The verdict in three sentences

For a distribution SME winning 350 quotes a month, manual re-keying between HubSpot and Sage 50 costs around 25 hours of admin work and produces pricing errors that end up as credit notes. A well-scoped CRM to accounting connector, between EUR 8,000 and 22,000 excl. VAT, usually pays back in 12 to 20 months on time savings alone, and faster once avoided errors are counted. Success depends less on the sync tool than on the source-of-truth rule: which system owns customers, items, prices and statuses.

What to sync, and in which direction

The finance director of a Dublin SME usually starts from a simple observation: the rep wins the deal in HubSpot, then the sales admin copies the customer, lines and discounts into Sage 50 to raise the order and the invoice. Each copy takes 4 to 5 minutes, and roughly one error in 30 lines turns into a customer dispute.

The right split leaves Sage in charge of accounting and stock data, and HubSpot in charge of the commercial relationship.

That last row changes reps' daily work: they see in HubSpot that the customer has EUR 18,000 overdue before offering another discount. Chasing late payments becomes a shared topic rather than an accounts-only one.

2026 budget: three ways to build the connector

Sage 50 (Irish and UK edition) has no modern REST API out of the box: depending on the setup, you go through the Sage Data Objects SDK, an ODBC link or a middleware layer. Sage 200 offers a cloud API, which lowers costs. That explains the price spread.

ApproachSetup cost (excl. VAT)Monthly maintenance (excl. VAT)TimelineLimits
Off-the-shelf marketplace connectorEUR 3,000 to 7,000EUR 150 to 3003 to 6 weeksFew business rules, complex discounts poorly handled
Configured integration platform (iPaaS)EUR 8,000 to 14,000EUR 200 to 350 plus licence6 to 8 weeksVendor dependency, cost per flow
Custom connector (Sage SDK + HubSpot API)EUR 14,000 to 22,000EUR 250 to 4008 to 12 weeksRequires a precise specification
Current manual re-keyingEUR 025 h a month, about EUR 950 loadedImmediatePricing errors, invoicing delays

For a 60-person SME with discounts by product family and customer-specific terms, the iPaaS or custom option is usually the realistic one. Standard connectors fit if your pricing is simple and quotes have few lines.

The traps that blow the budget

Three issues come up in almost every project we scope. First, duplicate customers: if HubSpot holds 4,200 companies and Sage 3,100 accounts, you need deduplication by company number before the first sync, allow 2 to 4 days. Second, off-catalogue items, free-text lines typed by reps, which must map to a generic Sage item. Third, error handling: a flow that fails silently is worse than re-keying. Insist on a rejection dashboard and an email alert to sales admin.

Siobhan, finance director of a technical supplies distributor in Ballymount, Dublin, 60 staff, processes 350 won quotes a month. At 4.5 minutes per re-key, her sales admin team spends 26 hours a month on it. At a loaded cost of EUR 38 an hour, that is about EUR 990 a month, or EUR 11,900 a year. Add 12 credit notes a month caused by pricing errors, averaging EUR 140, which is EUR 20,160 a year of lost margin.

She picks a custom connector at EUR 16,500 excl. VAT with EUR 300 a month maintenance (EUR 3,600 a year). Estimated annual gain: EUR 11,900 plus about EUR 15,000 of avoided credit notes (75 % of errors removed), so EUR 26,900. Payback: about 8 months. Average time from order to invoice also falls from 3 days to a few hours, which brings cash in earlier.

FAQ

Do we need to move to Sage cloud to connect HubSpot?

No, a desktop Sage 50 can be connected too, through the SDK or a gateway installed on the server. Budget EUR 1,000 to 2,500 excl. VAT to secure network access between the server and the connector.

How long does implementation take?

Allow 6 to 12 weeks depending on the approach: 2 weeks of scoping and deduplication, 4 to 8 weeks of build and 2 weeks of testing in parallel with manual entry.

Is HubSpot Sales Hub Starter enough?

Advanced syncs and custom properties at volume usually require Sales Hub Professional, about EUR 90 to 100 per user per month in 2026. Check your edition before kicking off.

What happens when Sage is upgraded?

A version upgrade can change the data objects. The EUR 150 to 400 monthly maintenance contract should include re-testing the connector, about 2 to 3 days per major release.

Can reps see invoices in HubSpot?

Yes, status (invoiced, part paid, overdue) and remaining balance flow hourly to the deal and company record, without giving anyone access to the ledger.
