEUR 1,000 to 2,500

A technical point to plan for: Sage 200 exposes an API, but its availability and scope depend on your edition and hosting (cloud or on-premise). On-premise setups often need a small agent on the company server. On the Salesforce side, the REST API and platform events are enough, but check that your edition includes API access.

Which architecture to choose

OptionIndicative 2026 costStrengthsLimits
Scheduled CSV export and importEUR 1,000 to 3,000Simple, quickNo real time, format errors
Marketplace connectorEUR 3,000 to 8,000 then EUR 50 to 150 per user per monthFast startWeak on specific prices and discounts
Integration platform (iPaaS)EUR 300 to 2,000 a monthVisual interface, many connectorsHigh subscription, scarce in-house skills
Custom middlewareEUR 9,000 to 20,000 then EUR 120 to 280 a monthExact business rules, low running cost5 to 8 week project

For an SME with discounts by product group, customer-specific terms and items with variants, custom middleware is usually the most profitable option over 3 years.

Mini case study

Ciarán is sales director of an industrial valve manufacturer in Dublin, 85 staff and 1,800 orders a year. Sales admin spends 12 hours a week retyping orders, so 552 hours over 46 weeks at EUR 45 loaded cost: EUR 24,840 a year. About 1.5% of orders carry a pricing error, so 27 orders, at an average cost of EUR 700 in credit notes and handling: EUR 18,900.

The chosen connector costs EUR 14,000 excl. VAT plus EUR 200 a month for monitoring (EUR 2,400 a year). Annual gain: 24,840 + 18,900 - 2,400 = EUR 41,340. Payback in about 4 months, and sales admin refocuses on delivery follow-up.

FAQ

Which system should be the master for each piece of data?

Usually Sage is master for customers, prices and invoices, Salesforce for leads and opportunities. This rule is set in a scoping workshop of 1 to 2 half-days, before any code is written.

Does the connector work in real time?

Won orders can reach Sage within minutes, while prices and invoices are often synced hourly or nightly. This choice changes the budget only slightly, by about 10 to 15%.

What happens if the Sage server is down?

Messages stay queued and are replayed on restart, with no loss. The team gets an alert if an exchange fails more than 3 times.

Do we need to upgrade Sage 200?

Not necessarily, but a supported version simplifies API access. On a very old version, plan 15 to 20% more budget or an upgrade first.

How much do later changes cost?

Adding a flow, for example stock per warehouse, costs EUR 1,500 to 3,000. Monthly monitoring covers fixes and adjustments to Salesforce's three releases a year.
