The verdict in three sentences
An event planner shortlists three to five venues before requesting a proposal, and drops first the ones that show neither availability nor capacity per layout. For a 12-room, 1,200-seat venue in Dubai, a website that lets planners place an option online costs roughly AED 75,000 to 150,000 (about USD 20,000 to 41,000) in 2026. Done well, it brings 20 to 35 % more enquiries and cuts several days off the sales cycle.
What planners want to see before they call
DMCs, association congress organisers and corporate communications teams across the Gulf ask the same things: capacity per room in theatre, classroom, cabaret, reception and U-shape, floor area and ceiling height, AV equipment, accessibility, access from DXB and the Metro, nearby hotels and catering, plus prayer rooms and halal menus for regional delegations. A standard room sheet with downloadable floor plans and photos per layout answers 80 % of phone questions.
| Website module | Sales role | 2026 ballpark (AED) |
|---|---|---|
| Design, venue pages and room sheets | Compare rooms in 2 minutes | 30,000 to 50,000 |
| Option calendar linked to venue system | Check dates and hold an option | 20,000 to 40,000 |
| 360° virtual tour | Convince without a site visit | 10,000 to 25,000 |
| Meeting package builder (room, F&B, AV) | Instant budget estimate | 12,000 to 25,000 |
| Arabic version with RTL layout | Regional government and corporate clients | 10,000 to 20,000 |
| Organiser portal (contracts, plans, badges) | Post-signature tracking | 10,000 to 20,000 |
Online booking: options, not payments
In MICE, nobody books an 800-seat auditorium by credit card. The right model is the online option: the planner selects a room and dates, sees whether they are free, holds an option for 7 to 14 days and automatically receives a first estimate. The calendar must sync with your event management system (Delphi, Opera Sales and Catering, Event Temple or in-house software) through an API, otherwise double bookings follow. For small meetings under 20 people, a firm booking with a deposit can make sense.
| Metric | Before rebuild | After rebuild with online options |
|---|---|---|
| Monthly visitors | 4,000 | 4,000 |
| RFPs per month | 60 | 75 to 80 |
| Average first response time | 48 h | Instant for availability |
| Share of qualified RFPs (date, headcount, budget) | 40 % | 70 % |
| Sales time per RFP | 1 h 30 | 45 min |
| Win rate | 22 % | 25 to 28 % |
Budget and a 12 to 16 week plan
The project breaks down into scoping and room inventory (2 weeks), photography and 360° capture (1 to 2 weeks, scheduled around events), design (3 weeks), development and venue system integration (5 to 7 weeks), and QA with the sales team (2 weeks). The riskiest item is calendar integration: ask your vendor for API documentation early. For search, build dedicated pages for 'conference venue Dubai', 'medical congress venue UAE' or 'gala dinner venue 500 guests Dubai', and align peak messaging with the October to April event season.
Two details matter for Gulf clients. Government and semi-government buyers often require a formal tender pack, so the site should offer downloadable technical specifications, fire safety capacities and insurance documents in English and Arabic. Corporate planners booking during Ramadan or around GITEX and Arab Health need early visibility on dates, so publish a peak calendar and let planners join a waitlist when a room is held. These features cost little, often AED 5,000 to 10,000, but they capture demand that would otherwise go to competing venues.
Mini case study
Layla, director of sales at a Dubai conference venue, invests AED 115,000 in a site with an option calendar and 360° tour. Monthly RFPs rise from 60 to 78, 18 more. At a 25 % win rate, that is about 4.5 extra events a month. With average event revenue of AED 37,000 and a 30 % margin, each event yields AED 11,100. The 4.5 extra events produce about AED 49,950 of monthly margin: the investment is recovered in a little over two months.

FAQ
Should we show room rates?
Yes, at least 'from' rates per half day and full day. Planners often filter out venues without prices, and a visible day delegate rate reduces off-budget enquiries.
Is a 360° tour really worth it?
For congresses above 300 delegates it often replaces a site inspection, especially for overseas organisers. Expect AED 10,000 to 25,000 depending on the number of spaces.
How do we prevent double bookings?
By syncing the website calendar with your venue system via API, refreshed every 5 to 15 minutes, with final confirmation by a sales manager.
How long does the project take?
Twelve to 16 weeks. Photography and 360° capture must happen on event-free days, which can add 2 weeks.
Do we need Arabic?
For government and regional corporate clients, yes, with a proper right-to-left layout. Budget AED 10,000 to 20,000.
