Field sales ordering app for a distributor: build cost and offline mode

Websites

The verdict in three sentences

For an FMCG distributor running 35 sales reps on paper order books, an offline-first progressive web app (PWA) synced with Sage removes about 2 days of re-keying a week and 4 points of order errors. Off-the-shelf licences cost $27 to $49 per user per month, roughly $16,000 a year for 35 reps, while a custom app sits within Kolonell's grid of 3,810 to 22,870+ EUR (2,500,000 to 15,000,000+ FCFA), paid once. Over 3 years, custom wins as soon as the Sage integration and offline mode are non-negotiable, which is the norm in markets with patchy mobile coverage.

The context: paper orders and nightly re-keying

Kwame is sales director of a distributor based in Accra's Tema industrial area: beverages, household products and dry groceries, 1,800 retail customers (neighbourhood shops, minimarts, wholesalers), 35 reps spread across Accra, Kumasi, Takoradi and Tamale. Each rep visits 10 to 14 customers a day and writes orders in a carbon-copy book.

In the evening, the books are photographed and sent over WhatsApp, then two clerks re-key about 6,000 orders a month into Sage. The problems are familiar: misread product codes, swapped quantities, discounts applied from memory, customers over their credit limit served anyway. About 6% of orders contain an error that triggers a return, a credit note or a second delivery.

Offline mode as a field requirement

On the roads to Kumasi or Tamale, and even in some Accra markets, mobile data stays unreliable. An app that needs a network to save an order will be abandoned within two weeks. The PWA stores the catalogue, price lists and route customers' history on the phone, saves orders locally and sends them as soon as signal returns, with conflict handling (stock sold out in the meantime, price changed).

Another PWA advantage: it installs from the browser, without an app store, and runs on the entry-level Android phones the company already gives its reps.

For 35 reps, a licence at $38 a month comes to $1,330 a month, or about $15,960 a year, forever. The custom app requires a higher upfront investment but has no per-user cost: going from 35 to 60 reps does not change the bill.

Mini case study

Kwame models the project with his finance director, assuming a complex app with Sage sync.

You are :
  • Re-keying removed: 2 days a week, i.e. 16 hours × 46 weeks × $6 loaded hourly cost = $4,416 a year.
  • Order errors: from 6% to 2% on 6,000 orders a month, i.e. 240 errors avoided × $12 average cost (return, credit note, redelivery) = $2,880 a month, or $34,560 a year, as a ballpark.
  • 3-year cost: at most 22,870 EUR of development + 183 EUR × 36 months of maintenance = 29,458 EUR (about $32,000), against roughly $47,900 of licences over the same period, before the Sage connector.

The error reduction alone pays the project back within the first year. Kwame runs a 4-week pilot with 8 Accra reps before rolling out to the regions.

FAQ

Which phones does the PWA need?

A recent entry-level Android with 3 GB of RAM and an up-to-date Chrome is enough. A 1,500-item catalogue with compressed photos usually takes less than 200 MB.

How long does development take?

Allow 10 to 14 weeks for a complex version with Sage sync, including a 4-week field pilot. A simple version without sync can be ready in 6 to 8 weeks.

Can customers pay by mobile money when ordering?

Yes, recording a mobile money collection can be added, with reconciliation in Sage. This feature belongs to the complex version.

What happens if a phone is lost?

Access is revoked remotely in seconds, and unsynced orders are limited to the day's route. Data is encrypted on the device.

How do we get reps to drop the paper book?

Show them the direct benefit: customer history, product suggestions and real-time tracking of their commissions. In successful pilots, over 90% of orders go through the app by week three.

Let's scope your project. We map the catalogue, pricing rules, Sage synchronisation and a 4-week field pilot with you before full rollout. Detailed quote within 48 h. WhatsApp +221 77 596 93 33.
