The verdict in three sentences
For a packaging printer, the estimate is the first production tool: a wrong number of ups or a bad waste allowance costs money across the whole run. With 120 estimates a week and a win rate of 25 to 35 %, cutting a day off response time and making calculations reliable is worth more than any dashboard. The choice is between an off-the-shelf print MIS at 25,000 to 80,000 GBP (45,000 to 140,000 CAD) and custom software built around your press fleet, delivered in 4 to 6 months.
Why the legacy spreadsheet has become a risk
The typical plant, on an industrial estate in Trafford Park or in Mississauga, makes folding cartons, rigid boxes and point-of-sale displays for food, drinks and cosmetics brands. The estimating spreadsheet was built ten years ago by a technician who is now production director: it handles simple jobs well, much less so windowed cartons, hot foil combined with embossing, or short digital runs.
The effects are familiar: only two people can estimate, response time exceeds 48 h in peak season, prices vary between estimators for the same product, and the gap between estimated and actual cost is never measured. When a buyer sends a job to three printers, the one that replies in 4 hours with a reliable price often wins.
| Metric | Legacy spreadsheet (2026 estimate) | Structured estimating software |
|---|---|---|
| Average time per estimate | 35 to 50 min | 8 to 15 min |
| Customer response time | 24 to 72 h | 2 to 8 h |
| Win rate | 25 to 30 % | 30 to 35 % |
| Estimated vs actual cost gap | not measured, often 8 to 12 % | tracked, target under 4 % |
| People able to estimate | 2 | 5 to 6 |
| Board waste allowance | flat rate | calculated per press and finish |
The calculation engine is the heart of the project
A good packaging estimating tool first works out imposition: sheet size (B1, SRA1, 28 x 40 in), flat die-line dimensions, number of ups, grain direction and gripper margins. From there come sheet counts, make-ready and running waste per machine (5-colour plus coater litho, digital, flatbed die-cutter, folder-gluer), then machine and labour times.
Then come finishes: lamination, spot UV, foil, embossing, windowing, each with set-up cost, unit cost and tooling (cutting forme at 350 to 1,300 GBP, foil block). The software produces several quantities (5,000, 10,000, 20,000) in one click, applies the target margin per customer and outputs the PDF quote. Once accepted, the estimate becomes a works order with press scheduling, material purchasing and actual time tracking.
| Option | 2026 indicative cost | Timeline | Watch-outs |
|---|---|---|---|
| Improved spreadsheet | 2,500 to 7,000 GBP of consulting | 1 to 2 months | still fragile, single user |
| Off-the-shelf packaging MIS | 25,000 to 80,000 GBP / 45,000 to 140,000 CAD + 10 to 20 % per year | 6 to 12 months | long configuration, per-seat licences |
| Kolonell custom, medium application | 4,000,000 to 7,000,000 FCFA (6,100 to 10,670 EUR) | 4 to 5 months | estimates + works orders + time tracking |
| Kolonell custom, complex application | 7,000,000 to 15,000,000+ FCFA (10,670 to 22,870+ EUR) | 5 to 6 months | + press scheduling, purchasing, customer portal |
| Kolonell maintenance | 35,000 to 120,000 FCFA / month (53 to 183 EUR) | ongoing | changes and fixes |
Custom makes sense when your estimating know-how is a competitive edge and an MIS would force you to simplify it. It requires real discovery work with your estimators. See our custom web application approach.
Mini case study
James, managing director of a 45-person folding carton printer near Manchester, turns over 6 million GBP. His team issues 120 estimates a week, about 5,500 a year, with a 27 % win rate and an average accepted order of 4,000 GBP.

The goal is 31 % through replies in under 8 hours. On 5,500 estimates, 4 extra points mean 220 more orders, roughly 880,000 GBP of additional revenue; at an 8 % net margin, that is about 70,000 GBP a year. Estimating time drops from 40 to 12 minutes: 2,570 hours saved per year. Against a complex-band custom build (10,670 to 22,870+ EUR) plus 2,196 EUR of yearly maintenance, payback comes within months, far ahead of a 50,000 GBP MIS.
FAQ
Can you reuse the formulas in our current spreadsheet?
Yes, that is the first step: every rule is documented with your estimators, then the new engine is tested against 50 to 100 historical estimates. The target is a gap under 2 % before go-live.
Does it handle both digital and litho?
Yes, each press has its own make-ready, speed and hourly rate. The software compares both processes and shows the crossover point, often between 1,500 and 3,000 units depending on format.
How do we track the real cost of a job?
Operators log time and quantities per step on a tablet, or data comes from connected machines. Estimated and actual costs are then compared per job, with an alert beyond a 5 % gap.
Can customers approve proofs online?
A customer portal shows quotes, PDF proofs and production status. It cuts email back-and-forth on approvals by 30 to 50 %.
How soon is a first usable release?
The estimating engine alone can ship in 10 to 14 weeks. Works orders and scheduling follow in a second phase, for 4 to 6 months in total.
