Connecting HubSpot to your ERP: off-the-shelf connector or custom development?

Digital Africa

The verdict in three sentences

To synchronise HubSpot and a Sage ERP in an industrial SME, there are three routes: an off-the-shelf connector (EUR 100 to 500 a month), an iPaaS platform such as Make or n8n (EUR 50 to 300 a month plus EUR 3,000 to 8,000 of setup) or custom development (EUR 10,000 to 25,000 excl. VAT). The right choice depends on the complexity of your business rules (customer-specific prices, discounts, bills of materials), not on company size. In every case, removing re-keying frees about 6 hours per sales rep per week, which pays back the investment within a few months.

The three options compared

Typical re-keying is easy to describe: the sales rep creates a quote in HubSpot, the customer signs it, then the sales assistant copies customer, items, quantities and discounts into Sage 100 or Sage X3 to create the order and invoice. Each manual step creates pricing errors and delays.

The off-the-shelf connector works as long as your objects are standard: company, contact, item, quote. As soon as you manage customer price lists, configured items or several companies in Sage, you need either fragile workarounds or dedicated logic.

What really drives the price

Complexity factorBudget impactConcrete example
Sync direction+ 30 to 50% if two-waySage invoice status pushed back to HubSpot
Sage versionSage X3 + 20 to 40% vs Sage 100Richer API but longer to map
Price lists and discounts+ EUR 2,000 to 6,000Net prices per customer and product family
Historical data migration+ EUR 1,500 to 4,0005 years of customers and items to deduplicate
Multi-company or multi-warehouse+ EUR 2,000 to 5,000One subsidiary per country, stock per warehouse
Daily volumeiPaaS cost x2 to x4Above 10,000 operations a month on Make
Error handling and retries+ EUR 1,000 to 3,000Queue when Sage is unavailable

An often forgotten point: Sage 100 installed on a local server does not always expose an API reachable from the cloud. You then need a gateway (an agent installed on the server or a securely exposed SQL database), which adds EUR 1,000 to 3,000 to the project.

How to choose in practice

Start by listing the flows: customer creation, quote to order, invoice status, stock level. Then count monthly volume and exceptions (manual discount, off-catalogue item). If more than 80% of quotes are standard and you run Sage 100, first test an off-the-shelf connector for a month. If you have more than five flows or specific pricing rules, a well-documented iPaaS is often the best compromise. Custom development is justified when volume exceeds a few hundred orders a day or when the integration is critical for invoicing.

Mini case study

Marc, sales director of an industrial SME in Lyon, manages 8 sales reps who re-key quotes and orders into Sage 100. Each loses about 6 hours a week, over 46 working weeks: 8 × 6 × 46 = 2,208 hours a year. At a loaded cost of EUR 40 an hour, that is EUR 88,320 a year.

Marc chooses an n8n solution with EUR 6,000 of setup, EUR 1,500 for a gateway to the Sage server and EUR 200 a month for hosting and monitoring. First-year cost: 6,000 + 1,500 + 2,400 = EUR 9,900. Even assuming only half of the freed time becomes useful selling time, the gain is EUR 44,160, a payback in under 3 months. Pricing errors on invoices, which generated about ten credit notes a month, almost disappear.

FAQ

Is there an official connector between HubSpot and Sage?

Several third-party connectors are listed on the HubSpot marketplace, billed EUR 100 to 500 a month. They cover standard objects well, but rarely specific price lists or Sage installed on a local server.

Make or n8n: which one for HubSpot and Sage?

Make is easier to learn, with a subscription of EUR 10 to 300 a month depending on volume. n8n can be self-hosted in Europe, which keeps cost around EUR 50 to 150 a month and simplifies GDPR compliance.

How long does it take to connect HubSpot and Sage?

Expect 1 to 3 weeks with an off-the-shelf connector, 3 to 6 weeks with an iPaaS and 6 to 12 weeks for custom work, acceptance testing included.

Does the sync need to be two-way?

Not necessarily at first: the HubSpot to Sage flow delivers 70% of the gain. Pushing invoice and payment statuses back to HubSpot adds 30 to 50% to the budget but stops reps from calling accounting.

What happens if Sage is unavailable?

A serious integration queues orders and replays them automatically, with an alert after 15 minutes of delay. This mechanism costs EUR 1,000 to 3,000 and prevents lost orders.
