Automating employee onboarding in Singapore 2026: cost and workflow

The verdict in three sentences

When every new joiner mobilises 7 departments by email and phone, a new employee waits on average 9 days before getting a workstation, access and a signed contract. An automated onboarding workflow with e-signature costs roughly 90,000 to 180,000 MAD excl. tax (about 8,300 to 16,600 EUR) and ships in 2 months. For a group hiring 250 people a year, bringing onboarding down to 2 days pays back the investment in year one.

The 7 departments to orchestrate, and where it stalls

Onboarding in a multi-site group looks like a relay race: HR approves the hire, legal prepares the contract, payroll opens the social security and health insurance file, IT creates accounts, facilities order equipment and the badge, the manager prepares the training plan, safety runs the HSE induction. Each runner waits for an email from the previous one.

DepartmentTaskObserved manual delayAutomated target
HRHiring form approved1 dayImmediate (form)
LegalContract generated and signed3 to 5 daysUnder 24 h (e-signature)
PayrollSocial security, health insurance, bank details2 daysCollected online before day one
ITEmail, ERP, VPN, permissions2 to 4 daysAutomatic creation at D-3
FacilitiesLaptop, phone, badge3 to 6 daysOrder triggered on signature
Manager30-day training planOften forgottenRole template assigned automatically
HSESafety induction1 to 3 daysE-learning module on day one

The problem is not how long each task takes, it is the wait between tasks. A workflow launches in parallel everything that can be, as soon as the contract is signed, and automatically chases the department that is late.

Also budget for e-signature, about 10 to 30 MAD per signed envelope depending on provider and volume, and 2,000 to 5,000 MAD a month for hosting and maintenance. In Morocco, Law 43-20 on trust services governs e-signature and Law 09-08 requires a CNDP declaration for employee data processing; in Singapore, the Electronic Transactions Act and the PDPA play the equivalent role.

Mini case study

Salma, HR director of a retail group (1,800 employees, 4 subsidiaries), hires 250 people a year. Onboarding takes 9 days before a new joiner is fully operational.

Moving to 2 days, the group recovers 7 days of productivity per joiner, 1,750 days a year. With an average loaded salary cost of 550 MAD a day, and prudently keeping only half of that value, the gain reaches about 480,000 MAD per year.

Add coordination time: about 6 hours per joiner split across HR, IT and facilities, 1,500 hours a year, two thirds of which disappear. With a 150,000 MAD excl. tax project and 4,000 MAD a month to run it, year-one cost is 198,000 MAD, paid back in about five months. Illustrative scenario, not a real client.

FAQ

Do we need to replace our HRIS?

No. The workflow plugs into your existing HRIS or payroll software, by API or export. It orchestrates the steps the HRIS does not handle, especially IT and equipment.

Is an e-signed employment contract valid?

In Morocco, yes, provided the signature complies with Law 43-20, ideally qualified for contracts. Allow 10 to 30 MAD per signature and keep the evidence for at least 5 years.

How do we handle 4 subsidiaries with different rules?

The workflow configures contract templates, approvers and equipment per subsidiary. An extra subsidiary then costs 10,000 to 20,000 MAD of configuration, not a new project.

Will managers actually use the tool?

Yes, if their role is limited to two actions: approving the training plan and confirming arrival. Automatic reminders at D-5 and D-1 push completion above 90 %.

What about joiners on sites or in stores without a computer?

The portal works on smartphone, with an SMS code. The employee sends ID, bank details and social security certificate as photos before day one.
