The verdict in three sentences

A Nairobi microfinance institution with 28,000 members and 9 branches that still keeps part of its loan book in Excel sees its portfolio at risk over 30 days two to three weeks late, while it already sits between 6 and 12 %. Off-the-shelf core banking systems for microfinance cost roughly $35,000 to $100,000 plus yearly licence fees, while a custom loan management application falls in our complex tier, 7,000,000 to 15,000,000+ FCFA (10,670 to 22,870+ EUR), for a 5 to 8 month project. The right choice depends on how much of savings and accounting you want to migrate together with lending.

What regulators and the field require in 2026

In Kenya, microfinance banks are supervised by the Central Bank of Kenya, deposit-taking SACCOs by SASRA, and non-deposit digital lenders need a CBK licence. All of them must report portfolio quality, provision non-performing loans by age, disclose the total cost of credit and protect borrower data under the Data Protection Act 2019. In the field, loan officers visit members across Nairobi, Kiambu or Machakos and collect repayments, increasingly through M-Pesa paybill numbers.

Market systems or custom: an honest comparison

Large integrated systems cover savings, lending, accounting and regulatory reporting. Their limits for a mid-sized institution are total cost, dependence on an integrator and offline capability, which matters as soon as coverage drops outside town.

For many mid-sized institutions, the safest route is to keep the existing accounting software and build the lending core on a custom basis: origination, schedules, offline field collection, PAR and exports to accounting and the regulator. That is the kind of project we deliver as a custom web application, with a cybersecurity layer for access control and logging.

PAR30 as a management indicator

Portfolio at risk over 30 days divides the outstanding balance of loans with at least one instalment more than 30 days overdue by the total outstanding portfolio. It must be visible every morning per loan officer, because an officer above 10 % needs immediate support, not a report next month. Industry good practice targets PAR30 below 5 %, which also means tracking restructured and rescheduled loans that spreadsheets tend to hide.

Mini case study

Grace is CEO of a microfinance institution in Nairobi. Of her 28,000 members, 11,000 have an active loan, with an average balance of $700.

  • Total portfolio: 11,000 × $700 = $7,700,000.
  • Current PAR30 at 10 %: $770,000 at risk.
  • 12-month target with daily monitoring: PAR30 at 8 %, or $154,000 less at risk.
  • If 30 % of the portfolio at risk ends up written off, the saving is about $46,200 a year.

On top of that comes consolidation: 9 branches × 2 days a month of data entry at head office, more than 200 staff-days a year. A complex application at the top of our grid, around 15,000,000 FCFA (22,870 EUR), plus Premium maintenance at 120,000 FCFA (183 EUR) a month, is covered by the lower losses alone in under 8 months.

FAQ

Does the software need regulatory certification?

The Central Bank of Kenya does not certify software, but it expects accurate, traceable returns and sound IT risk management. The tool must produce periodic returns and keep transaction history for at least 7 years, with off-site backups.

Does the app work without network coverage in the field?

Yes, it is a requirement: the officer records visits and repayments offline and the tablet syncs at the end of the day. An entry-level Android tablet around $150 is enough.

Can repayments be collected through M-Pesa?

Yes, through a paybill number with automatic matching by loan reference. Collection fees follow Safaricom's tariff, and the gain on cash variances more than offsets them.

How long does migration from Excel take?

Plan 4 to 6 weeks for import and balance checks, then one month of parallel running in two pilot branches. The full project takes 5 to 8 months.

Do we have to replace accounting too?

Not necessarily. A daily export of lending entries to the existing accounting software is enough in most cases and avoids doubling the budget.
