Why Notion took over our SME clients
In 2025 a Plateau-based logistics SME called us with the same pain everyone has: a shared Excel on WhatsApp, three versions in parallel, and a founder spending Sundays piecing the history back together. Six months later the same team runs on 4 Notion templates connected to Brevo for client follow-ups, and the founder has recovered Sundays plus around 6 hours a week on reporting.
We see this story play out twice a month on average. Alongside Airtable, Notion has become our second default productivity layer for West African SMEs under 30 employees. The key difference with Airtable: Notion blends long-form docs, database, wiki and tasks in one workspace. That suits teams that write a lot (consulting firms, agencies, schools).
And the free plan covers 70 percent of cases to get started.
Real Notion pricing in 2026

The 6 Notion templates we deploy in Senegal
1. Lightweight West African SME CRM
A Contacts database with Name, WhatsApp phone, Source (Facebook Ads, Referral, SEO, Field), Pipeline stage (Lead, Qualified, Quote sent, Won, Lost), Referrer, FCFA amount. Kanban view by stage, table view by month. Synced to Brevo via a Zap to keep email lists in sync. Deployed for 8 consulting firms and 2 agencies, average gain 4 hours per week on sales reporting.
2. Quote and invoice tracker
Quotes database with status (Sent, Reminder 1, Reminder 2, Signed, Refused), send date, FCFA amount excl. VAT, Senegal 18 percent VAT, total, link to PDF. Automatic reminder fires 7 days post-send via Make. A Dakar events SME cut its average signature delay from 23 to 11 days just by automating reminders.
3. Internal knowledge base
Wiki structured by theme (Sales process, New hire onboarding, SYSCOHADA accounting procedures, Approved vendors). Each page has an owner and last-updated date. New joiners gain 2 to 3 weeks of autonomy. We deployed one for an 18-teacher school in Mermoz that previously had only scattered Word files.
4. Weekly team dashboard
Central page with quarterly OKRs, key metrics (monthly revenue, quotes sent, NPS) and a decision log. Monday 9am standup in front of this dashboard, 30 minutes max. Five of our clients dropped their duplicate Tuesday meeting.
5. Editorial calendar for blog and social
Content database with Platform (LinkedIn, Instagram, Blog, WhatsApp Status), Planned date, Status (Idea, Drafted, Approved, Published), Owner. Calendar view by month, gallery view for visual approval. Connected to Buffer for auto-publishing.
6. New hire onboarding
Need a professional website?
Kolonell builds websites that attract clients, optimized for the Sénégalese market. Free quote in 2 minutes.
Duplicable template page with Day 1 checklist (gear, access, work WhatsApp), Day 7 (product training, first client brief), Day 30 (1-1 HR review). A 22-person consulting SME uses it, saves 5 days of ramp time on average.
Real case: Plateau logistics SME
Before: 12 Excel files named "deliveries_v_final.xlsx", 3 paper notebooks, founder spending 8 hours per week compiling. Hidden cost: around 320,000 FCFA per month of founder time.
After 3 weeks of Notion Plus deployment for 4 seats (24,000 FCFA per month) plus Brevo Lite (around 6,000 FCFA per month): a delivery dashboard updated by the 4 drivers from their phones, automatic alerts when a delivery stalls beyond 24h, weekly reporting generated in 12 minutes instead of 8 hours.
Net monthly gain estimated: 290,000 FCFA. Payback: 10 days.
Our recommendation
For an SME of 5 to 15 people in Senegal: start on the Free plan with 1 workspace, deploy 2 templates max in week one (usually lightweight CRM plus quote tracker). Upgrade to Plus only when the team needs more than 5 guests or when the 7-day history becomes a blocker.
For diaspora associations and NGOs: the Free plan covers needs even with 50 volunteers as long as everything sits in one workspace.
Best for: writing-heavy teams that need a wiki and love clean visuals. Avoid if: you need a true relational database with 100,000+ rows (Airtable wins) or regulated SYSCOHADA accounting.

FAQ
Is free Notion really enough for a 10-person SME in Senegal?
Yes in 7 out of 10 cases. The real ceiling is 10 external guests (clients, partners) and 7 days of history. As long as the internal team stays under that and nobody silently deletes important blocks, Free holds.
Does Notion work well on 3G and mobile?
The mobile app is smooth on 4G, acceptable on 3G. Offline edits sync once the network returns. For field teams (drivers, sales reps), build simplified views with few columns to reduce latency.
Can you invoice a client from Notion?
Not natively. Notion tracks quotes and invoices (status, dates, amounts), but the NINEA and Senegal VAT-compliant invoice must be generated elsewhere (Sage, Pennylane, or a Google Doc template). Always keep a dedicated accounting tool on the side.
Is Notion AI worth the extra 6,000 FCFA monthly?
For writing-heavy teams (agency, consulting, school) yes. Notion AI summarises meetings, drafts sales emails, rewrites content. For a logistics or trading SME with little text output, stick to Plus and use ChatGPT on the side.
