Multi-provider reconciliation and cash dashboard 2026

Digital Africa

The verdict in three sentences

When every operator has its own portal, cash lives in four silos: you cannot tell at a glance what came in today, which fees were taken and which payouts are pending. A unified dashboard aggregates Wave, Orange Money, MTN and card, consolidates fees and automatically reconciles each transaction. 2026 effect: the close falls from 2 days to 2 hours and residual variance drops below 0.5 %.

The operator-silo problem

Each payment source exposes its own amounts, fees and payout delays. Adding it all up by hand is slow and fragile: you forget a commission, a refund, a deferred payout, and the variance grows. Reconciliation means matching three things: what the customer paid, what the operator actually settled, and what your accounting expects.

SourceDisplayed collectionIndicative feesPayout delayReference field
Wavegross~1 %T+1transaction ID
Orange Moneygross~1.5 %T+1 to T+2merchant reference
MTN MoMogross~1.5 %T+1external ID
Card (aggregator)gross~2.9 %T+2 to T+7order ID

Without consolidation, an owner thinks they collected the displayed gross, while the net settled is reduced by fees and shifted in time. The unified dashboard fixes this by computing, per day, gross - fees - refunds = expected net, then comparing it to the actual settlement.

What a cash dashboard consolidates

Consolidated fieldWhat it showsFrequency
Today's collections (T)gross total all sourcesreal time
Consolidated feessum of commissions per operatordaily
Expected netgross - fees - refundsdaily
Pending payoutsannounced amounts not yet settledreal time
Residual varianceexpected net - settled netat close
Refunds in progressoutflows to deductreal time

The most valuable metric is residual variance. A variance steadily below 0.5 % signals healthy reconciliation; above 1-2 %, there is a leak (mis-modeled fees, forgotten payout, double counting) to trace before it becomes an accounting loss.

Mini case study

Awa runs a multi-channel shop in Dakar: about 900 transactions/month across Wave, OM and card, for 15 M FCFA gross. Before, her accountant spent 2 days a month reconciling the four exports, with a chronic 1.8 % variance (270,000 FCFA) never fully explained. With a unified dashboard, the close falls to 2 hours, variance drops below 0.5 % (under 75,000 FCFA) and, crucially, becomes traceable line by line. Gain: about 195,000 FCFA/month of recovered variance plus 1.5 person-days freed, a return far above the tool's cost.

FAQ

Why does displayed gross never match the settlement? Because the operator deducts its fees (order of magnitude 1 to 2.9 % in 2026 by source) and shifts the payout by 1 to 7 days. The dashboard computes the expected net and confronts it with the actual settlement.

What is a good residual variance? Below 0.5 % of gross, reconciliation is healthy. Between 1 and 2 %, look for a leak: mis-modeled fees, undeducted refund or forgotten payout. Above that, treat it as an incident.

How much time does the close save? In practice you go from 2 days to about 2 hours a month for a few hundred to a thousand transactions, because reference-based matching is automated.

Should cash register sales be included? Yes. The dashboard only makes sense if it covers all sources, cash included, otherwise real cash stays invisible and variances hide in the blind spot.
