The verdict in three sentences

A dental practice in Amsterdam that sends agencies a one-line request ("we need a new website") will get quotes ranging from EUR 5,000 to EUR 25,000 that cannot be compared. A two-page specification covering pages, languages, booking, forms, accessibility and account ownership narrows that spread and makes the cheapest quote readable rather than suspicious. Write it before the first call, score every reply on the same grid, and keep booking, payment and the patient portal as separate lines on quote.

What goes into the checklist?

Copy this list straight into your document. Each item takes a few lines.

  • Goals and audiences. New patients in Zuid, De Pijp, Oud-West or Amstelveen, Dutch-speaking and expatriate families, existing patients looking for opening hours or emergency instructions. Set two measurable goals, for example clicks to the appointment request and calls from mobile.
  • Page list and templates. Home, treatments (one page per treatment family), team (each dentist with their BIG register entry as actually held, specialists only where registered as such), a fees page if you publish one, new patients, emergencies, directions and contact, privacy and cookies. Count the templates: usually 5 to 7.
  • Content ownership. Who writes, who approves, who signs off the compliance review. Treatment pages are checked by a registered dentist before go-live against Dutch rules on healthcare advertising. No promised results, no invented reviews or ratings, no before/after gallery presented as a guarantee.
  • Languages. Dutch and English. State whether English is a full mirror or a reduced set of pages, and who supplies the Dutch copy.
  • Integrations, each on its own line. Online booking (link or embed from your practice management software), payment, patient portal, CRM or newsletter, Google Business Profile. Separate lines make quotes comparable; complex integrations stay on quote.
  • Accessibility target. WCAG 2.2 AA: contrast, keyboard navigation, alt text, captions on videos.
  • Data protection for forms. The GDPR (AVG in Dutch) applies, supervised by the Autoriteit Persoonsgegevens. The form asks for name, phone or email, preferred time and a short non-medical reason; never medical history, X-rays or photos. Cookie consent before any analytics. This is not legal advice.
  • Hosting, domain and accounts in the practice's name, with admin access handed over at delivery.
  • SEO migration if a site exists. URL inventory, 301 redirect map, Search Console checks after go-live.
  • Acceptance criteria. Forms tested, redirects verified, accessibility check passed, pages approved by the lead dentist.
  • Timeline and budget range. A target date outside school holidays and an honest budget envelope.

How does a precise brief change the quotes?

Agencies price what they imagine. The less you say, the more margin they add for the unknown, or the more they underquote and bill change requests later. 2026 ballpark, based on typical local agency quotes:

ItemVague briefPrecise briefEffect on quotes
Pages"A modern site"14 pages, 6 templates, list attachedNobody guesses between 8 and 30 pages
Languages"Also in English"Dutch and English full mirror, copy author namedTranslation stops being a hidden extra
Booking"Online appointments"Link to existing tool, embed optional, separate lineNo custom booking module priced in
Forms"A contact form"4 fields, no medical data, GDPR notice, retention period setFewer surprises at the privacy review
AccessibilityNot mentionedWCAG 2.2 AA, checked before acceptanceTesting time priced upfront

Spread of 3 quotesEUR 5,000 to 25,000EUR 8,000 to 14,0002026 ballpark

How do you compare three quotes on one grid?

Score each quote from 1 to 5 on five criteria, multiply by the weight, add up. Example with three fictional replies:

CriterionWeightQuote AQuote BQuote C
Coverage of the checklist30%435
Clarity of price and options20%354
Realistic timeline15%344
GDPR and accessibility addressed20%425
Account ownership and support15%534
Weighted total out of 5100%3.803.354.50

Quote B may be the cheapest, but it leaves accessibility and forms vague: that is where change requests are born.

Where does the Kolonell fixed grid fit?

Our international offer follows a public grid in euros: Starter EUR 2,700, Growth EUR 4,500, Premium EUR 8,200. A Dutch and English site falls under Premium (the multilingual tier, languages set in the quote). Included: a project manager reachable in your time zone, native English or French copywriting, delivery in 3 to 4 weeks once content is ready, and 3 months of support. Dutch copy is either supplied by the practice or handled by an independent translator (third-party cost), as set in the quote. Booking, payment, the patient portal and SEO work stay on quote, each on its own line, which maps directly onto item 5 of the checklist.

Illustrative example. Dr Sanne Visser runs a fictional two-chair practice, "Tandartspraktijk Amstelkade", in De Pijp. The old site has 38 URLs. First attempt without a specification: three quotes at EUR 6,500, 13,000 and 22,000, with no common scope. She spends 6 hours on the checklist above and goes back out: EUR 9,800, EUR 11,500 and Kolonell Premium at EUR 8,200, with booking as a link to the existing tool (full embed on quote).

Calculation: EUR 8,200 + local photographer, third-party cost estimated at EUR 900 = EUR 9,100 before the booking line, against EUR 11,500 for the best-scored agency quote, a EUR 2,400 gap on an identical scope. More importantly, the three replies can now be compared line by line.

FAQ

How long does the specification take to write?

Allow 4 to 8 hours spread over a week, including one hour with the lead dentist on the treatment list. It is the best-paid time in the whole project.

Should we publish our fees?

It is not required on the website, but if you do, add the page to the list and name who updates it, at least once a year. A fees page usually adds 1 simple template.

Can the form ask for the reason for the visit?

Yes, one short field of about 300 characters, with a note asking patients not to enter medical information. Medical documents go through the patient portal, on quote.

Does a WCAG 2.2 AA target raise the budget?

It often adds 1 to 3 days of testing in agency quotes, 2026 ballpark. Writing it in from the start costs less than fixing it after go-live.

Who should own the domain name?

The practice, always. Require in the quote a handover of all access within 5 working days at the end of the contract.

Let's scope your project. Send us your page list, languages and target date, and we reply with a scope, a tier between EUR 2,700 and EUR 8,200 and a timeline. See the international offer or request a free quote: detailed reply within 48 hours.
