Automating Overdue Invoice Reminders and Bank Reconciliation in Dublin: 2026 Cost

The verdict in three sentences

A 68-day DSO in a 70-employee SME ties up several hundred thousand euros, often because reminders go out late and nobody quickly knows which invoices are actually paid. Automation costing 5,000 to 14,000 EUR excl. VAT (n8n or Make, banking API, accounting connector) sends 3-level reminders and reconciles 85 to 95% of bank lines on its own, within 4 to 8 weeks. The realistic target is a 50-day DSO and 15 hours a month handed back to the finance team.

Why manual reminders cost so much

In most SMEs, chasing depends on the availability of an accountant who must first check, line by line, whether the client has paid. Bank reconciliation therefore comes before chasing, and when it falls behind, so do reminders. The result: the first reminder often goes out 15 to 20 days after the due date, while a nudge sent at D+3 recovers a large share of late payments caused by simple oversight.

In Ireland, the European Communities (Late Payment in Commercial Transactions) Regulations 2012 allow statutory interest and fixed compensation of 40 to 100 EUR depending on the invoice amount. These still have to be stated and applied consistently, which automation does without hesitation.

Cost of reminder and reconciliation automation in 2026

The following ranges are 2026 orders of magnitude for an SME with 50 to 150 staff, a mainstream accounting package and one or two banks. Tool subscriptions (self-hosted n8n or Make, bank aggregator) are extra.

ScopeContentBudget excl. VATTimeline
Basic reminders3 email levels, templates, manual exclusions5,000 to 7,000 EUR4 weeks
+ Bank reconciliationBanking API, matching rules, exception queue7,000 to 10,000 EUR5 to 6 weeks
+ DashboardDSO per client, aged balance, cash-in forecast9,000 to 12,000 EUR6 to 7 weeks
Full versionAll of the above + multi-bank, pay-online link in reminders, sales alerts12,000 to 14,000 EUR7 to 8 weeks
Recurring cost (order of magnitude)Monthly
Make, plan sized for an SME20 to 80 EUR
Self-hosted n8n (server)15 to 40 EUR
Banking API aggregator50 to 200 EUR
Transactional email sending10 to 30 EUR
Online payment linkPer-transaction fee depending on provider

The real work in the project is configuring matching rules: batched transfers, truncated references, partial payments, credit notes. That is what lifts the automatic rate from 70% to over 90%.

What a 50-day DSO means for cash

Cutting DSO by 18 days frees cash in proportion to revenue. The table gives the order of magnitude for a few SME sizes.

Annual revenueCash freed (18 days)Financing cost avoided at 5%
5 M EURabout 247,000 EURabout 12,300 EUR per year
8 M EURabout 395,000 EURabout 19,700 EUR per year

Aoife is CFO of a 70-employee industrial SME in Dublin with 12 M EUR in revenue and 400 trade clients. Her DSO stands at 68 days and her accountant spends about 20 hours a month on reconciliation and chasing.

She chooses the version with reconciliation and dashboard for 11,000 EUR excl. VAT, plus about 150 EUR a month in tools. The 15 hours freed each month, valued at a 45 EUR loaded cost, are worth 8,100 EUR a year. If DSO falls from 68 to 50 days, 592,000 EUR of cash is released, or about 29,600 EUR in financing costs avoided at 5%. Annual gain: about 37,700 EUR against a first-year cost of 12,800 EUR. Payback takes roughly 4 months.

FAQ

Will automatic reminders damage client relationships?

Level 1 is just a polite nudge with the invoice attached, and sensitive clients can be excluded in one click. In practice, more than half of late payments are oversights settled within 5 days of a reminder.

n8n or Make: which one?

Make is quicker to start and costs 20 to 80 EUR a month for an SME. Self-hosted n8n suits you better if you want to keep bank data on your own server, for 15 to 40 EUR a month in hosting.

Do we need to change accounting software?

No, the automation plugs into mainstream accounting packages through their API or scheduled exports. Only very old software without an API requires a daily file export.

What happens to the 5 to 15% of unmatched lines?

They land in an exception queue with a suggested match. The accountant approves or corrects, which usually takes 1 to 2 hours a week.

Is bank data secure?

Access goes through a PSD2-licensed aggregator, in read-only mode. The automation cannot initiate any transfer.
