The verdict in three sentences

Manual multi-country reconciliation burns 15 to 25 hours a month for an SME collecting across three operators, with 1 to 3 % of gaps never explained. Automated matching on three keys (reference, amount, timestamp) cuts those gaps below 0.2 % and reconciliation time to 2 hours a month. The module pays for itself within the first quarter for any merchant processing more than 300 transactions a month.

Why multi-country breaks manual reconciliation

Every operator exports statements in a different format, with its own timezone, currency and reference scheme. A Wave payment in Dakar lands in XOF, an MTN payment in Douala in XAF, a bank settlement drops at D+1 or D+2. Reconciling means cross-checking three sources against the sales ledger, line by line.

MTN MoMoCameroonXAF24 hAPI
Moov MoneyBenin / TogoXOF24 to 48 hCSV

The XOF/XAF crossover also forces a reference conversion: 1 XOF = 1 XAF at fixed parity, but operator fees differ, creating micro-gaps that humans round off and lose.

Automated matching on three keys

A reconciliation engine compares each operator transaction to the order ledger on three weighted criteria: the merchant reference (high weight), the amount net of fees (medium weight) and the timestamp within a tolerance window. Anything matching at 100 % is auto-classified; the rest goes into an exceptions queue cleared in minutes.

Over twelve months, an SME going from 20 h to 2 h saves about 216 hours, roughly a month and a half of a junior accountant's work.

Mini case study

Fatou runs a cosmetics shop in Dakar with a point of sale in Abidjan. She collects 480 transactions/month: 300 on Wave, 120 on Orange Money CI, 60 by card. Before, her bookkeeper spent 22 h/month reconciling and left about 2 % in gaps, i.e. ~ 190,000 FCFA of untraced flow on revenue of 9,500,000 FCFA. After deploying a 900,000 FCFA module, time drops to 2 h/month and gaps to 0.15 % (~ 14,000 FCFA). The time savings alone (20 h at 3,000 FCFA) are worth 60,000 FCFA/month: the module pays back in 15 months, before counting recovered unpaid orders.

FAQ

How long does it take to set up reconciliation?

For two to three operators, expect 2 to 4 weeks depending on API access and statement history availability. The first week is spent tuning the matching rules on your real data.

Does the module handle partial payments and refunds?

Yes. Each refund is linked to its original transaction and the net balance is recomputed; a two-instalment payment reconciles once the sum of tranches reaches the order amount, to within 1 FCFA.

Do I need to switch operators to reconcile automatically?

No. The module reads the existing Wave, Orange Money, MTN and Moov exports and APIs. You keep your current merchant accounts.

What about XOF/XAF exchange gaps?

Parity is fixed (655.957 per 1 EUR on both sides), so amounts are equivalent; the module only isolates operator-fee differences, which stay under 2 % and are logged line by line.

Is it worth it below 300 transactions/month?

At low volume the time gain is smaller but reliability matters: catching an unpaid order in 24 h instead of 10 days often avoids shipping a non-paid order.
