The verdict in three sentences
For a Dakar SME issuing 600 B2B invoices a month, cheques and cash cost more than online payment fees, because they lock up cash and keep an accountant busy full time chasing payments. A payment link on every invoice (card, bank transfer, Wave, Orange Money), connected to automatic reconciliation in the accounting software, takes 6 weeks to set up for 2 to 5 million FCFA. The return on investment is measured in days of collection saved, not in fees avoided.
What each payment method costs in 2026
Fees are only part of the real cost. A cheque looks free, but someone has to collect it from the client, deposit it, wait for clearance and handle bounces. Here are the 2026 orders of magnitude observed in Dakar for an average invoice of 450,000 FCFA.
| Payment method | Typical 2026 fees | Average collection time | Reconciliation | Default risk |
|---|---|---|---|---|
| Cheque | 0% (bank deposit fee ~1,500 FCFA) | 45 to 60 days | Manual | High (bounces) |
| Cash | 0% (collection and transport cost) | 30 to 50 days | Manual | Medium (errors, losses) |
| Standard bank transfer | 1,000 to 3,000 FCFA per transfer | 25 to 40 days | Semi-manual | Low |
| Bank transfer payment link | 1 to 1.5% | 12 to 20 days | Automatic | Low |
| Wave Business / Orange Money | 1 to 2% | 3 to 10 days | Automatic via API | Very low |
| Bank card (aggregator) | 2.5 to 3.5% | 2 to 7 days | Automatic | Very low (3D Secure) |
Mobile money has become the fastest channel for invoices under 2 million FCFA: the manager of a client SME pays from their phone as soon as the email or WhatsApp arrives. Above that, bank transfer still dominates, but a link with a pre-filled reference removes the labelling errors that block reconciliation.
Architecture: from invoice to general ledger
The project has four building blocks. The invoice generated by your ERP or invoicing software gets a unique link. The client picks a payment method on a branded page. The payment provider sends a notification (webhook) on confirmation. Finally, a connector automatically matches the invoice in the accounting system (Sage, Odoo, QuickBooks or a local SYSCOHADA tool).
| Item | 2026 range (FCFA excl. VAT) | Timeline |
|---|---|---|
| Scoping, provider selection, merchant contracts | 300,000 to 600,000 | 1 week |
| Branded payment page + unique links | 600,000 to 1,300,000 | 2 weeks |
| Wave, Orange Money, card, transfer integration | 500,000 to 1,400,000 | 2 weeks |
| Accounting connector and automatic matching | 400,000 to 1,200,000 | 1 to 2 weeks |
| Automatic reminders D+7, D+15, D+30 (email and WhatsApp) | 200,000 to 500,000 | 1 week |
| Testing, training, go-live | 0 to 300,000 (included depending on package) | 1 week |
| Total | 2,000,000 to 5,000,000 | 6 weeks |
The low end assumes recent invoicing software with a clean API. The high end assumes an older ERP where invoices must be pulled through a scheduled export. Then budget 50,000 to 150,000 FCFA a month for maintenance and hosting.
Points to check before signing
First: tax compliance. The invoice must remain the only accounting document, the payment link is only a collection method. Second: the ceiling on mobile money merchant accounts, which must be raised with the operator to collect large B2B invoices. Third: partial payments, common with public sector clients and key accounts, which the connector must be able to match without human intervention.
Finally, do not pass fees on to clients without stating it in your terms and conditions. Many SMEs prefer to offer mobile money free of charge and apply 1.5% only on card payments.

Aïssatou, CFO of an IT maintenance company in Dakar, invoices 600 companies a month for a total of 270 million FCFA. Her average collection time is 52 days. After launching a payment link (budget 3.4 million FCFA), 55% of clients switch to mobile money or card, and collection time drops to 19 days.
Cash gain: 270 million x 33 days / 30 = about 297 million FCFA released from working capital. At an overdraft rate of 9% a year, the saving on bank charges reaches about 26.7 million FCFA a year. Payment fees, on 150 million collected online at an average 1.4% (mostly mobile money), cost 2.1 million a month or about 25.2 million a year. The SME also frees one accountant, worth 6 million FCFA a year. Net gain: 26.7 + 6 - 25.2 = 7.5 million FCFA a year, which pays back the 3.4 million project in under 6 months, before even counting fewer unpaid invoices.
FAQ
How much does online invoice payment cost to set up for an SME in Dakar?
Budget 2 to 5 million FCFA excluding VAT, depending on your invoicing software and the number of payment methods. The standard timeline is 6 weeks, then 50,000 to 150,000 FCFA a month for maintenance.
Are Wave and Orange Money suitable for B2B invoices?
Yes for amounts up to about 2 million FCFA, with fees of 1 to 2%. Above that, you need to raise the merchant account ceiling or offer a bank transfer link alongside.
Can bank reconciliation really be automatic?
Yes, each link carries the invoice reference and the confirmation webhook triggers the matching. In our projects, 90 to 95% of payments are matched without intervention, the rest are mostly partial payments.
Should card fees be passed on to the client?
It is possible if your terms and conditions say so. Many SMEs absorb the 1 to 2% for mobile money and only apply a 2.5 to 3.5% surcharge on bank cards.
What if my ERP has no API?
We use a scheduled export of invoices (CSV or database) every 15 minutes. This adds about 500,000 to 900,000 FCFA to the budget and no more than one week to the timeline.
