Business Application Maintenance in Miami: Monthly Retainer, SLA and What to Demand

The verdict in three sentences

A properly sized maintenance contract costs 15 to 20% of the development cost per year, between USD 900 and 3,300 a month (about EUR 800 to 3,000) for an SME business application. Price matters less than three clauses: a 2-hour response SLA for blocking incidents, monthly security updates included, and contractual reversibility so you can switch vendors without losing your code. A contract without penalties (5% of the monthly fee per day of delay is a reasonable norm) is just a promise.

Which retainer for which application

The retainer depends on application size, user count, integrations and expected service level. An app that cost USD 65,000 to build calls for USD 10,000 to 13,000 a year of maintenance.

TierMonthly retainerTypical build costIncluded
EssentialUSD 900 to 1,300USD 45,000 to 75,000Bug fixes, monthly security, 4 h of enhancements
StandardUSD 1,300 to 2,200USD 75,000 to 140,000+ 10 h of enhancements, business-hours on-call
EnhancedUSD 2,200 to 3,300USD 140,000 to 220,000+ 20 h of enhancements, extended on-call 7 am to 9 pm
Critical 24/7USD 3,800 to 6,500Over USD 220,000Nights and weekends, 30-min SLA
Time and materialsUSD 95 to 150/hourAnyNo commitment, no SLA

These are 2026 order-of-magnitude figures for South Florida agencies, where blended rates run USD 95 to 150 an hour, about 15 to 25% below New York. Unused enhancement hours rarely roll over: negotiate a quarterly carry-over.

SLAs to put in writing

An SLA separates the response time (someone is analysing the issue) from the workaround or resolution time. Both belong in the contract, with a clear definition of each severity level.

Penalties and reversibility

The standard penalty is 5% of the monthly fee per business day of delay on a blocker, capped at 30 to 50% of the fee. For reversibility, require: ownership of the source code and permanent access to the Git repository, up-to-date technical documentation, 5 to 10 days of transition assistance at a pre-agreed rate, and a termination notice of 3 months maximum.

Other clauses that protect an SME

Check for a monthly report (tickets, actual response times, updates applied), a quarterly review of technical debt, major framework upgrades (often excluded and billed separately, USD 3,300 to 8,700), and a backup plan tested at least twice a year. If you handle health or card data, require HIPAA or PCI DSS controls on production access, and Florida's FIPA breach-notification duties in the contract.

Maria, operations director of a distribution SME in Miami, is renewing maintenance on her order management app, built for USD 98,000. The old contract cost USD 1,200 a month with no written SLA; last year two blocking outages lasted 2 days each, with an estimated loss of USD 7,000 in orders per day. The new Standard retainer at USD 1,750 a month, USD 21,000 a year or 21% of build cost, includes a 4-hour workaround SLA. If the same outages are worked around in half a day, avoided losses reach about USD 21,000, more than the USD 6,600 annual increase.

FAQ

Should the original developer handle maintenance?

It is usually the most efficient choice in year one. After that, a competitive review every 2 to 3 years lowers the retainer by 10 to 15%, provided reversibility is in place.

Are security updates included?

They should be, monthly, with a fix within 72 h for critical flaws. Major version upgrades are usually priced separately.

What happens to unused enhancement hours?

Without a clause, they are lost. Negotiate a 3-month carry-over, or a lower retainer with a preferred hourly rate around USD 85 to 100.

How do we check the SLA is met?

Require a time-stamped ticketing tool you can access and a monthly report. Without shared measurement, 5% daily penalties cannot be enforced.

What commitment length is acceptable?

One year, renewable, with 3 months' notice is the usual balance. A 3-year commitment may justify a 10% discount, no more.
