Mobile money refunds: timelines, process and real cost to the merchant

E-commerce

The verdict in three sentences

Mobile money refunds run from immediate (T+0) to three business days (T+3) depending on operator and mode (API or manual). The original transaction fee is never returned: on a refund the merchant loses that fee and sometimes the refund fee too. Automating via API cuts the delay and processing cost, but the real challenge remains partial refunds, poorly supported by several wallets.

Timelines and SLA by operator

The delay depends mostly on the channel: an API refund often lands same day, a manual refund via the operator back office can take several days. Here is the 2026 order of magnitude.

Operator / countryRefund delayPartial refundChannel
Wave (SN/CI)T+0 to T+1YesAPI
Orange Money (SN)T+1 to T+3PartialAPI + manual
MTN MoMo (GH)T+1 to T+2YesAPI
M-Pesa (KE)T+0 to T+1LimitedAPI
Airtel MoneyT+2 to T+3NoManual

*2026 estimate; real SLAs depend on the merchant contract and volume.*

Who pays what on a refund

The classic misunderstanding: assuming a refund cancels all fees. In reality the original collection fee stays with the operator. On a 25,000 FCFA order refunded, here is the typical calculation.

ItemAmountBorne by
Order amount25,000 FCFAReturned to customer
Original collection fee~375 FCFA (1.5%)Lost by merchant
Refund fee0 to 250 FCFAMerchant (by operator)
Manual processing cost~500 FCFA (agent time)Merchant
Total loss on refund~875 to 1,125 FCFAMerchant

Mini case study

Moussa runs an online electronics shop in Abidjan and refunds about 2% of orders, i.e. 40 refunds a month on 2,000 sales. Each refund costs him on average 900 FCFA between lost original fees and processing time, i.e. 36,000 FCFA a month. By automating via API (T+0 refund, no manual processing) he brings the unit cost to 400 FCFA, saving 20,000 FCFA a month and halving customer disputes thanks to the speed.

FAQ

Is a mobile money refund instant? Rarely. Budget T+0 to T+1 with Wave or M-Pesa via API, but T+1 to T+3 with Orange Money or Airtel manually. Warn the customer of the delay to avoid disputes.

Do you recover the original transaction fee? No. The original collection fee (often 1 to 1.5%) stays with the operator. It is a dead loss the merchant must fold into its returns policy.

Are partial refunds possible? It depends on the operator. Wave and MTN handle them well, but several wallets only support a full refund, which complicates returning a single item in a multi-item order.

What share of orders gets refunded? In African e-commerce, expect around 2% on average, higher in fashion and electronics. On disputes, about 4.5% ultimately convert into a refund.

Should you refund via API or back office? API is almost always preferable: faster (T+0), traceable, and with no agent-time cost. The manual back office remains useful for exceptional cases outside the standard amount.
