Integrating Sage with a custom business app in London 2026: cost and approach

The verdict in three sentences

A connector between Sage and a custom business application costs 6,000 to 14,000 EUR excl. VAT in 2026 (about 5,100 to 11,900 GBP), depending on the access method and the number of objects synchronised. For a distributor re-keying 400 invoices a month, reliable hourly sync frees around 30 hours a month and removes almost all data entry errors. The running cost, around 150 EUR/month of maintenance, compares with a part-time bookkeeper.

Why double entry costs more than you think

The finance director of a 70-employee distributor sees the symptom: a bookkeeper spending her days copying invoices from the sales app into Sage. The hidden cost lies elsewhere, in VAT discrepancies, customers wrongly put on credit hold and month-end closes that slip by three days.

2026 order of magnitude, to recalculate with your actual hourly cost. Time savings alone repay a 10,000 EUR connector in under a year.

Three ways to connect to Sage 100

Sage 100 (the French and continental edition, close to Sage 200 in the UK) does not expose a modern web API by default, unlike Sage Business Cloud. The method you choose sets both budget and robustness.

MethodPrincipleIndicative cost excl. VATWatch-outs
File import (configurable format)The app generates a file, Sage imports it3,000 to 6,000 EURNo feedback to the app, imports need monitoring
Sage 100 business objects SDKDirect writes through Sage's official layer6,000 to 12,000 EURDeveloper licence, Windows server, scarce skills
Sage API (Sage Data or Sage 100 gateway)REST exchanges through an on-premise gateway8,000 to 14,000 EURGateway subscription, compatible Sage version
Off-the-shelf iPaaS connectorTurnkey sync tool2,000 to 5,000 EUR setup100 to 400 EUR/month subscription, limited flexibility

For a distributor, the most common choice remains the business objects SDK: it writes sales documents and ledger entries while respecting Sage's rules, and pushes payments and balances back to the app. Hourly sync is enough in 90 % of cases; real time adds complexity for a marginal gain in accounting.

Connector scope and running costs

Sales invoices and credit notesApp to Sagehourly3 to 5 days
Payments and customer balancesSage to apphourly2 to 3 days
Error log and email alertsInternalcontinuous1 to 2 days

That is 11 to 18 days of work, consistent with the 6,000 to 14,000 EUR excl. VAT range. Maintenance at 150 EUR/month covers error log monitoring, adaptation to Sage updates (one or two a year) and small configuration tweaks. Get your accountant's view on the chart of accounts and VAT codes before development: that is where most discrepancies start.

Isabelle, finance director of a 70-employee electrical equipment distributor, has 400 invoices re-keyed every month. Her bookkeeper spends 32 hours on it at a loaded cost of 40 EUR/h, i.e. 1,280 EUR/month. The chosen connector, based on the business objects SDK, costs 10,500 EUR excl. VAT plus 150 EUR/month of maintenance. Residual checking time falls to 3 hours a month (120 EUR). Net monthly saving: 1,280 minus 120 minus 150, i.e. 1,010 EUR. Payback in 10 to 11 months, not counting the 3 days gained on month-end close. Fictional persona, figures to adapt.

FAQ

Does Sage 100 have a native REST API?

Not directly: Sage 100 integrates through file import, the business objects SDK or an API gateway offered by Sage or partner vendors. The choice depends on your version, ideally v9 or later.

How long does the connector take to set up?

Count 4 to 8 weeks from scoping to go-live, including 1 to 2 weeks of acceptance running in parallel with manual entry to compare results.

What happens if a sync fails?

A good connector loses no invoice: each error is logged, the document stays queued and an email alert goes to the bookkeeper. The target manual retry rate is under 1 %.

Do we need an extra Sage licence?

Often yes, a developer licence or access for the SDK, or an API gateway subscription, from a few hundred to 1,500 EUR a year depending on the offer. Check with your Sage reseller.

Can we also connect payroll or purchasing?

Yes, with the same architecture: each extra flow usually adds 2 to 5 days of development, i.e. 1,500 to 3,500 EUR excl. VAT.
