The verdict in three sentences
A HubSpot Sage connector brings customers, quotes, invoices and outstanding balances from the ERP into the CRM, and pushes won deals into Sage without re-keying. For a simple flow (customers and invoices, read-only), an off-the-shelf connector at USD 55 to 440 a month (about £45 to £350) is enough. As soon as you have several entities, complex quotes or an on-premise Sage 200 or Sage 100, a custom connector at USD 6,500 to 22,000 is more reliable and pays back within a year.
What a CRM blind to accounting costs you
In a 20 to 150 employee company, the typical picture looks like this: sales reps work in HubSpot, sales admin and finance in Sage 50, Sage 200 or Sage Intacct. The two worlds never talk. The result: sales admin re-keys every won deal, reps call finance to check a balance, and someone pitches an upsell to a customer who has owed USD 20,000 for 90 days.
| Symptom (SME with 12 sales reps) | Observed frequency | Estimated annual cost |
|---|---|---|
| Double entry of customers and orders by sales admin | 6 h per week | USD 11,600 |
| Reps looking for invoices and balances | 30 min per week per rep | USD 15,200 |
| Entry errors (address, tax ID, terms) | 3 to 5% of orders | USD 4,400 to 8,800 |
| Sales to customers in arrears | 2 to 4 cases a year | USD 5,500 to 16,500 at risk |
| Sales report rebuilt by hand | 1 day per month | USD 3,300 |
| Total | USD 40,000 to 55,400 |
These are 2026 estimates for a UK or US SME, with a loaded hourly cost of USD 42 for sales admin and USD 55 for a sales rep.
Off-the-shelf or custom connector: 2026 prices
| Option | Setup | Recurring cost | What syncs | Limits |
|---|---|---|---|---|
| No-code platform (Make, Zapier) | USD 1,100 to 3,300 configuration | USD 55 to 165 per month | Customers, contacts | No reliable balances, silent errors |
| Vendor connector or HubSpot marketplace app | USD 0 to 4,400 | USD 165 to 440 per month | Customers, invoices, sometimes quotes | Mostly Sage cloud editions, standard fields |
| Integrator iPaaS (Boomi, Celigo) | USD 5,500 to 13,000 | USD 330 to 990 per month | Broad | Oversized for an SME |
| Custom connector (HubSpot API + Sage) | USD 6,500 to 22,000 | USD 90 to 275 per month | Whatever you define | 4 to 8 week timeline |
Custom is mainly justified with an on-premise Sage edition (limited or no public API, access through the SQL database or Sage's SDK), several companies or ledgers, customer-specific discounts and terms, or a strict two-way sync with precedence rules.
Typical scope of a well-designed connector
| Object | Direction | Frequency | Key rule |
|---|---|---|---|
| Companies and contacts | Two-way | Real time | Sage is master for company number, tax ID, billing address |
| Won deals to sales orders | HubSpot to Sage | Real time | Order created with items and discounts |
| Quotes | HubSpot to Sage | On signature | Sage numbering kept |
| Invoices and credit notes | Sage to HubSpot | Every 15 min | PDF link on the company record |
| Balances and overdue amounts | Sage to HubSpot | Hourly | Alert when balance exceeds credit limit |
| Catalogue and prices | Sage to HubSpot | Daily | Sage base prices, HubSpot discounts capped |
Insist on three technical points: a searchable sync log, an automatic retry queue on errors, and an email alert when a record is rejected. Without them the connector degrades silently. A move to e-invoicing, now on the agenda in the UK and mandatory in several EU countries, is also a good moment to clean up these flows.

- Sales admin double entry removed: 6 h × 46 weeks × USD 42 = USD 11,590 a year.
- Reps looking up balances: 12 × 0.5 h × 46 × USD 55 = USD 15,180 a year.
- One bad debt avoided per year thanks to the credit limit alert: about USD 8,800.
- First-year cost: 13,200 + 1,560 = USD 14,760.
With about USD 35,570 of annual gains, the connector pays back in five months.
FAQ
Does on-premise Sage have a usable API?
Not natively for most desktop editions. Access goes through the SQL Server database read-only, the Sage SDK, or a Sage cloud bridge, which adds USD 1,650 to 3,300 to the project but stays reliable.
Do we need HubSpot Operations Hub?
It is not required. Operations Hub Pro, from about USD 880 a month, helps with simple syncs, but a custom connector uses the HubSpot API already included in Sales Pro plans.
How long does deployment take?
Allow 4 to 8 weeks: 1 week of field mapping, 2 to 5 weeks of development, 1 to 2 weeks of historical data migration and testing.
What happens when Sage or HubSpot changes?
Monthly maintenance covers API changes. HubSpot announces breaking changes about 90 days ahead, plenty of time to adapt the connector.
Can we start with invoices only?
Yes. A first read-only phase (customers, invoices, balances) costs USD 6,500 to 8,800 and already delivers about 60% of the value for sales reps.
