Freight Forwarder Software Cost in Amsterdam (2026)

Digital Africa

The verdict in three sentences

Above 1,500 shipments a year, tracking declarations, disbursements and containers on Excel becomes a forwarder's main source of losses: avoidable demurrage, advanced costs never re-invoiced, clients calling ten times to ask about their file. Custom business software, fed by data exchanges with the customs system and the port community system (in Amsterdam, Dutch Customs' declaration platforms and Portbase), centralises every file from bill of lading to delivery. 2026 budget: EUR 15,000 to 34,000 excl. VAT (10 to 22 million FCFA), paid back in under 12 months on 2,500 files.

International vendor, generic package or custom build

Large forwarding suites cover freight well, but often struggle with your specifics: local customs regimes, terminal fees, disbursements per stevedore or carrier, invoicing rules and VAT treatment.

CriterionInternational vendorGeneric packageCustom build
Upfront costEUR 9,000 to 23,000EUR 3,000 to 7,600EUR 15,000 to 34,000

Custom software makes sense when your margins depend on controlling disbursements and port delays, which is true for most licensed customs brokers.

Modules and their cost

A typical project is split into phases, delivered over 4 to 7 months.

ModuleFunctionIndicative cost excl. VAT
Files and workflowOpening, stages, owners, documents (B/L, invoice, pre-import)EUR 3,800 to 6,900
Disbursements and invoicingAdvanced costs, re-invoicing, VAT, remindersEUR 3,000 to 6,100
Containers and demurrageFree time per carrier, D-3 and D-1 alertsEUR 2,300 to 5,300
Customs / port system exchangeDeclaration statuses, reference importEUR 3,000 to 7,600
Client portalOnline tracking, document downloadEUR 1,800 to 4,600
DashboardsMargin per file, average clearance time, receivablesEUR 1,200 to 3,000

The depth of integration with customs and port systems depends on the access granted to your licence. Where automated exchange is not open, the software provides a structured import of files and references, which already removes double entry.

Mini case study

Pieter runs a forwarding company in Amsterdam handling 2,500 files a year with 15 staff. Non-rechargeable demurrage and storage cost him about EUR 91,500 a year (60 million FCFA equivalent), and he estimates that 4% of advanced disbursements are never re-invoiced, i.e. EUR 18,300 on EUR 457,000 of yearly disbursements.

With software at EUR 22,900 (15 million FCFA) and EUR 2,750 of yearly maintenance, he targets a 30% cut in demurrage (EUR 27,400 saved) and recovery of half the forgotten disbursements (EUR 9,150). Annual gain: EUR 36,550, minus EUR 2,750 maintenance, i.e. EUR 33,800 net. Payback comes in about 8 months, not counting the phone time saved by the client portal.

FAQ

Can the software file declarations directly with customs? It depends on your licence and the exchange protocols opened by the customs authority and port community system. In every case, retrieving statuses and references removes double entry, which often takes 10 to 15 minutes per file.

How long does the project take? Allow 4 to 7 months depending on modules, with a first working phase (files and disbursements) in 10 to 12 weeks. Migration of open files from Excel is included.

Where is the data hosted? In the EU by default, in line with GDPR, or in Senegal for West African operations under Law 2008-12. Hosting costs range from EUR 60 to 230 per month.

Can the project be paid in instalments? Yes, phase-based payment is standard: for example 30% on order, 40% on delivery of the first phase and 30% on final acceptance.

Is the client portal really useful? For a forwarder receiving 30 to 50 tracking calls a day, the portal roughly halves those calls and becomes a sales argument with demanding importers.
