Syncing HubSpot with an industrial SME's ERP: cost and pitfalls

Digital Marketing

The verdict in three sentences

For an industrial SME in France, the UK or North America, syncing HubSpot with the ERP (Sage 100, Sage X3, Divalto, Cegid, Odoo, NetSuite or SAP Business One) costs 200 to 800 EUR a month with an off-the-shelf connector, or 10,000 to 25,000 EUR excluding VAT for a custom connector. Add HubSpot Sales Pro licences at 90 EUR per user per month. The budget depends less on the tool than on three pitfalls: duplicates, data priority rules and multi-site customers.

What the sales director really wants to see

In an industrial SME with 80 to 200 employees, sales reps work in HubSpot, but the decisive information lives in the ERP: open orders, confirmed delivery dates, outstanding balances and late payments, price history per customer. As a result, before every meeting the rep calls order administration or accounts, and the sales director forecasts with no view of the real order book.

A well-designed sync pushes into the HubSpot company record the last 12 months of revenue, open orders, outstanding balance and overdue invoices. In the other direction, new customers won in HubSpot create a prospect account in the ERP, without ever overwriting accounting data.

Off-the-shelf or custom connector: the 2026 comparison

CriterionOff-the-shelf connectorCustom connector
Setup cost1,500 to 5,000 EUR excl. VAT of configuration10,000 to 25,000 EUR excl. VAT
Recurring cost200 to 800 EUR per month150 to 400 EUR per month for hosting and maintenance
Timeline2 to 4 weeks6 to 10 weeks
ERPs coveredSage, Odoo, Cegid, NetSuite depending on vendorAny ERP with an API or accessible database
Multi-site customersOften limited to one levelGroup, entity, delivery site hierarchy
Specific business rulesLimited configurationUnrestricted (priorities, filters, balance calculations)
3-year cost (estimate)8,700 to 33,800 EUR15,400 to 39,400 EUR

The off-the-shelf connector suits a standard ERP and simple customers. Custom becomes worthwhile as soon as you have customer groups with several company numbers, negotiated prices per site or a legacy ERP with no certified connector.

HubSpot Sales Hub Pro90 EUR per user per monthNeeded for calculated properties and sequences
Operations Hub (Data Hub) ProAbout 720 EUR per monthUseful for data quality and advanced syncs

Custom objects (Enterprise)From about 150 EUR per userOnly if orders and invoices must be HubSpot objects
View-only usersFreeOrder admin and management can view without a paid seat

The three pitfalls that derail the project

  • Duplicates: an industrial SME often has 10 to 20% duplicate accounts between HubSpot and the ERP. Match on company registration or VAT number, never on name. Plan 2 to 5 days of deduplication before any sync.
  • Priority rules: for each field, one system is the source of truth. The ERP for billing address, payment terms and balance, HubSpot for sales contacts and lifecycle stage. Without this ownership table signed off by finance and sales leadership, the two systems overwrite each other.
  • Multi-site customers: a food group with 6 plants is neither 6 customers nor one. You need a parent company and entity hierarchy, and a decision on where orders and balances attach.

Thomas, sales director of a precision engineering SME near Rennes (12 sales reps, Sage 100 ERP, 40 multi-site customer groups), compares options. Off-the-shelf connector: 3,000 EUR setup and 600 EUR a month, but the multi-site hierarchy is not supported. He chooses custom: 18,000 EUR excl. VAT and 250 EUR a month of maintenance, plus 12 Sales Pro licences at 90 EUR, or 1,080 EUR a month already budgeted. Measured gains: 3 hours per rep per month of calls to order admin avoided, so 36 hours at 55 EUR loaded cost, 1,980 EUR a month, plus two overdue payments chased earlier each month. Before any sales uplift, the project pays back in about 11 months (18,000 / (1,980 - 250)).

FAQ

How much does a HubSpot and ERP sync cost?

In 2026, 200 to 800 EUR a month with an off-the-shelf connector, or 10,000 to 25,000 EUR excl. VAT for custom. HubSpot Sales Pro licences at 90 EUR per user per month apply in both cases.

Which ERPs can connect to HubSpot?

Sage 100, Sage X3, Divalto, Cegid, Odoo, NetSuite, SAP Business One and most ERPs with an API or accessible database. An ERP without an API needs a scheduled export, adding 2,000 to 4,000 EUR to the project.

Should invoices be synced into HubSpot?

Rarely in detail. Pushing total invoiced, outstanding balance and overdue invoices is enough in 80% of cases and avoids moving to HubSpot Enterprise.

How often should data sync?

Every 15 minutes for orders and balances, once a day for revenue history. Real time only matters for stock availability.

How long does a custom connector take?

From 6 to 10 weeks, including 1 to 2 weeks to define priority rules and deduplicate. Go-live starts with 2 or 3 pilot reps.
