The verdict in three sentences
A HubSpot-Odoo sync rarely fails because of the tool: it fails because nobody decided which system is the source of truth for each field and how to recognise that a customer already exists. A market connector at 50 to 300 EUR a month is enough to sync contacts and companies one way; Make or n8n lets you add your own rules for 2,000 to 6,000 EUR excl. VAT of setup. As soon as quotes, orders, price conditions and payment statuses must flow both ways, a custom connector at 6,000 to 18,000 EUR excl. VAT prevents duplicates and overwritten data.
The hidden cost of double entry
In a typical industrial SME, the sales rep creates the deal in HubSpot, then the sales admin assistant recreates the customer and quote in Odoo. Gaps pile up: company name spelled two ways, delivery address not updated, quote changed in Odoo but not in the CRM.
| Indicator (60-employee industrial SME, 2026 order of magnitude) | No sync | With sync and rules |
|---|---|---|
| Re-entry time per sales rep | 1.5 to 3 h a week | under 15 min |
| Duplicate company records | 8 to 15% | under 1% |
| Quotes missing from the CRM | 10 to 20% | 0 to 2% |
| Quote to ERP order lead time | 1 to 3 days | a few minutes |
| Pipeline reliability | forecasts within plus or minus 25% | plus or minus 10% |
| Billing errors due to addresses | 2 to 4% of invoices | under 0.5% |
Market connector, iPaaS or custom: the comparison
Odoo offers HubSpot integration modules on its App Store, and several vendors sell ready-made connectors. Make and n8n have HubSpot and Odoo modules (via the XML-RPC or JSON-RPC API). A custom build uses the same APIs, with a message queue, logs and tests.
| Criterion | Market connector | iPaaS (Make, n8n) | Custom connector |
|---|---|---|---|
| Setup cost | 0 to 1,500 EUR excl. VAT | 2,000 to 6,000 EUR excl. VAT | 6,000 to 18,000 EUR excl. VAT |
| Recurring cost | 50 to 300 EUR a month | Make 30 to 150 EUR a month, self-hosted n8n 20 to 60 EUR | 80 to 250 EUR a month (hosting, maintenance) |
| Synced objects | contacts, companies, sometimes quotes | your choice, one scenario per object | all, including quote lines and prices |
| Two-way sync | often limited | possible, loop handling is tricky | yes, with field-level arbitration |
| Deduplication rules | email only | customisable | multi-criteria with scoring |
| Error recovery and logging | basic | execution history | retry queue, alerts, audit trail |
| Odoo 17, 18, 19 compatibility | check per module | adapt at each migration | maintained under contract |
The weak spot of iPaaS is the infinite loop: HubSpot updates Odoo, Odoo sends the change back to HubSpot, which sends it again. You have to tag the origin of each update, which quickly complicates a visual scenario.
Deduplication rules and sync direction
The core of the project is a one-page document that sets, field by field, the master system and the matching rule. Here is the matrix we recommend for an industrial SME.
| Object or field | Master system | Matching or update rule |
|---|---|---|
| Company (legal name, company ID) | Odoo | match on company ID, else email domain + postcode |
| Contact | HubSpot | match on email, else name + company + normalised phone |
| Billing and delivery addresses | Odoo | never overwritten from HubSpot |
| Deal and sales stage | HubSpot | creates an Odoo quote at 'proposal' stage |
| Quote and product lines | Odoo | status and amount pushed to HubSpot |
| Price conditions and discounts | Odoo | read-only in HubSpot |
| Payment status and outstanding balance | Odoo | pushed nightly to HubSpot |
For existing duplicates, plan a clean-up phase before go-live: export both databases, similarity score (company ID, domain, name normalised without legal suffixes such as 'SAS' or 'Ltd'), human-validated merge on uncertain cases. For 5,000 companies, count 3 to 5 days of work.
Mini case study
Need a professional website?
Kolonell builds websites that attract clients, optimized for the Sénégalese market. Free quote in 2 minutes.
Stéphane, sales director of a 60-employee materials handling equipment maker near Grenoble, manages 8 sales reps who each lose about 1.5 hours a week re-entering customers and quotes between HubSpot and Odoo: 52 hours a month at a loaded 50 EUR, or 2,600 EUR a month. The custom connector, including clean-up of 4,200 companies, costs 12,000 EUR excl. VAT plus 150 EUR a month. The net gain of 2,450 EUR a month pays back the project in 5 months, and the duplicate rate drops from 11% to under 1%, making the sales forecasts presented to the management committee reliable.
FAQ
Is the HubSpot connector from the Odoo App Store enough?
To sync contacts and companies one way, yes, for 50 to 300 EUR a month. As soon as you need two-way quotes or deduplication rules beyond email, its limits show within weeks.
Make or n8n: which one?
Make is easier to pick up and is billed per operation at 30 to 150 EUR a month. Self-hosted n8n costs 20 to 60 EUR a month of server with unlimited executions, but needs technical skills to run.
How do you prevent a sync from overwriting data?
By naming one master system per field and refusing any write from the secondary system on that field. A log of every change lets you roll back in under 5 minutes.
What happens during an Odoo migration?
Field and model names sometimes change between versions 17, 18 and 19. Count 1 to 3 days of adaptation per migration for a custom connector, often more for a set of Make scenarios.
How long does the project take?
Count 2 weeks for a market connector, 3 to 5 weeks for an iPaaS and 5 to 8 weeks for a custom build, including 1 week of duplicate clean-up.
