The reference-based matching method

FAQ

Why is my bank transfer lower than my sales? Because the provider deducts its commission (order of magnitude 1 to 2% in 2026) at source. The transfer reflects net, not gross. This is normal and expected.

How often should I reconcile? Ideally weekly for moderate volumes, at minimum monthly before closing the books. The longer you wait, the more orphans pile up and become hard to trace.

How do I handle VAT on provider commissions? The commission is a billed service: the associated VAT (18% in Senegal) is in principle recoverable if the provider issues a compliant invoice. Allocate it to a dedicated line each month.

Is a spreadsheet enough or do I need an ERP? Below 500 transactions/month, a spreadsheet with VLOOKUP is enough. Beyond that, a script or integrated ERP cuts time by 4 to 8x and makes the result reliable.

What about orphan transactions? Isolate them in a dedicated tab, cross-check against unconfirmed pending payments, and clear them within 15 days. An untreated orphan permanently distorts your margin.
