The verdict in three sentences
For an industrial supplier whose key accounts require ordering through SAP Ariba, Coupa or an in-house SAP system, not offering a PunchOut catalog means leaving the approved vendor list when the contract comes up for renewal. A cXML or OCI connector costs 12,000 to 35,000 EUR per platform (about 13,000 to 38,000 USD), takes 2 to 4 months and relies on a contract catalog per customer. Against contracts worth 200,000 to 2,000,000 EUR a year, it is the price of admission, not an optional IT project.
What buyers actually expect
Procurement teams in manufacturing, energy and healthcare groups have centralised spend in an e-procurement tool. An internal requester, say a maintenance technician, opens the tool, clicks your logo, lands on your site with contract prices, fills a cart and sends it back to the buyer's system for approval. The order then reaches you as an electronic purchase order.
That is PunchOut. Two protocols dominate: cXML, used by Ariba and Coupa, and OCI, used by SAP SRM and SAP S/4HANA. Most buyers also want order confirmations, advance ship notices and e-invoices through the same channel.
Platforms and their requirements
| Buyer platform | Protocol | Supplier requirements | Supplier-side fees (2026 ballpark) | Validation time |
|---|---|---|---|---|
| SAP Ariba | cXML PunchOut, PO, ASN, invoice | Ariba Network account, testing in test environment | Standard account free, enterprise account with volume-based fees | 4 to 8 weeks |
| Coupa | cXML PunchOut and CIF catalog | Coupa Supplier Portal, tests with the buyer | Portal free for suppliers | 3 to 6 weeks |
| Direct SAP SRM or S/4HANA | OCI 4.0 or 5.0 | Mapping of SAP fields (material, unit, material group) | No network fees | 4 to 8 weeks |
| Oracle Procurement | cXML PunchOut | Connection by the buyer's IT team | No network fees | 6 to 10 weeks |
| Jaggaer, Ivalua | cXML or OCI depending on setup | Catalog and PunchOut per contract | Variable, often none | 4 to 8 weeks |
| Static catalog (CIF, spreadsheet) | Imported file | Manual price updates | None | 2 to 4 weeks |
A static catalog is cheap but ages fast: prices and stock drift within weeks. PunchOut shows real-time availability and complex configurations, which matters for technical parts with thousands of SKUs.
What a PunchOut connector costs
| Component | 2026 range (ballpark) | Comment |
|---|---|---|
| B2B store or portal with customer accounts | Existing or 15,000 to 40,000 EUR | Essential prerequisite |
| Contract catalog per customer (prices, SKUs, units) | 3,000 to 8,000 EUR | Linked to ERP price lists |
| cXML connector (session, cart return, purchase order) | 8,000 to 20,000 EUR | Per platform, testing included |
| OCI connector for SAP | 6,000 to 15,000 EUR | Field mapping specific to each customer |
| Order confirmation, ship notice, cXML invoice | 3,000 to 10,000 EUR | Often required in a second phase |
| ERP integration (inbound order, status, invoice) | 4,000 to 12,000 EUR | Removes re-keying |
| Total per platform (excluding store) | 12,000 to 35,000 EUR | 2 to 4 months |
The second connector usually costs 40 to 60 % less than the first, because the catalog and ERP link are reused. We deliver these as custom web applications built on your store or ERP.
Mini case study
Daniel, key account director at a spare parts manufacturer in Birmingham, generates 1,200,000 EUR a year from two chemical groups. The first will require SAP Ariba at the next tender, the second Coupa. A third prospect, worth a potential 800,000 EUR a year, demands OCI PunchOut.
- First cXML Ariba connector with contract catalog: 26,000 EUR.
- Second Coupa connector, reusing catalog and ERP: 12,000 EUR.
- OCI connector for the prospect: 14,000 EUR.
- Total: 52,000 EUR, plus 6,000 EUR a year in maintenance and network fees.

At a 12 % net margin, keeping the existing 1,200,000 EUR protects 144,000 EUR of annual margin, and winning the prospect adds 96,000 EUR. The project pays back in under 4 months of margin on the retained accounts alone.
FAQ
What is the difference between cXML and OCI?
cXML is an XML format used by Ariba, Coupa and Oracle covering PunchOut, orders, ship notices and invoices. OCI is SAP's protocol, based on form fields and limited to cart return. An OCI connector often costs 20 to 30 % less.
Does the supplier pay for Ariba?
The standard account is free. The enterprise account, needed for some integrations, carries fees based on volume invoiced through the network. Check the current fee schedule before signing.
How long until we are live?
Allow 2 to 4 months: 4 to 8 weeks of development, then 3 to 8 weeks of testing with the buyer. The customer's IT availability is usually the bottleneck.
Do we need a separate catalog per customer?
In practice, yes. Each contract has its own prices, allowed SKUs and sometimes internal item codes. The contract catalog is generated from the ERP to avoid re-keying.
Is a static catalog enough?
For fewer than 200 SKUs with stable prices, yes. Beyond that, price and stock gaps create disputes, and most buyers now require PunchOut in their tenders.
