The verdict in three sentences
An ISO 17025 accredited lab in Amsterdam processing 35,000 samples a year that still emails results as PDFs loses around 1,800 hours a year to data entry, report editing and client calls. A LIMS with a client results portal and instrument interfaces costs, as a 2026 order of magnitude, 90,000 to 160,000 EUR as a custom build on the Dutch market, against 40,000 to 100,000 EUR of licence plus 18 to 22 % annual maintenance for a market LIMS. Custom only wins when the portal and instrument interfaces are central to the need: otherwise a well-chosen market LIMS remains the safer choice.
What accreditation requires from the software
ISO/IEC 17025, clause 7.11, requires that computer systems be validated before use, that data be protected against unauthorised changes and that every change be traced. For the Dutch Accreditation Council (RvA), that means a complete audit trail, role-based rights, tested backups and a validation file the assessor can review.
In food microbiology, traceability covers the whole chain: sample receipt with arrival temperature, time before analysis, culture media batch, incubator and incubation time, reading, confirmation, then report sign-off by an authorised signatory. Clients (food manufacturers, central kitchens, retailers) expect Listeria or Salmonella results within 48 to 72 hours and an immediate alert on non-compliance, and the NVWA may request historical results during inspections.
| Requirement | Source | What it means in the LIMS |
|---|---|---|
| Software validation | ISO 17025, clause 7.11 | Validation file, documented tests |
| Data integrity | ISO 17025, RvA requirements | Audit trail, no deletion possible |
| Sample traceability | ISO 6579, ISO 11290 methods | Barcode from receipt to report |
| Media batches and incubators | Equipment control | Batch and equipment linked to each test |
| Report sign-off | Authorised signatories | Electronic signature by role |
| Accreditation mark use | RvA rules | Mark limited to accredited tests |
| Retention | Client contracts, often 5 years | Timestamped searchable archive |
Market LIMS or custom build: 5 year comparison
Market LIMS products are mature and already validated by many labs. Their cost climbs quickly once you add a client portal, instrument connectors and custom configuration days billed at 1,000 to 1,400 EUR a day in the Netherlands.
| Item (2026 order of magnitude) | Market LIMS | Custom LIMS |
|---|---|---|
| Licence or build | 70,000 EUR | 120,000 EUR |
| Client portal module | 20,000 to 30,000 EUR | Included |
| Interfacing 6 instruments | 25 to 35 configuration days, 35,000 EUR | Included |
| Annual maintenance | 18 to 22 % of licence, about 19,000 EUR | 12,000 EUR (hosting, maintenance) |
| 5 year total cost | About 230,000 EUR | About 180,000 EUR |
| ISO 17025 validation | Vendor file to complete | File built with the lab |
| Time to go live | 4 to 8 months | 6 months |
The 6 month timeline breaks down into 4 weeks of scoping with the quality manager, 14 weeks of development, 3 weeks of instrument interfacing and 5 weeks of validation and parallel running. Scheduling the switch away from the RvA assessment window avoids a finding on the computer system.
At Kolonell, a LIMS of this scope falls in our complex application range, 7,000,000 to 15,000,000+ FCFA (10,670 to 22,870+ EUR), with the scope fixed in the quote and maintenance at 35,000, 75,000 or 120,000 FCFA (53, 114 or 183 EUR) a month. See our custom web applications page.
Mini case study
Dr Pieter de Vries, director of a food microbiology lab in Amsterdam, processes 35,000 samples a year grouped into 9,000 reports. Editing and sending a report takes 6 minutes, 900 hours. With the portal it takes 1: a gain of 750 hours. The 25 daily 'where is my result?' calls, at 4 minutes over 220 days, add up to 367 hours, cut by 70 %: a gain of 257 hours. Manual entry of instrument results, 1,167 hours a year, is 70 % automated: a gain of 817 hours.

Total: 1,824 hours at 48 EUR loaded cost, or 87,552 EUR a year. With a custom LIMS at 120,000 EUR and 12,000 EUR of annual running costs, the net gain reaches 75,552 EUR. Payback: 120,000 / 75,552 = 1.59 years, about 19 months.
FAQ
Can a custom LIMS be accepted by the RvA?
Yes, the standard does not require commercial software: it requires documented validation. Plan 3 to 5 weeks to write and execute the validation plan with the quality manager.
Which instruments can be connected?
Immunoassay analysers, spiral platers, colony counters and PCR thermocyclers export by file or serial link. Each interface takes 2 to 5 days of development.
Does the client portal handle non-compliance alerts?
Yes, a positive Listeria or Salmonella result triggers an email and SMS to the client's quality contact within 5 minutes, with a logged read receipt.
Can clients download their history?
They export 5 years of results by site, product or organism, as PDF or spreadsheet. This cuts manual history requests by about 70 %.
What happens when a standard method is revised?
Adding or updating a standard method is configured in 1 to 3 days, followed by a documented partial validation.
