The verdict in three sentences
Since 1 September 2026, every VAT-registered company in France must be able to receive electronic invoices through an approved platform, and SMEs must start issuing them on 1 September 2027. For a trading SME receiving 1,200 supplier invoices a month, the platform handles the structured flow, but out-of-format invoices remain (foreign suppliers, paper, plain PDFs), and AI reads them for 0.10 to 0.40 EUR per invoice at 92 to 98 % accuracy. With automatic purchase-order matching and 5,000 to 15,000 EUR of integration work (2026 ballpark), the measured gain is about 0.8 FTE of accounting time.
What the mandate changes for an SME
The French reform has three parts. Reception: since September 2026, French suppliers subject to the mandate (large and mid-size companies first, SMEs in 2027) send invoices in a structured format (Factur-X, UBL or CII) through platforms approved by the tax authority. Issuance, for SMEs from 1 September 2027. And e-reporting, which sends the authority data on transactions outside the scope, such as foreign purchases or sales to consumers. If you sell into France or own a French subsidiary, the same rules apply to that entity, and similar mandates are rolling out across the EU under the ViDA package.
For a trading SME, the breakdown of 1,200 monthly invoices at the end of 2026 looks like this:
| Source of supplier invoices | Estimated share end 2026 | Format received | Suitable handling |
|---|---|---|---|
| Large French suppliers | 35 % | Factur-X or UBL via approved platform | Direct import, no keying |
| French SMEs not yet issuing | 30 % | PDF by email | AI capture until 2027 |
| Foreign suppliers (EU and non-EU) | 20 % | PDF, sometimes paper | AI capture, permanently |
| Transport, energy, telecoms | 10 % | Supplier portal, PDF | Automatic retrieval, then AI |
| Small local contractors | 5 % | Paper | Scanning, then AI |
Bottom line: even with the mandate, about 40 % of volume stays unstructured until 2027, and 20 to 25 % permanently because of foreign suppliers.
Approved platform, AI and matching: who does what
The approved platform is the official pipe: it receives, checks the format, reports data to the tax authority and passes the invoice to your accounting software. Choose it based on your current software (many accounting vendors partner with a platform), per-invoice cost and connector quality.
AI capture handles everything that does not arrive structured. It extracts supplier, number, date, net and VAT amounts and product lines, then suggests the ledger coding. Accuracy depends on document quality: 98 % on a native PDF, 92 % on a skewed paper scan.
Three-way matching links the invoice, the purchase order and the goods receipt. That is where most of the gain lies for a trading business: checking that invoiced quantity matches received quantity and that the price is the contract price.
| Component | Indicative 2026 cost | What it delivers |
|---|---|---|
| Approved platform (reception) | 0 to 0.30 EUR per invoice, or monthly fee | Legal compliance, structured flow |
| AI capture of out-of-format invoices | 0.10 to 0.40 EUR per invoice | End of manual keying |
| PO, receipt and invoice matching | Included in integration | Price and quantity variances flagged |
| Integration with accounting and ERP | 5,000 to 15,000 EUR | One approval flow |
| Departmental approval workflow | Included in integration | Online sign-off, no more paper folders |
| Maintenance and support | 150 to 400 EUR per month | Tuning, new suppliers |
Pitfalls to avoid
Stacking tools. A platform on one side, a capture tool on the other and a spreadsheet in between brings keying back. Everything must converge into one approval flow.
Letting AI approve alone. Set a threshold: above a 1 % variance on an amount, or when reading confidence falls below 95 %, the invoice goes to human review.
Forgetting suppliers. Write to them with your reception platform and requirements (PO number mandatory). Automatic match rates often rise from 50 % to over 80 %.
Neglecting archiving. The original e-invoice is the legal record and must be kept 10 years. Check that the platform or your archive guarantees integrity.

Mini case study
Claire, CFO of an electrical supplies distributor in Toulouse, handles 1,200 supplier invoices a month with three accountants. Keying and matching average 7 minutes per invoice, so 140 hours a month.
After the project: 35 % of invoices arrive structured (1 minute of checking), 65 % go through AI and matching (2 minutes on average, including variance checks). Total time: 420 × 1 + 780 × 2 = 1,980 minutes, or 33 hours. Gain: 107 hours a month, about 0.8 FTE.
Annual costs: AI 780 invoices × 0.25 EUR × 12 = 2,340 EUR, platform 1,200 × 0.20 EUR × 12 = 2,880 EUR, maintenance 3,600 EUR, so 8,820 EUR, plus 12,000 EUR of integration in year one. Against a loaded cost of 45,000 EUR per accountant, 0.8 FTE is worth 36,000 EUR, so the project pays back within the first year, and the freed accountant can take over customer collections.
FAQ
Must a French SME already receive e-invoices?
Yes, since 1 September 2026 all VAT-registered companies must be able to receive them. The issuance obligation applies to SMEs and micro-businesses from 1 September 2027.
Is AI still useful once the mandate is fully live?
Yes, for foreign suppliers and out-of-scope transactions, often 20 to 25 % of a distributor's volume. The cost stays at 0.10 to 0.40 EUR per invoice.
What accuracy should we expect from AI invoice capture?
92 to 98 % depending on document quality. A 95 % confidence threshold sends doubtful cases to human review, in practice 5 to 10 % of invoices.
How much does ERP integration cost?
As a 2026 ballpark, 5,000 to 15,000 EUR depending on the accounting software, the ERP and the number of entities. Standard connectors lower the bill, legacy ERPs raise it.
How long does the project take?
Allow 6 to 10 weeks: platform selection, integration, training the AI on 3 months of invoices and a one-month pilot in one department.
Let's scope your project. We map your approved platform, AI capture and ERP matching, then deliver a working invoice flow in 6 to 10 weeks. Detailed quote within 48 h. WhatsApp +221 77 596 93 33.
