The verdict in three sentences
For a services SME issuing 600 invoices a month with 52 days average payment delay, adding an instant bank transfer payment link to every invoice is the cheapest lever to cut DSO. In the Netherlands, customers already know iDEAL, now migrating to Wero, and since October 2025 SEPA instant transfers cost the payer no more than a standard transfer, while collecting through a pay by bank provider costs 0.20 to 1 EUR per transaction, against roughly 1.5% for cards. The real gain is automatic reconciliation: every payment arrives with the invoice reference, removing most manual matching.
What changed with instant payments in 2025
The EU Instant Payments Regulation required euro area banks to receive instant transfers from January 2025 and to send them at no more than the price of a standard transfer from October 2025. Verification of Payee (checking the name linked to the IBAN) became mandatory at the same time, reducing invoice redirection fraud, a well known risk for finance directors. Dutch banks had offered a similar name check for years, so Dutch customers are used to it.
For a business customer paying an invoice, an instant transfer lands in under 10 seconds, 24/7. Combined with a payment link (pay by bank through iDEAL, Wero or another initiation service), the customer clicks, picks a bank, approves in the banking app, and the IBAN, amount and reference are prefilled. No typos, no missing reference.
| Collection method | Cost to the SME (order of magnitude 2026) | Time to receive | Reconciliation |
|---|---|---|---|
| Standard transfer keyed in by the customer | 0 EUR | 1 business day | Manual, references often missing |
| iDEAL / Wero payment link (instant) | 0.20 to 0.60 EUR per transaction | Under 10 seconds | Automatic via unique reference |
| Other pay by bank link (instant SEPA) | 0.20 to 1 EUR per transaction | Under 10 seconds | Automatic |
| Online card payment | 1.2 to 1.8% of amount | 1 to 3 days | Automatic |
| SEPA B2B direct debit | 0.20 to 0.50 EUR per debit | Fixed due date | Automatic, mandate to manage |
| Manual follow up by phone | 5 to 15 EUR of staff time per call | Variable | Manual |
On a 3,500 EUR invoice, a card costs about 52 EUR, an instant payment link under 1 EUR. For mid to high value B2B invoices, the gap is decisive.
How to embed payment links in your invoicing flow
Integration works on three levels. The invoicing tool or ERP generates a unique reference per invoice and calls the payment provider's API to create the link. The PDF invoice and email carry the link and a QR code. Finally, the confirmation webhook marks the invoice paid and pushes the entry to accounting (Exact Online, AFAS, Twinfield or your ERP).
| Component | Role | Setup time (order of magnitude 2026) |
|---|---|---|
| Link and QR code generation | One link per invoice, fixed amount and reference | 2 to 3 weeks |
| Customer portal "my invoices" | Customer sees open invoices and pays in one click | 3 to 5 weeks |
| Webhook and auto matching | Paid status, accounting entry, notification | 2 to 3 weeks |
| Automatic reminders D-3, D+7, D+15 | Emails with payment link | 1 to 2 weeks |
| DSO and receivables dashboard | Tracking by customer and account manager | 2 to 3 weeks |
| E-invoicing readiness (Peppol) | Compatibility with your access point | Depends on project |
The Netherlands is moving towards structured Peppol e-invoicing for B2B. The payment link stays compatible: it sits in the payment terms and on the PDF version sent to the customer.
If you use an off the shelf tool, a connector sometimes exists. For an SME with its own invoicing tool or a specific ERP, a Kolonell custom application usually falls in the simple band, 2,500,000 to 4,000,000 FCFA (3,810 to 6,100 EUR), or medium, 4,000,000 to 7,000,000 FCFA (6,100 to 10,670 EUR) with a customer portal and dashboard. Heavier projects go up to 15,000,000+ FCFA (22,870+ EUR). The payment provider choice and its subscription are priced in the quote.
Mini case study
Sanne, CFO of a 70 employee services SME in Amsterdam, issues 600 invoices a month at an average of 2,800 EUR, or 1,680,000 EUR billed monthly. Average payment delay is 52 days, and two accountants spend about 35 hours a month matching and chasing.

After rollout, 40% of customers pay through the link, on average 18 days earlier. Overall DSO drops by about 0.40 × 18 = 7 days. Working capital released equals 1,680,000 / 30 × 7 = 392,000 EUR in cash. Payment fees come to 240 links × 0.40 EUR = 96 EUR a month. Matching and chasing time falls to 15 hours a month, 20 hours saved, about 900 EUR a month at loaded cost. At 4% on a short term credit line, the 392,000 EUR released avoids nearly 15,700 EUR of annual interest.
FAQ
Does an instant transfer cost the customer more?
No. Since October 2025, euro area banks cannot charge more for an instant transfer than for a standard one. Most Dutch business accounts include it in the package.
Is a payment link safe for the customer?
Yes, the customer approves in their own banking app with strong authentication, and Verification of Payee confirms the name on the IBAN. The initiation provider must be licensed by a European authority such as De Nederlandsche Bank.
Can amounts be capped?
Banks apply instant transfer limits set by the account holder, often 15,000 to 100,000 EUR per transaction for business accounts. For larger invoices, a standard transfer stays available on the same portal.
Should we drop card payments?
No, keep them for small amounts and customers outside the euro area. On invoices under 50 EUR, the gap between 1.5% and a 0.40 EUR flat fee is negligible.
How long until we are live?
Plan 6 to 10 weeks for links, webhook and auto matching, and 12 to 16 weeks with a full customer portal and DSO dashboard.
