The verdict in three sentences
If your datasheets are edited by hand and stay under about 800 products, a well optimised classic WordPress hits a sub 2 second mobile load for roughly a third of the three-year cost of headless. Headless pays off when product data flows from an ERP or PIM several times a week, when the same data feeds a distributor portal or configurator, and when you have an in-house owner for the architecture. In Bavaria the extra question is data protection: wherever you land, keep hosting and analytics inside the EU and document it.
The two architectures in plain terms
A classic WordPress site stores content and renders pages in one system. With a solid multilingual plugin, page caching and a lean theme, German and English versions of a few hundred datasheets are comfortable.
A headless setup splits the editing back end (a headless CMS, or WordPress used purely as a data source) from the front end (a Next.js or similar application). Datasheets can arrive from SAP or a PIM through an API, and the same content can feed the website, a dealer extranet and a mobile app. The price: two systems to host, secure and maintain.
2026 comparison
| Criterion | Optimised classic WordPress | Headless (CMS plus separate front end) |
|---|---|---|
| Build budget | EUR 10,000 to 30,000 | EUR 30,000 to 90,000 |
| Timeline | 6 to 10 weeks | 12 to 24 weeks |
| Comfortable datasheet volume | 300 to 800 | 600 to 2,000 and more |
| Annual hosting (EU data centre) | EUR 400 to 1,500 | EUR 1,800 to 7,000 |
| Mobile load target | Under 2 s with caching | Under 1.5 s with static generation |
| ERP product feed | Scheduled import | Native API, near real time |
| Talent pool to take over | Very large | Smaller, pricier |
| German and English handling | Multilingual plugin | Localised fields in the CMS |
Three-year total cost
| Item (midpoint, EUR excl. VAT) | Classic WordPress | Headless |
|---|---|---|
| Build | 20,000 | 60,000 |
| Hosting, 3 years | 2,850 | 13,200 |
| Maintenance and updates, 3 years | 8,400 | 21,000 |
| Licences, 3 years | 1,000 | 6,000 |
| Estimated changes | 7,000 | 14,000 |
| 3-year total | 39,250 | 114,200 |
These are 2026 estimates. The gap narrows if headless saves you a separate dealer portal, which on its own would cost EUR 25,000 to 50,000.
Data protection and vendor dependency
German buyers and works councils pay close attention to data flows. Under the GDPR and the German TTDSG rules on cookies and device access, you need a consent banner that actually blocks tracking until consent, a data processing agreement with every host and SaaS vendor, and ideally EU-only hosting. Headless stacks often combine three or four SaaS services, each needing its own agreement and transfer assessment. WordPress on a single EU host is simpler to document.
On dependency, hundreds of Munich agencies and freelancers can take over a WordPress site. Headless work requires people fluent in both the CMS and the front end framework, so demand architecture documentation, repository access and a staging environment in the contract.

| Manufacturer profile | Recommendation |
|---|---|
| Under 400 datasheets, manual edits | Classic WordPress |
| 400 to 800 datasheets, weekly ERP export | WordPress with scheduled import |
| Over 800 datasheets, daily SAP sync | Headless |
| Dealer portal or configurator within 18 months | Headless |
| No technical digital owner in house | Classic WordPress |
Mini case study
Illustrative example: Katrin, head of digital at a 220-person machine parts maker near Munich, publishes 700 datasheets in German and English. SAP exports a product file each night. She opts for a WordPress build at EUR 22,000 with a nightly import connector at EUR 4,500 and EU hosting at EUR 1,000 a year.
Three-year maths: 26,500 + 3,000 + 8,400 maintenance = EUR 37,900, versus around EUR 114,000 for headless. The EUR 76,000 saved goes into translation quality and trade fair lead capture.
FAQ
Is headless faster than WordPress?
Usually yes, with a sub 1.5 second target versus 2 seconds for an optimised WordPress. For an engineering buyer, half a second matters less than accurate CAD files and specs.
Can WordPress handle 2,000 datasheets in two languages?
Technically yes, about 4,000 pages, but editing and caching get heavy. Past roughly 800 ERP-synced products, headless becomes the rational choice.
What does GDPR-compliant hosting cost?
A quality EU host runs EUR 400 to 1,500 a year for WordPress and EUR 1,800 to 7,000 for a headless stack, before consent management tooling.
Can we move to headless later?
Yes. WordPress can become the data source for a headless front end, a migration costing about EUR 15,000 to 45,000, so starting simple keeps options open.
