The verdict in three sentences

For a Dublin B2B supplier of consumables, lab supplies or MRO products, a punchout catalog has become a condition of access to multinationals, hospital groups and universities that buy through e-procurement suites. A cXML or OCI connector costs 10,000 to 30,000 EUR and takes about six weeks, a modest investment next to framework contracts worth 200,000 to 800,000 EUR a year. But punchout does not replace the tender: you must first be approved on the buyer's procurement platform, typically Coupa or SAP Ariba, or the connector is useless.

How a punchout catalog works

The buyer works inside their procurement tool. Instead of searching a static catalogue, they click your logo, land on your shop with their negotiated prices, fill a basket and send it back to their tool. The approved order then returns to you as an electronic purchase order. Your catalogue stays live and your contract prices apply automatically.

For Irish public bodies, including HSE-funded hospitals, suppliers must be able to send Peppol e-invoices under the EU directive, and many public buyers now expect it by default.

Some buyers still accept a static catalogue, but it ages quickly: a price change or stock-out means sending a new file and waiting for approval, sometimes for weeks. Punchout removes that lag and cuts pricing disputes.

Kolonell builds these connectors as a custom web application, linked to your B2B shop and ERP. A punchout connector added to an existing shop sits in the simple band, 2,500,000 to 4,000,000 FCFA, or 3,810 to 6,100 EUR, and a full B2B shop with punchout and ERP in the medium band, 4,000,000 to 7,000,000 FCFA, or 6,100 to 10,670 EUR. For the ERP side, see our analysis of B2B e-commerce ERP integration.

What procurement teams expect

Beyond the protocol, procurement teams audit catalogue quality: manufacturer part numbers, UNSPSC classification, CE marking for medical devices, up-to-date datasheets, clear units of measure (box of 100, case of 10 boxes) and delivery lead times per site. They also expect a named contact who can fix a rejected basket within 24 hours. Plan for a catalogue owner, even part time.

Mini case study

Aoife, sales director of a Dublin supplier of laboratory consumables and PPE (16m EUR turnover), wins approved-supplier status with a pharmaceutical multinational in Cork for a 450,000 EUR annual framework contract. The buyer mandates cXML punchout via Coupa.

She invests 22,000 EUR in a custom connector linked to her ERP, plus 6 days of internal catalogue work valued at 3,000 EUR. At a 28% gross margin, the contract yields 126,000 EUR of margin a year. The connector is covered by about 2.4 months of margin from that one customer (25,000 / 126,000 × 12 = 2.4). Six months later, the same connector serves a second customer on SAP Ariba for only 4,000 EUR of adaptation.

FAQ

What is the difference between cXML and OCI?

cXML is the Ariba and Coupa standard, widespread among multinationals. OCI is SAP's format, still common in manufacturing and pharma. A well-built connector handles both for 15 to 20% extra budget.

Does punchout replace tenders?

No. For public bodies, approval goes through a public procurement process or a framework run by the Office of Government Procurement. Punchout comes afterwards, to execute a contract already won.

How long until we are live?

About six weeks on the supplier side, then 2 to 4 weeks of testing with the buyer's procurement team. Buyers' test windows can be limited, so book them early.

Do we need a B2B shop for punchout?

Yes, you need an online catalogue able to display customer-specific prices. If you lack one, budget the shop and connector together, about 8 to 12 weeks.

How should invoices be handled?

Through the buyer's invoicing channel (Coupa or Ariba) for private customers and Peppol for public ones, ideally generated from the ERP. A non-compliant invoice can push payment well beyond the agreed 30 to 60 days.
