Merchant KYC Onboarding for Mobile Money: Documents & Timelines (2026)

The verdict in three sentences

Merchant onboarding (KYC) is the step where the operator verifies your business identity before letting you collect payments: the delay runs from 1 to 10 days depending on the operator and how clean the file is. A business account rather than a personal one multiplies your transaction limits roughly tenfold and unlocks webhooks, payouts and merchant fees. An incomplete file is the number-one cause of delay: prepare your business registration, TIN, director ID and bank details before you start.

Required documents by operator

The documents are similar from one operator to the next, but a single missing detail sends the file to the back of the queue. Here's the essentials to prepare.

Operator / CountryRequired documentsActivation delay (2026 order)
Wave (SN / CI)Business registration, TIN, director ID, bank details2 to 4 days
Orange Money (SN)Business registration, TIN, director ID, proof of address5 to 10 days
Paystack (NG / GH)CAC certificate, TIN, director ID, bank details1 to 3 days
M-Pesa Paybill (KE)Incorporation certificate, KRA PIN, director ID3 to 7 days
Flutterwave (multi-country)Company registration, TIN, director ID, bank details2 to 5 days

These delays assume a complete, legible file. A blurry document, a name mismatch or an expired registration easily adds several days.

Personal vs business account

Many start with a personal account "to test," then hit the caps. A business account is not a luxury: it's what makes serious collection possible.

CriterionPersonal accountBusiness account
Transaction limitBase (x1)High (about x10)
Webhooks / APIOften unavailableAvailable
Automatic payoutsNoYes
Negotiated merchant feesNoYes
Receipt / invoice in company nameNoYes
Priority supportNoOften

For any real activity, the business account is unavoidable from day one. Migrating later loses your history and forces a new KYC.

The mistakes that stretch the timeline

Most delays come not from the operator but from the file. A director's name that differs between the ID and the registration, a proof of address older than three months, bank details in a person's name rather than the company's, or a mis-declared business sector: each of these sends the file back to review and adds days. Checking name and date consistency before submitting is the best free accelerator.

Mini case study

Blessing opens an online store in Lagos and wants to collect via Paystack and Flutterwave. She prepares the CAC certificate, TIN, her national ID and the company bank details, checks her name is identical everywhere, and submits a business account. Paystack activates her in 2 days, Flutterwave in 4 days. Her neighbor, who submitted personal bank details and an expired ID, waits 3 weeks because of the back-and-forth. Cost of the difference: about 2 weeks of lost sales, easily several hundred thousand FCFA on a launch.

FAQ

How long to become a Wave merchant?

Generally 2 to 4 days with a complete file (business registration, TIN, director ID, bank details). A missing or inconsistent document can double that. A business account is required for webhooks and payouts.

Can I collect without a business registration?

On a personal account, yes, but with low caps and no API. For serious activity, the business registration (or local equivalent) is essential to open a business merchant account.

Why is my KYC rejected?

Common causes: the director's name differs across documents, an expired ID, a proof of address that's too old, or bank details in an individual's name. Fix the consistency of the information and resubmit.

Does a business account cost more?

Per-transaction fees are often comparable, sometimes negotiable downward by volume. The major advantage is the x10 caps, webhooks and automatic payouts that e-commerce requires.

Can I be a merchant in several countries?

Yes, via an aggregator like Flutterwave that covers several countries with one enhanced KYC, or by opening an account per local operator. The cumulative delay depends on the slowest file.
