The verdict in three sentences
A service SME whose days sales outstanding reach 62 days is financing its clients with its own cash. Automating invoicing and payment reminders with a graduated sequence costs between 6,000 and 12,000 EUR excl. VAT and fits into the mandatory e-invoicing wave spreading across Europe from 2026. Bringing DSO from 62 to 45 days frees around 120,000 EUR of cash for an SME with 2.4 M EUR in revenue.
The real cost of a 62-day DSO
In Dublin as in Nantes, a B2B service SME (maintenance, consulting, technical services) often invoices at month end from a spreadsheet or quoting tool, then chases payment when someone has time. The result: invoices go out 5 to 10 days late, reminders are irregular and large clients pay well beyond agreed terms.
With 2.4 M EUR in revenue, or about 6,600 EUR invoiced per day, each day of DSO ties up 6,600 EUR. Going from 62 to 45 days, a 17-day gain, frees about 112,000 EUR excl. VAT and close to 120,000 EUR including the VAT share collected. At the cost of an overdraft or factoring line at 5 to 7 %, that cash is worth 6,000 to 8,000 EUR of finance charges avoided each year, not counting the finance director's time.
| Step | Manual practice | Automated process |
|---|---|---|
| Issuing the invoice | Day 5 to 10 after the service | Day 0, triggered by job sign-off |
| Friendly reminder | Irregular, 1 time in 2 | Automatic email 5 days after due date |
| Second reminder | Improvised phone call | Email and SMS at day 15, account manager copied |
| Firm reminder | Rare | Letter with late interest and statutory compensation at day 30 |
| Finance team time on collection | 2 days a week | 0.5 day a week |
| Measured DSO | 62 days | 42 to 48 days |
E-invoicing in 2026: a chance to rebuild the process
France requires all companies to receive electronic invoices through an approved platform from 1 September 2026, with SMEs issuing them from September 2027. Ireland is phasing in B2B e-invoicing under the EU ViDA framework, starting with large corporates in 2028. An SME that will have to choose an e-invoicing provider anyway should connect its billing flow and its reminders at the same time: the statuses returned by the platform (submitted, received, approved, paid) feed the reminder sequence directly.
| Project component | Scope | Indicative 2026 budget (EUR excl. VAT) |
|---|---|---|
| Automatic invoice generation | From the CRM, quoting tool or job sheets | 1,500 to 3,000 |
| E-invoicing platform connection | Structured format (Peppol, Factur-X), lifecycle statuses | 1,500 to 2,500 |
| Graduated reminder sequence | Day 5, 15, 30, templates per client segment | 1,000 to 2,500 |
| Bank reconciliation of payments | Automatic matching via banking API | 1,000 to 2,000 |
| Receivables dashboard | DSO, aged balance, top 20 late payers | 1,000 to 2,000 |
| Total | Delivered in 4 to 6 weeks | 6,000 to 12,000 |
Recurring costs stay modest: e-invoicing platform subscription of 30 to 150 EUR a month depending on volume, automation tool of 20 to 80 EUR a month, SMS at about 0.07 EUR each.
The rules that make reminders work
Tone matters as much as cadence. The day 5 reminder is a simple nudge with the invoice attached and a payment link. The day 15 message names the contact and offers a payment plan if needed. The day 30 letter refers to late payment interest and the statutory compensation of 40 EUR provided by the EU Late Payment Directive. Strategic accounts can be excluded from the automatic sequence and handed to the account manager.
Mini case study

After four months, DSO drops to 46 days. Freed cash reaches about 115,000 EUR, which pays off an overdraft line charged at 6 %: 6,900 EUR of interest avoided per year. Claire also recovers 1.5 days a week, about 70 days a year for financial steering. The project pays for itself in under a year on finance charges alone.
FAQ
Do we need to change our invoicing software?
Not necessarily: in 7 cases out of 10, the existing tool can be connected by API or export. A switch is only justified if it cannot produce an e-invoicing compatible format.
Will automatic reminders upset our clients?
With the right tone and strategic accounts excluded, the complaint rate stays below 1 %. Most clients pay at the day 5 reminder.
What DSO should a service SME target?
The EU Late Payment Directive sets 60 days as the default B2B ceiling. A 45-day target is realistic within 3 to 6 months.
Does AI play a role in this project?
It can predict which clients are likely to pay late from history and adapt the reminder, for an extra 2,000 to 4,000 EUR excl. VAT. This module becomes useful above 300 invoices a month.
How long does the project take?
Allow 4 to 6 weeks from scoping to the first automatic reminder. The e-invoicing platform connection is the longest step.
