Pro business email 2026: Google Workspace vs Microsoft 365 vs Zoho

Websites

Pro email: 3,000 to 12,000 FCFA/user/month, but 80% of Senegalese SMEs are misconfigured

A pro email contact@yourcompany.com is the baseline of B2B credibility in 2026. Yet I still see Senegalese SMEs with 8-30 employees running on Yahoo, personal Gmail, or a shared cPanel inbox without SPF, DKIM or DMARC — result: business emails in spam, identity spoofing possible, no shared calendar or team file sharing.

Three suites dominate: Google Workspace, Microsoft 365 and Zoho Mail. Here is the 2026 comparison by features, price and usage profile.

Google Workspace — global leader, default recommendation

2026 plans

  • Business Starter: ~3,600 FCFA/user/month (USD 6), 30 GB storage, Gmail + Drive + Meet 100 participants + Docs/Sheets/Slides
  • Business Standard: ~7,200 FCFA/user/month (USD 12), 2 TB storage, Meet 150 + recording, Shared Drives
  • Business Plus: ~10,800 FCFA/user/month (USD 18), 5 TB, eDiscovery, Vault, advanced security
  • Enterprise: on quote

Strengths

  • Gmail/Drive/Docs UX is unmatched, real-time native collaboration
  • Best anti-spam on the market (Google AI)
  • Mobile (Android + iOS) top-tier
  • Massive integrations (Zapier, Asana, Slack, etc.)

Weaknesses

  • Word/Excel/PowerPoint compatible but less powerful than native MS Office
  • Business Starter storage capped at 30 GB
  • Migration from Outlook PST sometimes painful

For whom

  • Startups, agencies, tech SMEs, teams under 50 oriented towards collaboration
  • 2026 standard for 70% of modern SMEs in Senegal

Microsoft 365 — corporate benchmark, mandatory if native Office is needed

2026 plans

  • Business Basic: ~3,600 FCFA/user/month (USD 6), Outlook web + Teams + 1 TB OneDrive, no desktop apps
  • Business Standard: ~7,500 FCFA/user/month (USD 12.50), Office desktop apps (Word, Excel, PowerPoint, Outlook)
  • Business Premium: ~13,200 FCFA/user/month (USD 22), Intune security, Defender, Conditional Access
  • Enterprise E3/E5: 21,000-36,000 FCFA/user/month

Strengths

  • Word/Excel/PowerPoint desktop natives (irreplaceable for finance, HR, heavy Excel dataviz)
  • Teams = corporate standard for video + chat
  • Enterprise security (Defender, Conditional Access, Intune)
  • Mandatory for corporate clients, banking, government

Weaknesses

  • More complex stack to administer (Admin Center less clean than Google)
  • Outlook less pleasant than Gmail for many users
  • Real-time collaboration less fluid than Google Docs (Loop is catching up though)

For whom

  • Corporate, finance, legal, public sector, teams >50
  • Companies whose clients live in Excel/PowerPoint
  • Banks, institutions, pan-African groups

Zoho Mail — serious outsider, unbeatable on price

2026 plans

  • Mail Lite: ~600 FCFA/user/month (USD 1), 5 GB, basic
  • Mail Premium: ~2,400 FCFA/user/month (USD 4), 50 GB, basic eDiscovery
  • Workplace: ~1,800 FCFA/user/month (USD 3), Mail + Cliq + Writer/Sheet/Show + Drive
  • One: ~21,000 FCFA/user/month (USD 35), 45+ Zoho apps (CRM, Books, Desk, Projects)

Strengths

  • Unbeatable price (4-6x cheaper than Google/MS on basic plans)
  • Zoho One suite for budget-constrained African SMEs
  • Integrated CRM, Books, Desk if you go Zoho One
  • European servers available (data residency)

Weaknesses

  • Less polished UX than Google or MS
  • Slower adoption from users used to Gmail/Outlook
  • Less rich third-party integrations
  • Less local Senegal support

DNS: MX, SPF, DKIM, DMARC are mandatory

Whichever provider you pick, configure DNS properly or your emails land in spam.

  • MX: records pointing to the provider mail servers (e.g. Google ASPMX.L.GOOGLE.COM, MS *.mail.protection.outlook.com)
  • SPF: TXT record listing servers authorized to send for the domain. e.g. v=spf1 include:_spf.google.com ~all
  • DKIM: cryptographic email signature. Enable in the provider admin, add the generated TXT record
  • DMARC: anti-spoofing policy. Start at p=none, monitor 30 days, move to p=quarantine then p=reject. e.g. v=DMARC1; p=quarantine; rua=mailto:dmarc@yourdomain.com

Without SPF + DKIM + DMARC in 2026, your business emails end up in spam at Gmail and Outlook on the recipient side (since February 2024, Google and Yahoo tightened auth policies significantly).

Migration: 5 steps

  • Provision accounts at the new provider (Workspace, M365 or Zoho)
  • Configure DNS: MX, SPF, DKIM, DMARC, autodiscover
  • Migrate existing mail: Google Workspace Migration Service, MS Exchange Online Migration, Zoho Mail Migration (IMAP or PST)
  • Migrate calendars and contacts (ICS, vCard)
  • Gradual cutover by user groups (10-20 per day), 30-min training per user

Average timeline for a 20-person SME: 1-2 weeks with support, 3-4 weeks if self-served.

Recommendations per team size

  • 1-5 people: Zoho Mail Premium (12,000 FCFA/month total) or Google Workspace Business Starter (18,000 FCFA/month)
  • 5-20 people: Google Workspace Business Standard or MS 365 Business Standard depending on profile (collab vs Office desktop)
  • 20-100 people: MS 365 Business Premium or Google Workspace Business Plus, hardened security
  • 100+ people or compliance: MS 365 Enterprise E3/E5, Workspace Enterprise on quote

At Kolonell, we handle DNS configuration (SPF, DKIM, DMARC), migration and user training — often included in our website packages when pro email is part of the bundle.

FAQ

Which email suite for a 10-person Senegalese SME in 2026?

Google Workspace Business Standard (7,200 FCFA/user/month) remains the best features/price compromise for 80% of cases. If the team lives in Excel or your clients are corporate, Microsoft 365 Business Standard is equivalent.

How much does pro email cost for a 5-person team?

Between 12,000 FCFA/month (Zoho Mail Premium) and 36,000 FCFA/month (Google Workspace Business Standard) depending on plan. Plan 150,000-450,000 FCFA/year for 5 users.

Do I really need to configure SPF, DKIM, DMARC?

Yes, mandatory since 2024. Without them, your business emails land in spam at Gmail and Outlook, and you have no idea why prospects do not reply. Setup takes 30-60 min by a competent admin.

Can I use free Gmail for a pro email?

No. A @gmail.com address signals "amateur" in B2B. For ~3,600 FCFA/user/month, Google Workspace gives you contact@yourcompany.com + Drive + Meet + shared Calendar. No reason to stay on personal Gmail past the very start.

How do I migrate from shared cPanel email to Google Workspace?

1) Create Workspace accounts, 2) configure MX + SPF + DKIM + DMARC, 3) launch Google Workspace Migration via IMAP with old cPanel credentials, 4) switch the MX once migration is complete, 5) decommission old shared mail after 30 days of verification.
