Exposing ERP data to partners through an API: cost and architecture

The verdict in three sentences

A manufacturer handling 300 stock availability and order tracking requests a week by hand can automate them with a partner API connected to its ERP. A REST API secured with OAuth 2, with per-distributor quotas, OpenAPI documentation and a cache that shields the ERP, ships in 2 to 4 months. The expected gain is 15 to 25 hours a week in customer service, and above all the end of slow answers that lose orders.

What distributor requests cost today

The scenario is common for manufacturers in Berlin or Toronto: 40 distributors across the region send daily emails like "do you have 120 units of part X in stock?" or "where is my order 45872?". A sales administration assistant opens the ERP, searches, copies, replies. Each request takes 3 to 5 minutes, often more when logistics must be chased.

Request typeWeekly volumeTime per requestHours per week
Part availability1403 min7.0 h
Order status1004 min6.7 h
Expected delivery date355 min2.9 h
Copy of invoice or delivery note154 min1.0 h
Net customer price on a part106 min1.0 h
Total30018.6 h

With interruptions and internal follow-ups, this quickly reaches 25 hours, more than a half-time job. The other cost is invisible: a distributor who waits 24 hours for an answer sometimes orders from a competitor.

An API architecture that protects the ERP

The golden rule: never expose the ERP directly. Between partners and the ERP sits an API layer that authenticates, throttles, caches and logs.

ComponentRoleCommon 2026 choice
AuthenticationIdentify each distributorOAuth 2, client credentials flow
QuotasStop one partner from saturating the ERP60 to 600 requests per minute by contract
CacheServe stock without hitting the ERP on every callRefresh every 5 to 15 minutes
DocumentationLet partners integrate on their ownOpenAPI 3.1 and developer portal
LoggingTrace who asked for what12-month retention
WebhooksNotify partners of status changesSent on shipping and delivery
MonitoringSpot outages before partners doAlerts on latency and error rate

The cache is the key to performance. Most mid-market ERPs struggle with 20 requests per second; the API answers in under 200 milliseconds from stock synced every 10 minutes. For sensitive data such as net prices, the ERP is queried live, but with a stricter quota.

Budget and timeline

The estimate depends mostly on how easy the ERP is to access. If the vendor already provides an API or documented SQL views, the project stays simple. If data must be extracted through flat files or tables reverse-engineered, it gets harder.

For comparison, a commercial API management platform costs €500 to €3,000 (CAD 750 to 4,500) a month in 2026, order of magnitude, without the ERP connectors, which still need building.

Mini case study

Katrin, supply chain director at an industrial equipment maker in Berlin, measures 22 hours a week spent on distributor requests at €40 an hour loaded cost. Annual cost: 22 × 40 × 46 weeks = €40,480. She picks a medium-complexity API with a developer portal, at the top of the range, 10,670 EUR, plus 114 EUR a month of maintenance (1,368 EUR a year). If 70% of requests move to the API in year one, the saving is €28,336. The project pays back in under 6 months. In year two, with 85% adoption, the gain rises to €34,400 for a cost of only 1,368 EUR. For a Toronto plant at CAD 55 an hour, the same maths gives a yearly saving of about CAD 39,000.

FAQ

Will our distributors be able to use an API?

Large distributors have IT teams and integrate a documented API in 2 to 6 weeks. For smaller ones, a web portal consumes the same API, accessible with a simple login.

Can the API slow down our ERP?

Not if it is well designed: the cache absorbs 90% of stock calls, and quotas cap each partner at 60 to 600 requests per minute. The ERP only sees a sync every 5 to 15 minutes.

Why OAuth 2 rather than a simple API key?

Because OAuth 2 issues short-lived tokens, often 1 hour, and allows instant revocation of a partner. A fixed key that leaks stays valid until someone notices.

How long until the first partner is connected?

With a simple scope, the first pilot distributor is live 8 to 10 weeks after kick-off. The next ones integrate on their own using the OpenAPI documentation.

Can we charge for API access?

Yes, some manufacturers reserve advanced endpoints (net prices, forecasts) for premium distributors. Per-contract quotas make this model easy to run.
